Document Management (DocMan)

Hi all,This is to see if anyone else encounters this scenario and if they have a solution for IFS Cloud.We currently have technical drawings that are sent to us as PDFs and we store them within IFS Doc Man.When the file is being viewed, we would ideally like IFS to watermark these files with the document attributes (e.g. doc number, sheet number, revision number etc.)  Any ideas?Thanks,Zac

I am curious if IFS has any demos or documentation that could be sent to me that covers the basic purpose and function of the Document Management module in Cloud. If not, does IFS record their webinars? If so, can they be sent out to customers? Specifically I'd like to be able to view the IFS Apps 10 - IFS Document Management Overview & Demo from July 9, 2020, as I'm sure it would still be largely applicable for Cloud.

We are having issued with Microsoft New Outlook - when there is more than one attachment in an email and the user want to save them, the new Outlook automatically Zips the file when they save attachments.  When a user then adds one of these attachments e.g. in PDF format to IFS, it cannot be viewed.     Is anyone else having this type of issue?

HiI am having a problem give permission of “Work Assignment Information” tree view to general users. This tree view is under the window My Task ( under Service and Maintenance module, attached ) in IFSAPP10. I have already checked both presentation objects and Database objects in the permission set window but unable to find anything related with the text of tree view menu, so, unable to give permission from permission window. The users I am trying to give permission can access My Work window.  Thank you

Can an attached document to an entity somehow be attached through the system automatically to other related entities?  For example, a document attached to a Purchase Requisition, can we make the documents flow to the PO so PO Authorizer can easily see the document when approving?

We have a client using the B2B Supplier Portal (for Cloud) and we are utilizing Document Structures for all of the drawings needed to manufacture all the subcomponents of a Purchase part. The Parent Document is connected to the Purchase Part.  It will be visible on the B2B Portal.  Is there a way to have the documents in the consists of Tab of the Document Revision automatically be shown in the Attachments.  I have tried Object Transformations using the source LU (DocStructure) and the Destination LU (DocIssue), but the transformation does not work. Thanks,Gregg 

Normally, a document can't be Checked In after the status has been changed to Released. Therefore, the requirement is that, the status should not be able to be set to Released without a document being Checked In”. Can this be done from application? I know this can be done through a custom event. But I want to know whether this can be setup through document basic data or may be through document default values screen? Please advise.  

Is there a way to track a user acknowledging review of a new document revision?  We store our procedures in Doc Management.  When we revise a procedure, we need a method to track that users have been given the new procedure and have read it.We are in Apps 10 UPD9.

Hi, When a new record is created on the Document Revision screen, I want IFSAPP to automatically be the responsible person of the uploaded document for a certain document class. I tried to do this as an event but it doesn't seem possible. How can I do this?

24.1.6My document default value for ATTACH_CREATE_NEW_FORM = Create Document Assistant.The document default value for OBJ_CONN_REQ = N at the global level and also N at the Document Class level (class = MW-TRAIN).The Object Type ShopOrd is NOT setup for Quick Object Connect.When I create a new document revision at the Shop Order header, in the Document Information panel of the Assistant I enter a Class (MW-TRAIN) and Title and I do not attach a file. In the Object Connections panel of the Assistant I do not select a Document Folder or any Other Connections.When I select Finish, the document revision is created but it is not connected to the Shop Order header.I understand that I can change the default value for ATTACH_CREATE_NEW_FORM to Create New Document and I will get the desired results (document created AND connected to the Shop Order header).Why does the Create Document Assistant make an object connection only when the source object is an object that is setup for Quick Object Conn

Hi,I have setup an object connection transformation to transfer documents from Training Participant page to Training History page of the Employee file. I have tested the transformation and it didn’t show any errors but attachments are not moving automatically.    Anything else I need to check here that I have missed? /Indika

Currently, in the Document Structure tree navigator, only the document title is shown.  Is there a way to change the label to also include the Document Number?  I have looked in the Page Designer but cannot find anything.  I know for the Document Folder navigator, you can set what is visible on the Document Defaults screen. Is there a similar setting somewhere else where we can set for the Document Structure Navigator?  

