Document Management (DocMan)

It appears that the IFS Cloud File Storage (FS) repository in cloud is limited to a single share.  Is this going to change in releases after 24r2?  I tried using DFS instead of a traditional share and the storage pods report errors when they spin up.… may need to use SHARED repositories but I don’t want to face them being deprecated in future releases.Any ideas?

Hi, Does anyone know how files physically appear in IFS Managed Cloud File Repository, If I create repository ids as below does that create folders lime FS1, FS3 and FS4 ? Or  Is it a single place where system store the path in a way to uniqly identify the file when referring 

Has there been a change in the system? Every document is pulling through will update allowed during approval turned on when this should be off as default – only allowed for certain documents, controlled documents should not be amended once doc controller signed off

Hi IFS Community, Our customer is a IFS Managed cloud customer. Our current document file repository id Database. We started moving the documents to Cloud File Storage in TRN environment. In IFS Managed cloud the Cloud file storage is something which only IFS has access and even customer doesn’t have access.. So there is no way to see what is happening there.I have moved around 15000 files from Database to Cloud File Repository for testing purpose in TRN. Now we have a requirement of cloning PROD to TRN. PROD has no files in cloud file storage repository. In TRN some files moved to cloud FSS and some are in database. I am going to re begin the document transfer in TRN after PROD copy.In normal database clone request only database copy happen and since there is no FSS in PROD we do not need to initiate new FSS clone request in this case. But below two tables are not replaced in a environment during the cloning.EDM_LOCATION_USER_TABEDM_LOCATION_TAB But EDM_FILE_TAB , EDM_FILE_STORAGE_TAB

Good day.  I would appreciate feedback on the following please: after attaching a “Comments” file from the Receiver of a Document Transmittal, the Comments Received field is updated as “Yes” on the line level under the “Documents” tab.  The “Comments Received” field on the Header level though does not update:Anyone that knows why this is and what is required for this field to be updated?Thank you.Anya

The transmittal function does not show to have any updated functionality in the coming updates. At this time the transmittal function shows it is being both "created and sent" as an email, but no actual email is being created or sent.What is the plan?

It is a great advantage if we can offer a standard interface for customer projects, which already have the basic configurations including Boomi connection, so that external DMS archive systems can be connected more quickly and easily. Currently, this has to be implemented anew in every customer project.You would then only have to configure the part Boomi → external DMS archive systems. Hi, I could use some help here and hope someone can advise me. How can I set up the system so that an attachment added to a purchase requisition is automatically visible in the Attachment panel of the resulting purchase order, and also in the customer order that gets created?Thanks:-)BrLinda

Dear Community,  Have anyone seen that error when we try to open an attached file from IFS EE Apps8?  When I checked the check out folder, it looks the attachment file was not created. It looks EE are not able to create the file there. But the test environment is able to create the file and open it without any issue. This happens in every client machine, not just in only a few. Has anyone seen this earlier? Thank you very much for any thoughts. Best regards, Balazs

Share link from IFS – Document Revision – link does not seem to work for the combination of View and Latest Released. When using Create Document Assistant, trying to connect a Document to another Document Revision, there is no selector for the document revision.  The Object Connection is set up for DocIssueand the Quick Object Connection is set up for the specific Document Class. How do I get the selector for the Document Revision?Gregg

Hi1) Is it possible to assign separate directories to separate document classes on the SMB share? Currently we have the share \\Ifsc-mgt-cfg\DOC but e.g. when we wanted to assign another CLASS1 document class to the path \\Ifsc-mgt-cfg\DOC\CLASS1 (created directory on share) the file was saved in \\Ifsc-mgt-cfg\DOC - screen1, screen22) Files on SMB share are saved with random name (screen3). Dear all,we are running IFS Cloud 21R2 as remote installation. Our IFS DB is growing and big portion of the volume are document attachments, therefore we would like to move them to a file storage service. We see “File Storage” option in document management repository, but we would like to confirmwhat “File Storage” services this option is supported with on remote installation, is it Azure File Storage or Azure Blob Storage or both? are there any prerequisites to make “File Storage” option working with Remote Installation?   can you pls. extend IFS documentation with more detailed information regarding the usage of “File Storage” and what storage services are exactly supported with remote installation of IFS Cloud? can you pls. extend IFS technical documentation with a configuration guide for the file storage repository?  is there any plan to support other file storage services with next releases of IFS Cloud?  Thanks Jan

Hello,We are on Cloud 24R2 with a remote installation. Our repositories are configured as shared, but when I try to attach a new doc to an object I get errors. When I try to view existing docs, I get failed to connect errors. What am I missing? Can someone point me in the right direction to resolve this?

Hello,Has anyone experienced a similar issue in IFS Cloud, where even if the user doesn't have access to Map Position or Media, these tabs are still visible to them in attachments? However, when the user tries to access those tabs, they get an error regarding insufficient privileges.

HiI have configured DOCMAN to attach files via IFS Cloud using SMB filestorage. When testing the attachment, the file is successfully copied to the configured folder. However, when I try to download the file from the IFS interface, the downloaded file is 0 bytes and cannot be opened.Could you please advise how to check or troubleshoot this issue?

In Apps10, is it possible to configure an attachment (based up on the text that is in it’s title) to only be visible in one tab but not any others?I want to add an attachment to the Work Orders tab in Project Navigator but I don’t want this attachment visible in any other tab. It is a pdf but it has to only be visible in Work Orders if the name has “Checklist” in it.Is this possible?Thank you.

Tried to find answers through existing posts but couldn't find any.Here is the context of my situation: I am currently working on an IFS Cloud implementation for a defence sector customer with operations across multiple countries. The IFS Cloud environment is hosted on-premise. Due to legal requirements, the defence customer must store documents within the respective countries where their operations are located.At the moment File storage only support one location and even though the use of FTP and SHARED repository types has been disabled by default. A system administrator can enable it by changing the value of the object property FTP_SHARED_OVERRIDE in the object LU Edm Location from DISABLED to FORCE_ENABLE_DEPRECATED_FEATURE.​@Mathias Dahl commented that the support for FTP and Shared repositories are not removed yet, and it will not remove it u

We have a client where one Department (and it’s users) are responsible for managing several IFS “modules”, ideally when these users log into the system each day they need to have a screen that displays all of the system elements for the 3 modules they are responsible for. We’ve created 3 different lobbies for them, one for each module, but can only define 1 of them as being the start page.We can bookmark each of the 3 lobbies and then include them in a departmental bookmark group, but we can find no way of setting this bookmark group as being the Start Page.Is there any way of doing this without modifying the system?

I have followed the tutorial described in “Upload document via CreateAndImportDocument.svc/EdmFileSet” but run into a problem using this in IFS10 together with Postman. I am able to create the documentURL but when I want to upload the file content the system responds with "The fomat 'application/octet-stream' is not supported" when the file is a PDF file and I have set the filename to the base64 equivalent. Does anyone knows why this happening? 

Does anyone know how to navigate from e.g. a lobby to Document Folder Navigator and get it populated in expand mode in the same way as when it’s opened from the navigator.? The navigation from the lobby populate it, but without the expand button.In the navigator it has Entry Type TREE. I've tried with parameters in the URL but hasn't managed.
