Restrict access to time card results

As per current setup, employees have access to their own time card and they can edit/delete time card results from “Time Card” screen. We need to restrict this access so that they should only view their time card results but should’nt be able to change or delete anything, and that access will only be with their managers.Please advise.

Protected identity for Employees

Hi Community!We are seeking guidance on best practices for managing cases where a company employs individuals with protected personal information, such as name, address, and similar data. While it is necessary to store details such as address and personal identity number within the system, access to this information needs to be restricted to a limited number of authorized users.I’ve been looking in to Personal Data Management (not fully), but we don’t want to anonymize completely..This situation is not very common but occurs occasionally -  in Sweden at least. Could someone please advise on recommended approaches or share how other customers have successfully approached these kind of situations? Best regards, Anna

Payroll Export File

Hi @All,we are currently working with IFS Payroll for Germany. As this module will not be usable up to 2028, we are currently plan to implement a new payroll system. We know that there should be a report/file to transfer the data (time clockings, wages) to the payroll system. Can someone give us a hint, where we can find the function for the export? And is it possible to configure the file or do we have to use it as it is?Thanks for your answers.BRAndre

HI all,Please guide me on possibility of doing this. From an integration we are receiving external links (https) to download person images, and we have to save them for relevant person’s image in apps10 EE.

Employee set up in the wrong company

A new employee has been set up in the wrong company by our HR team having already being assigned their person and employee ID, they need to be paid expenses and eventually overtime, how can they be moved to the correct company so that they are accessible to users in the company they initially were supposed to be set up in?

Expense Sheet Authorisation and Approval

Have any IFS Cloud users been able to configure the system so that a Project Manager can authorise or approve an Expense Sheet ?Our current configuration has Line Manager approval and Finance authorisation, with the Project Manager only seeing the expense once it shows on the Project Transactions view. Surely the Project Manager, as the budget holder, should be able to either approve or authorise the expense before it hits the project transactions.

Cant't authorise Time Card - no OK button

Hi,Please help with the following situation: confirmed worked time for employee can’t be authorised since there is no OK button (attached).What should be done to have OK button? Access role configuration seems ok. Supervisor access seems ok as well. Where else and what should be checked/set up to have authorisation ability?

Auto approve absence requests

I am attempting to auto approve absence requests in IFS. When a absence request comes in it is set to “Confirmed” status. I would like for it to be changed to “Approved”. I set the “Selection” parameter that is required to change the absence request state to approved, but it seems like it is not accepting the “keyref” key for the selection value. To verify I concatenated my own “KeyRef” value that matches “keyref” shown in the screenshot below. Still I receive json invalid error message. Do you think I should raise a ticket with IFS support for this? Supervisor - Access Setup [Per Company]

Hi Community From this screen I can grant HR Manager access. It works. However, it applies to all the companies at once right? How shall I grant access to only one company? Not position access, I just want to grant HR access to Peter for the Company 10 above.  The employee is a multi company employee and that has to be retained. Otherwise I can easily take off the access to the companies other than company 10 and grant HR Application Manager Access.Thanks,Asela

Quick Time Authorization Error

Access to view and edit work contact detail

We are trying to give a sub set of users access to the work contact details for all employees in a particular company.We do not want to grant supervisor access to this subset of users.There doesn’t appear to be a access attribute which gives access to the correct LU/area.We are already using protected persons to hide access to personal address details (and give access to a very small number of users - different to those needing work contact details access).We might be able to use projection grants to limit the access to unnecessary areas of the person/employee file.Can anyone suggest a suitable method to allow a user access to work contact details without exposing other HR data? Many thanksDave

Employee Performance Management

Hi All,I need some help understanding the scores displayed on the Performance Evaluation Details screen: How is the Score in Performance Summary calculated?  How can the Evaluator Score be updated? I believe this should be fetched from the score attached to the Performance Rating (Basic Data page), but it is not updating correctly. Any insights on the above would be appreciated.

HCM Supervisor setup configuration

Hello,IFS 25R1. HCM module has very flexible access settings. There are 2 blocks of settings: Supervisor Setup Configuration and Access Setup Configuration. Access Setup Configuration is the block of settings responsible for the access the user-employee can have access to other employees (simple example is the list of employees).My question is regarding Supervisor Setup Configuration block. It has 3 options (see attached) and I can’t notice the impact on access functionality switching between those options. The only thing I noticed: option Team and Supervisor allows to apply Supervisor directly at personal or employee files.What is the panned impact on access functionality of  Supervisor Setup Configuration block?Regards,Roman.