In IFS Apps10 we have set up various document classes, person groups and associated the person groups to specific document classes to ensure that only appropriate people can view documents that have been attached to transactions.   I have successfully defaulted the document classes by setting up Key Ref’s or Object Conditions on the Document Defaults per Object tab on the Document Basic screen. Example:the default document class when a user in Company 640 attaches a document on the ManSuppInvoice logical unit is 640-AP_INV the default document class when a user in Company 100 attaches a document to the Voucher logical unit is 100-VOUC   etc. I noticed in Cloud that the defaults that we have set up based on the LU’s don’t seem to be working. Does anyone have any suggestions as to what the difference between EE and Cloud might be?Thanks

Hello,  While trying to upload the document either in PC or mobile app, the screen gets stuck while syncing and the uploading of document is not happening. When i remove the document and sync again it gets synced with cloud but when I attach the document, it gets stuck in the screen which i attached and the sync doesn’t happen. We have a customer running on IFS 10 UPD10 on Microsoft Azure Cloud (in their own subscription, not in IFS Managed Cloud). They are using the IFS Docman functionality extensively, with a large number of documents saved on an FTP server.They are planning to upgrade to IFS Cloud (possibly 24R2 or later), and there’s a chance the installation will take place in Oracle Cloud. As we know, IFS no longer supports FTP as a repository, but IFS Cloud currently supports "File Storage" using an SMB (Server Message Block) share to store files.My questions are: Can we use the Cloud File Storage Migration Tool to migrate files from IFS 10 (from the FTP server) to IFS Cloud (SMB share)? Note: I read about the limited support for this tool. However, I would like to know your opinion on whether we can rely on this tool, or if there is a better alternative. Hi All,The customer is deploying FSconnect AWS URL ( FTP to SFTP migration) by year end & currently it's in UAT & this clarification is related to SFTP development work which is on critical path.Whether the FSconnect application needs to use two separate ports for document transfer? If I upload a document with the aim to throw paper copy away, what are the chances of the document not being backed up?What if it crashes? How often do we do backup? 

A customer just upgraded from 23R1 to 24R1 and during an audit of Oracle accounts and there was one account that was questioned, DOCMAN_ESIGN_USER. I cannot find any information on this account in our technical documentation. It appears to have been created by 24R1.  It sounds like it would be connected to new Digital Signatures functionality, but there is no info on it.What should i recommend my customer to do with this account? What is it used for?

Hello,I have IFS Cloud Installation Using 22R1 using remote deployment on Azure Storage.If there any way to use Azure Storage for DocMan. I have tired using Shared Path but seems its working.in This i have created Repositotary Address using \\<ServerName>\<path mapped on the server given user name password for the server. Added Same Address in Repositotary and used port 22 (SCP) as the azure storage path is mapped to linux server. But While check in the document its failing to connet to the Respositotary.Please suggest. Storing documents on Database is not a very good option.RegardsPankaj

Hello, We currently have an ongoing issue for some users regarding the Aurena Agent. Some users report that they cannot upload or download files due to the following error.- EdmFile.The "EDM File" has already been removed by another user.- Something went wrong when uploading the file using the Aurena Agent. Error message: Missing or empty mandatory parameter: odataWe have added the correct permissions to said users and have confirmed that the users have installed the .msi file and the chrome extension correctly.Any and all advise would be greatly appreciated.Thanks,Bryan

I have created an OCT that associates the equipment image with newly created tasks.This works well, and the assignment list in MWO shows the image.For some tasks I would like to replace/override the inherited image with another one to let the user distinguish between normal jobs and component replacements. Is there a way to remove/un-associate the inherited image? When I upload an additional one, MWO still shows the inherited, not sure if it picks the first one based on creation. In any case, nothing I can alter.
