Document Management (DocMan)

I'm doing a customization for an assistant, and I need to upload some media files there.I have checked the existing assistant similar to this and did the exact development. But I'm getting the error "Unable to fulfill the request due to unexpected server state" and 500 status code for MediaObject in Dev tool. And I noticed that there's a Java class attached to the Projection also. Is it mandatory to create a java class for these kind of media file uploads?  

A person can be assigned to several person groups in the document managment area.Is there a page in Aurena wich shows a list of all assinged person groups for one person?

Hi,We created a command button called “Email Quotation” in the Sales Quotation window. Once the user presses the command button, the system will open up the new outlook mail attached with the relevant sales quotation report pdf. At the moment this is working fine (used “agentcall DownloadAndSend”) but the customer needs to get the e-signature into the new outlook mail. Is it possible to open up new outlook mail with a loaded e-signature in Aurena? Please see the below screenshots of how this works in the Aurena application right now.  Also, I checked the formatted text in outlook mail. It's “Aa plain Text”.  

Dear All,This error occurs on APPS9.In every window when we go to create a new document, it shows this error message. I checked the docman_temp_path using cofiguration.xml and the mentioned folder is already in the correct location. can’t determine what is the reason for this issue. kindly, expecting a favourable response from you. Hi everyone,I would like to know why I can’t see correct docman class and correct file type.See the screen on below :My settings  I create a BA in outloook with wordx file  : finally I received   docman revision  Question is -  why if I have in my settings docman class CORR, I received docman in DCORRR classand why if I Attached wordx from outlook I received autocad file in IFS CLOUD. Maybe its just a simple set up :)

We want to execute a document macro after creating from template. Follwoing procedure is supposed:the document is created with class and format file is copied from template file is checked out macro CREATENEW should be executed!The macro is not executed. Instead the file is only opened. HiAt various points, we need to get 100+ documents out of IFS, and leave at a specific path for others to then take. Is it possible to get these documents out via PLSQL. By searching the community i have found others who got documents out by mail, but with 100+ documents at a time this does not seem like a feasible solution.We have discussed having a Custom menu with a PLSQL method underneath. Could this work?And is it possible to place the files on the users machine, or only one central spotBest Regards

Hello Everyone, can anyone help to understand how we can create lobby of DM, I can see all lobby for other module but for doc. management there is nothing. do we need to create or is there any option to enable view? 

We have a customer who wants to capture really large files from Technical inspections - typically Videos and high resolution images.They have an option on running this on Appl 10, but eventually will have to move this to IFS Cloud.The files also needs to be shared with external parties on inspections where thrid party contractors are involved and the files needs to be accessible from with IFS Document Management if possible.Question is if we somehow can use a shared location for this - customer has asked if Snowflake could be a supported platform.I am not an expert in technical file sharing - so here is my question :-:I know we can store large files on shared locations - but does this also cover solutions like snowflake? If a file is entered via document management and stored on a shared location - can we then also share access to the file from share directly to external parties - like e.g. allowing a contractor to view a video stored in Snowflake (or similar) directly - as well as let

Hi,I get below error when a project forecast is trying to approve. The data i created is in Reg Test lkp.Is this a known issue. Why i suspect this as a bug is that, the error has no connection with what i do. I am using a simple approval template (with only one step) and the forecast, or the approval template is not connected to any document. Error says something about a Signature (?)If i am wrong pls let me know how should i proceed.Above can recreate just by getting a forecast in state 'Approval in Progress’ and then try to execute the approval step in the template and observe the error.Thank you,Roshan  

Hi,The attachment section the New and Attach options are greyed out for Jttask screen even if the setup is available in object connection. is there any other thing we need to consider to make it work ? tried refreshing cache also doesn’t seems to work.App version  - IFS10any lead will really appreciated. :) Thanks in AdvanceAmitesh

Digitization is gaining momentum and is hyped in many corporate powepoints, but how can we as users of IFS DocMan move from pdf attachments to objects, to receiving structured information from suppliers?Are there any standards supported by IFS and suppliers that  I could research in order to facilitate this? Would appreciate to know more, and also get in touch with users that already are on the journny!  Regards, Dan

Hello, I wanted to reach out to the community to see if others have had similiar queries from customers regarding document mangement person groups across several companies. My customer will have around 50 entities- so this could be 400 + person groups to maintain and manage- have others been able to provide a solution around how this can be handled?  Your feedback would be much appreciated! RegardsAisha

Hi We have a need to be able to make certain attached documents on invoices available for Audit purposes. The process today involves members of bookkeeping manually finding the invoices, then finding the attached documents of a specific Class, then going to doc rev, then viewing the document as going to save as in word to save the document in a specific shared folder. For hundreds of documentsGiven the invoices from bookkeping, it is simple enough to find the attached documents, but how can i extract copies, not the originals, from IFS? Some of the doc Class are saved in the database repository and some in an FTP. Best Regards

This is to view attachments for Invoices which have been forwarded to a project activity.I have setup the OCT, but the attachment isn’t appearing, wonder what I have missed? Can anyone kindly point me to where I will find the documentation for IFS Document Management for Apps 10? I am an end user (IT Manager) and quite new to IFS and am trying to get to grips with how our system is set up.I have found many pages/docs that are related to this but nothing which explains broadly how document management works and then drills down to all the details like document class management, user/group access, etc.We have a pretty basic setup from what I can see so just need something that will get me going. We have many users who need access to things like specification documents attached to inventory parts and they don’t currently have access.Many thanks,Matt

We would like to have a document attached to the Work Task Template transferred to the MWO service app when the Work Order is sent to an Engineer. I believe we need to use Object Transformations but I have no idea how to create them.Can someone please help?Thanks,

Hi,It is not possible to give administrator access to documents in IFS Aurena Client B2B client to those who have access to connected Work Task. Administrator access can only be given by person or by document group. Those who access to connected Work Task, have document view access.   The reason for having administrator access to B2B users on a document, is that you need to have administrator access to be able to download -, update - and upload document file to new document revision, according to standard functionality. The B2B users only see and have access to the last released document revision with IFS Aurena Client B2B client The creator of work task with attached documents, do not know which B2B user that should do this upload and then we need more than one B2B user in each contractor that are in this document group. When users in contractor company leave or new user start, document group need to be updated according to this change.