HCM Access Setup. Include Organization subordinates

Hello,In Position Access Setup there is a possibility to switch on Including Position subordinates. Afterwards new employees at pointed position will be able to see employees at current and lower positions.But in Position setup there is a filter by Organization as well. It is possible to switch on Organization subordinates as well. But manually. So every time when employee gets assignment on the position he can see employees in his organization, not employees in lower organizations.Please think about settings where it’s possible to set up automatic switch on for Include Organization subordinates on Supervision - access setup form.

Paid Lunch on Non-Workday

Hello Community, I’m trying to find a solution for a “Saturday Paid Lunch” (0.5 Hr.) when the employee(s) are not present.  Every Saturday, I need 0.5 Hr. of “Normal” on the Time Cards, workers or not.  My solution at the moment, … I’m treating (and testing) the lunch time as PHC event, every Saturday.  Is there any other way to do this without weekly “trigging” for each time card??  Thanks!Cheers, Troy

Absence Calculation wrong for half day absence

Version: IFS Cloud 23R2 Employee is having valid schedule. Absence Type MDL001 is configured as ‘Calendar Days’When applying this leave for half day (with either First half or Second half), it is doing wrong calculation.It is calculating Absence Duration as 0.17 Calendar Days, however it should be 0.5 days. Employee schedule is 8 hours; however system is doing calculation based on 4 hours/ 24 hours = 0.1666 days. There is another absence ‘Annual Vacation’ which is configured as ‘Working Days’, for that system is calculating half day leave correctly.The issue is happening when Absence is configured based on ‘Calendar Days’.Anyone has any idea about this issue? Please provide resolution, if you are aware.ThanksVikas Jain

Is it possible to remove the Expense Authorization step in IFS Cloud 25r1?

Hello,In our current IFS Cloud 25R1 setup, we have noticed that the standard expense process works as follows: The employee submits the expense sheet. The line manager reviews and approves it. The finance team must then authorize the expense sheet before it can proceed to payment. For our business process, once the line manager approves an expense, we would like it to be ready for payment without requiring the authorization step.My questions are: Is there any configuration setting in IFS Cloud 25R1 that allows us to remove or bypass the finance authorization step entirely? If not, has anyone implemented a workaround such as a custom event, workflow modification, or any other tailoring to achieve this? Are there any risks or limitations we should be aware of if we remove this step? Any guidance, examples, or documentation references would be greatly appreciated. Thank you in advance for your help!

How do I change the status in my time registration?

In "My Time Registration", the "Status" button that used to show the different statuses no longer exists in version 24R2 — only the "Confirm" button remains. Is there a configuration setting to bring back all the status options, or how can I restore them?

Unable to Create New Employee 22R2

Hi,I am receiving an error in 22R2 when trying to create a new employee. This error occurs with both a new Person ID and an existing Person ID. Any guidance would be appreciated.Note - the existing Person ID does not have any other employment.

Travel Request and Expense Sheet – Use of Posting Control Type TX5 (Expense Allowance)

Hi,I would like to ask about the use of the TX5 posting control type (expense allowance) in the context of the Travel Request and Expense Sheet.Currently:While creating a travel request, I submit an advance payment for the employee under the payment section.After authorization, the payment is executed and a voucher of type S is generated with posting controls EP1 and EPX.The entire amount is posted as a liability – I do not get any cost posting for this amount.What I would like to achieve:I would like the advance to be posted as a cost, and from what I understand, TX5 is intended for this purpose.The problem is that I don’t know when or how I can use TX5.I would greatly appreciate any help or guidance on how to set this up and use it properly.Best regards,Kamil

Registered Absences in Resource Monitoring Gantt

Hello!I am struggling with absences in “Resource Monitoring Gantt”. Whereas a planned absence in any status in not visible - which is reasonable for me - absence request is not visible neither in “Approved” status nor in any other status. How is a manager supposed to plan with incomplete data? Or do I something wrong? Otherwise absence request approved by supervisor is in my point of view serious enough to be part of Resource Monitoring Gantt.How do you see this issue? Thank you in advance, best regardsb.d

Employee not visible before a certain date

Hello,We are running into an issue where an employee is not showing up in Time Registration before a certain date. Their start date is about a month and a half before that date, and they have valid job assignments from their start date, but they “don’t exist” in time registration between their start date and about a month and a half afterwards. Has anyone else encountered this and know how to fix it?Thanks!
