Hello Community,I hope everyone is doing fine.I need to create a copy of about 18,000(+) documents. The main reason to perform this task is that another company bought part of our company. Therefore, I need to create a copy of the physical documents of the business section sold to send documents to the other company.What will be the best to copy all the documents and create an extraction to move them to another database?Any idea how could I do that? Any format?Any type way to do that?What tables in IFS will contain the physical documents?Any advice on how to perform this project?We are using IFS 9 Any advice will be appreciated.Thanks,JL
Hello All,we have checked in some documents by using VAP-DMS/A. So far, everything looks good. The file ends up on the storage server and the users can also open it in IFS.Only the database background job are displaying a error “There exists no file to archive. ORA-20110: YvdmsExtArchiveUtil.ARCHNULL”The displayed error - Database Background Job → There exists no file to archive.I think the issue comes from VAP DMS/B, that we using before. Which background job must be inactive, to avoid this error? Or what are we doing wrong?Thank’s, Stefan
Hello, IFS 8 Versiyon. I get the following error when I want to upload a file to the document management. I just created the existing document class. When I select a legacy document class, the file is transferred.
The logical unit for the transaction lines of a Cash Box transaction is CashBoxLumpSum but when I go to the Object Connections window to enable attachments and search for the LU, there is nothing related to the Cash Box. The logical unit for the Cash Box Header Details is CashBox, but it isn’t found in the Object connections window either. How can we add attachments to a Cash Box transaction and/or Header Details.
A customer has copied their production database to a test database. That includes all the Document Management basic data. Their repositories are all FTP. They want to ensure that new documents created in their test environment do NOT get put into the repositories in which production documents are stored. I thought we could just remove the repository entries in the test environment but it is not allowed as there are thousands of documents linked to that repository.We created a new repository pointing to the test environment with all document classes going to it. Does anyone know a way to remove the other repository entries? Thanks!!

Hi,Replicating a question i raised approx 10 months ago regarding moving the DOCMAN repository to a new location after out FTP server crashed… well the one 10 months ago we were able to fix and get FTP up and running again so wasn’t a big issue.. now our other FTP server has died and now we need to move all the repositories to the new server..I’ve raised a case with IFS but all they did was to point me to my post from 10 months ago!!I’ve created the new FTP server, created the repository and user.I’ve created the repository to the new FTP server and the correct path and set it to Generating.. I tested this and i can create new documents to the new location…When i try to view existing documents that were created using the old FTP server i get an error stating the FTP server can’t be found..if I run the debug console when viewing the document it does appear to be still looking at the old location for the file…Is there something else i need to do to get this working?@durette @Mathias Dahl

Hi,I can not open File attached as *.JPG. as it complains about not any application associate with it, though mspaint.exe has already been associated.Only way to view it is to assign “Mspaint.exe” as” External viewer Application” and then open the file with external viewer app. is there any other solution for this? Hi,I had the previous understanding on default object access levels setting as follows.“Setting Default Object Access Levels is another way of granting permission to the users who are not under "Persons and Groups of a document class with restrictions.For example if User B is not under persons and groups of the document class X but is connected to the object type Project Y, where User A has attached a document from document class X, then what type of access the User B will have on the document attached by user A.So, setting a default object access level will depend on your requirement for the connected users to an object to access the document and levels of access. (Admin, Edit and View) Ex: Admin Access = "If this check box is selected, this will be the maximum allowed access given to a user with access to an object belonging to the corresponding object type, when this object is connected to a document of the corresponding document class." HiWe are working on setting up a new FTP server for IFS Apps 10 Document Management but looking for guidance on the setup/config requirements for the server.if there is a document that can be shared even better, as the IFS help files don’t go into this level of detail. Some questions below:Does IFS support using an SMB share from windows? If yes, are there any steps we need to take to ensure this works correctly? If the answer to the above is no. Does the FTP Server have to be hosted on Linux or can it be on windows? Does IFS communicate via SFTP or just FTP? Can the FTP server be ring-fenced in terms of network so only the IFS server can access it? Reducing any security concerns for that server. If FTP is required, are there any 3rd party FTP services that are unsupported, for example, winscp or filezilla? Thanks in advanceShaun
I have a client with extensive requirements on handling emails in IFS Applications 10. The requirements can be divided in two separate things;Storing emails as .msg documents connected to specific objects in IFS. Viewing the emails in an efficient way from the IFS entity the emails is connected to.Requirement 1 above can be handled good enough but we face some challenges with the second requirement.What the customer would like to do is to toggle between the connected emails and see a preview of the email content.Have anyone came across a solution to this issue, a brilliant configuration, great third party tool or any other creative way of handling this?The client is running IFS Aurena in IFS Applications 10.
Hello,are there any ways to perfom some checks to maintain the safety and quality of DMS content?security related: make sure that before saving a document into the database, it’s free of any virus and any malicious content quality related: when there are many documents, it can be complex for users to check if the document they upload already exists and could be connected, or should be created. It’s far more quick and easy to upload the document. Are there any embedded features to search for potential candidates? There are DMS engines performing this kind of check. Thanks

Hi AllHave any users in this forum got experience on Migrating a set of documents from Sharepoint to IFS? How did you carry out the migration? What were the challenges you faced in terms of document size, disc space, IFS performance etc? Any reflections on the lessons learnt would be great. Hello, I am seeing an issue where a user cannot reject an approval routing step. They receive a message stating that Foundation 1 user does not exist. The message is referencing their email address. There are no event actions tied to this, so I am not sure what is creating this error. He is able to Approve without issue. Any guidance would be appreciated!
We recently upgraded our IFS from apps 9 to 10 , there is one issue we are struggling with. We have document attached to different transaction stored in file repository of file server. the problem is we have to give them back all the permissions again in new environment. Is there a easy to transfer their location from external file system to db location.
