Document Management (DocMan)

Hi,several customers who use Aurena client in Apps 10 or IFS Cloud ask for the old functionality to configure the attachment panel if it should show icons, lists or details. Of course it is possible to press the button ‘Document Revisions’ to see all the details of all attached documents.Is it on the roadmap for DocMan to offer a possibilty for getting the table view of all connected documents in the attachment panel? This should not be a big modification and would help all customers who have lot of documents attached.Best regardsHeinz

With WIP report being a moment in time report, can I schedule the report to run at a certain time and then have it email that report or put it in the report archive to print later?

Good afternoon, I’m trying to set up macros for a customer environment and I’m unable to make it work for a customer environment in cloud. I’ll list out the bullet points of steps followed to see if anyone could help out: Downloaded and installed IFS Aurena Extension (for correct environment) Created new Doc Class Created Document Macro Blocks    Created Document Macros:   Entered the Object Attributes for Macros:    Copied Macros into Doc Class Management page (checkin, checkout, createnew)   Created Checkin, Checkout and Createnew in Doc Class Process Action with macro option: RunIfOnlyOne (tried SelectAndRun too) - and Name Files Using: Force Document Title and Name.   Made sure that on Object Connections, the Logical Unit contains the “DocReferenceObject”   Then when creating a document from the LU chosen, and opening the Word Doc (doing it for Word07 - Docx), and clicking on: Insert > Quick Part > Document Information > DocProperty   After following those steps, I a

 Hello, I am using IFS version 8. On some computers, when "view" is tried in the document management system, it throws it from IFS. Is anyone experiencing this problem. IFS closes on my computer with the same user, but not on my friend's computer.

Hello Everyone, There is a requirement to send Attachments  with the same email of the Purchase Order’s Print Order...The mail should contain the attachments of the Purchase Order as well as the Purchase Order report.This should be happen only if the attachments are in specific document classes eg: 4600 - 4699.This should be work in Aurena as well. Please let me know if you have any idea of how to do this.  Many Thanks,Denuka

Is it possible to attach documents to a Work Center in Apps10?

Previously, the object connections in the document revision page showed both the object ID in the key field and the object description. Can both of these information be displayed here? 

Anybody who ever managed to pick up Technical Characteristics and merge them into a document using macros?If so - can you share how to set up the object connection to manage this?

I am trying to enable macros for MS Word from Demo Showroom environment 22R2. I have copied my macros from an environment also 22R2 that works - but in my demoshowroom environment - the IFS Fields are not appearing in MS WordI noticed that I got a message that Macros has been blocked. But after having enabled all macros in the MS Word Trust Center - the IFS fields are still not vissible for insert in the document.Any tips must appreciated :-)  This is for a very important demo and this is a key scenario for the customer/kim

Hi I wanted to ask if it is possible to preview a pdf document in a new browser window or a new tab (sheet). Currently, the preview runs within the same window/sheet.(IFS Cloud)

Hi All,When we creating a new revision of an existing document, if we uncheck the "Keep file" option, there is no drag and drop option enabled in ‘New Document Revision’.Why this functionality is not added to the ‘New Document Revision’ ? If anyone needs to add a document it should be done through Document Revision window. This causes a time loss. Best Regards,Roshan 

  HiThe responsible person on the document changes when we create a new revision. The customer says that in app 8 the responsible person does not change. Is it a bug that it changes now?I don't know much about this so I have to ask here 😊  BrLinda

Hello, We have some issue with our customer regarding Document management deployment.Internal database has restricted storage capacity, which is not viable in the long run. FSS solution has a cost per utilization, which is not a possible solution regarding its costFirst, the customer project is the following :1st go-live with an On-premise installation of IFS Cloud Switch from On-premise to IFS Cloud as a service installation Roll-out 6 months later on a IFS as a service installationIn the long run, document storage solution must be compatible with a Cloud installation. Standard solutions offered by IFS in terms of Document storage does seems not to allow to have client-managed databases in a Cloud installation : e.g. an Azure Storage database owned and managed by the customer, which would be connected to the FSS storage solution. My questions are the following :Can an Azure Storage database owned and managed by the customer be used in a FSS storage solution ? If yes, how is the setup

Disable the deletion of the document revision.2. Disable the deletion of files. As a precondition, we are aware of the following.A.The [Responsible person] of a document revision cannot disable (uncheck) the [Administrator Access]/[Editor Access] permission.B. Even if [Status] of a document revision is set to [Release], it cannot be handled by [Status] because it can be deleted by setting the status to [Disabled].

Hello,  Is it possible for me to save my email somewhere so that it comes up automatically in a report output dialog box each time without me entering it? we have out email field and directory ID as email.  This is APPS10  

Is it possible to add documents to a shipment?I am attempting to link Customer Orders to their respective shipments, so I can have documents on the Customer Orders be available for printing when shipments print their delivery notes.I have looked into Object Connection Transformations, but the connections available do not seem to work properly. Hello,I am attempting to access attachments for shipments (I added the ability to store attachments on shipments, and for shipments to pull attachments from Customer Orders that have attachments as well). What would be the best process for accessing these attachments? An API call via a workflow, or a reporting rule?I have tried accessing them via a workflow that utilizes the api call “GetFileExtList(DocType):String” but handling the output is something I’m not familiar with as the documentation does not cover this scenario. I have looked into reporting rules but I am not sure if it’s possible to print attachments automatically when the report “shipment delivery note” is printed.Any insight would be greatly appreciated.Thanks,Bryan

Hello,I am not familiar with how IFS handles documents, but I am attempting to create a workflow and custom event/action to pull documents with the class code of 140/150 from a customer order to the shipment for that customer order.I also plan on creating another custom event/action to print that transferred document at the time when the delivery note is printed.I know how to create custom events/actions and workflows, but I’ve never interacted with documents before. Any advise on how to accomplish this or any direction would be greatly appreciated.Thanks,Bryan

When i view a PDF in Aurena using the eye icon, the digital signatures in the pdf are not visible.  I can see then when i download and open the file. Is this an Aurena limitation or a browser problem? 

When a user attaches a document to a manual supplier invoice the document is available to view from the GL Voucher Rows or GL Voucher Row Analysis screens.  I believe this is related to the fact that  on the document revision screen, Object tab the Gen Led Voucher Row and Ledger Items are included.  Where is this configured so I can get the documents that are attached to mixed payments and/or cash boxes copied to these GL objects like the AP Invoice documents?
