Document Management (DocMan)

Hi,I am trying to execute the Archive Media Items background job. According to the technical description and F1-help it is possible to save media items in an Oracle folder (folder within the database server or a folder within the network.). A media archive with the appropriate storage location must be created. This works also so far.However, when the background job is started, no data is stored in the oracle folder. I assume that the media archive must be assigned to the media item. There is also an extra field (field name = “Media Archive”) for this in the windows "Media Item" and "Media Library Manager". Unfortunately, I do not manage to fill this field in any of those two windows.Does anyone have an idea how I can get a value into the field "Media Archive" in the windows "Media Item" and/or "Media Library Manager"?Thank you very much and best regardsTristan

Up to Applications 10 it was possible to manage originals and lend originals. Probably this was not used very often. I can’t find this functionality in IFS Cloud. Is it just solved in a different way or was it removed?

Hi All,If we copy a file that was saved to an external shared repository, and we place that copy in a folder that is located on the database server, the DBMS_LOB procedures in our process are able to read the file contents as BLOB values and add their contents to the outgoing JSON. But that was failed or have required manual preparation. We need help to handle files in a Repository that is not located on the database server.Someone with tech background that can help to explain this functionality .Or if this external repository handling is a limitation, Please let us know. Thanks & Best Regards,Nipun 

We have a customer who is upgrading from Apps8 On-Prem to Apps10 on our (Managed) Cloud    They currently ( in Apps8) use the ‘File Share’ as their document repository and our Cloud services team have clearly indicated that the only option they will support is ‘Database Repository’    Questions:Should we be concerned with the growth in the Db size or performance of routine tasks such as “db backup” with moving so many files into the “database repository” Have you had other customers who are asked to do a similar change as part of their upgrade to Cloud Services Is there a best practice for “moving” files from ‘File Share’ to ‘Database Repository’ as part of an upgrade project

We have a client request when attaching documents, they should not be visible in other screens but when you are connecting objects to a document revision, the connection is made to the object LU. Is there a way to limit access to one window? For example, they need absence related documentation to be accessed in Employee file, personal tab but LU ‘pers’ lets you access the documents if you are in the ‘personal files’ overview screen as well. Any way to limit access?  Thank you,

Hi ,There’s a requirement to transfer document from Serial Object to Part SerialThe setup is done in Object connection transformation and I have tested the transformation as well.Key in part serial is partno and serial no which is available in serial object.    After doing all the setup The attachement transfer is not working .any help or suggetion would be a great help. anything else I need to check here that I have missed?

Customer is asking for details about Document Management features (in IFS Cloud). Does a white paper or similar exist somewhere, I struggle to find such material. Someone please help.

Hello, I am working with a customer, who wants to enable a large amount of objects to control document access as they want to avoid person groups. These include Purchase Req Line Part and No Line Part, Purchase Order Line Part and No Line Part, Receipt, RFQ Part and No Part Lines, Sales Contract and Project Misc Procurement etc. Currently, I cannot enable these objects for access control because the LU’s aren’t able to retrieve the ‘Get-document-access’ package attached as standard, and would require a modification from what I have been told.  I wanted to ask if other customers have had similar requirements, where object access control was used for various LU’s or is there a list of objects for access control which will be introduced as standard set up at a later update?  RegardsAisha

Hi Everyone, I was wondering if anyone has ever come across this and if there is a way around instead of creating a new revision.To get the view copy into IFS you need to upload the word file from a folder containing both the word and pfd files, both with the same title. It then pulls through both the word and pdf copies. A user has only created the word doc and it's released, is there a way of adding the pdf to that record. 

Hi @Mathias Dahl,Currently one of the customization we are trying to uplift from App9 uses a standard method from cEDM class to print multiple reports. But the standard method, which was implemented in the cEDM class, we did not seem to find in 21R2.Could you Please, kindly let us know what is the standard method which had been having the same logic as cEDM's PrintExecuteMultiple() method. Hi, We need to manage a process where an end user (IFS Cloud 21R2 today, soon 22R1) shall request access to a document and current users with access shall be notified and upon approval automatically have the requesting user granted access to the document. Anyone who have done a clever config or mod for this? /Tor 

Hi,Is it possible to control basic data selection in e.g. context in IFS Cloud as it is possible to control basic data in the profile, e.g. IFS8. It applies to several basic data in both DocMan and other IFS modules.Or is there another way to solve this? The point is that not everyone should have access to all document classes but only be able to choose those who are for the company you work in.The question comes from a customer where there will be several companies working on the same application. Our Customer setup the Database as EDM-repository when they went live (Apps 10). Now, they need in addition some FTP Repositories for local storage acc. to local regulations.The setup was done, but the files remain in the database.Checking our “Help”, it is mentioned, that the file can only be stored in one repository!Which setup to be done to fulfill their local requirements as well?Thank you Wolfgang

HiI have in File types PDF as a View Copy file type in IFS Cloud.Apparently that prevents me from choosing PDF files when checking in a new document as original.Is there any way to come around that?Some files for example a CV from an Applicant in HR, will typically be uploaded as a PDF file from the start, and I want that checked in as a new document/kim

The customer has installed the Aurena Agent successfully and it can be verified from user settings page. Also from the console tab in background page for chrome extension I can see the below line got message from agent: {"method":"Hello","value":"Hi!","status":"SUCCESS","version":"0.1","guid":"32b83171-5db9-4c85-aa37-851c4c9fa5fa"}but when I try to view a document nothing happens and not even an error is raised. The last call in the log is below got message from agent: {"method":"GetLocalProperty","value":null,"status":"SUCCESS","version":"0.1","guid":"32b83171-5db9-4c85-aa37-851c4c9fa5fa"} When I compared it with an internal environment, it is missing the DownloadAndOpen method call. What could be the reason here? I have attached the log file for further reference

IFS version: Cloud21, R1: There was an earlier topic about the need to configure the attachment pane, so users have the option to use a more space efficient table view. (Similar to in IEE) Hopefully, that is on the development horizon. In the meantime, the card view really needs to display the document class and description. This is essential. Otherwise, there is no way for sure what the doc actually is, except to guess based on the title. A spec, a SOW, a test procedure? As this is a primary key for the doc, it is a must. 

Hello, We currently are using document management and approvals of documents.  When we start approval process on the document the approvers in the list of approvers on the document receive an email telling them about a document requiring approval and the document is attached to the email for them to view. We’d like to utilize the IFS Notify Me application so someone who may not have direct access to IFS can receive the notification of the pending approval request and ideally be able to approve or reject the document from the IFS Notify Me application. Is this functionality available within IFS Application 10 Update 8 or above?Do we need to define a custom action to accomplish the functionality? Regards,William Klotz

When setting up Repositories to shared network locations, can multiple Document Classes be stored in the same path?Repositiory ID = CSCDocument Classes 1,2 & 3 all go to the same network folder path.

Do you have a idea of the reason that explains why it appears the following error message after creation of a document from a template ?
