Hi Community,I am trying to set up the Office Add-In feature in IFS Document Management. I managed to Install and set it up. But I am facing an issue here.I have set up my setting as below.  In here I am using below email and I am trying to attach only the attachments. Note that I have a signature and it contains few images. When I try only to add the attachments, Create document from Microsoft office opens up with 7 attached files. I think its picking the images from the mail body as well.  Is there anything that I can do to avoid this. Even I can select which documents needs to be uploaded it still picking the mail body images. Is this intended? Anything that I can do to avoid this please? Thanks,Chamath

I am trying to create a Report Rule with an Action to Check In To Document Management.  When I print the document, I can get the system to create a Document based on the Document Class.  I need to also connect to an LU.  The LU is a Document Folder.  If my Document Folder name is Supplier, how would I enter the information in the Connected LU field?The Documentation has the following for Connected LU:<u>ConnectedLU / KeyRef:</u> You can specify if the generated report should be attached to an application form as an attachment. In this case you have to specify the LU and key-value pair to uniquely identify an instance in the LU. For example, if you want to attach the 'Invoice' report, in to the 'Customer Invoice' form, you need to specify the LU as 'CustomerOrder" from the ConnectLU combobox and Invoice\_no as the key and a value for that key. You can hardcode a value or retrieve the value from a xpath.But I am unsure of what to enter…. Any help would be appreciated.Gregg

Our Engineering team is trying to enter technical drawings for parts and then find out where other users can access them in IFS.  For example, where can a Buyer see the drawing to send to a supplier?  Where can the Shop Floor see the drawing for specs etc in production?

In Apps9 we can quickly create object connections between a document revision and multiple objects (for example several Shop Orders). When adding a row in the Objects tab in Document Revision window the Connect Object dialog appears and I can choose an Object type and then search and select multiple rows to connect to the document revision.I can’t find this functionality in Aurena (Cloud), hope someone could help me!

Hello,I have a question about documents uploaded in addition to IFS. The file where the documents are kept works with FTP. There is a single file path and it saves the document in a single place without separating the class.With the change of all servers in the company, IFS, FTP etc. servers also changed. The structure we want to create on the new servers is to give different file locations for file classes and save each file in the file location of the relevant class. We can do this scenario.My main problem is that all document classes are in a single path and in the H2 pool on the old server. What I want to do is to be able to view the relevant documents on the old server from the new folder created for the relevant class on the new server.What I really want is to be able to access the documents saved on the old server from the file I opened on the new server.How can I achieve this without making any updates from the database or by updating in a healthy way?

User with set of permissions is not able to view the documents(do not get eye icon as shown below) but when we try with same set of permissions on other user, he is able to see eye icon, why is it so ? Is it driven on some other accesses ? Person facing issues is added in the person groups already. 

Trying to find out if there are any known instances where IFS CLOUD has been implemented and integrated with a Document / Content Management system called Hyland OnBase. I’ve checked the Hyland OnBase website which lists multiple integrations but the list doesn’t include IFS. I’m trying to find out if this will be a “first of a kind”, or if its been done previously elsewhere

Hello, We are working in IFS cloud v24r1 SU3 In the document management structure of IFS we have a very simple set up. one person group with every user in the group. The group has full access to the access templates we have set up on the app. I would like to know the capabilities of distributing the documents in the platform. is there a way to distribute attached documents to everyone in the person group? is there a way to distribute attached documents to people i select within the group of people

Hello experts, We want to show the documents attached to a specific part revision in engineering part navigator in a custom tab. Basically this will be the same as what we can see in document tab in attachment panel at the bottom of the page. However we are not sure how to filter out the documents as per the part revision. Hello, I would you ask you a question. How can I speed up data retrieval and exporting Oracle columns in excel? I find that indexes is good option, exist another options? Or when I will use indexes (for example) composite, how can I implement it? How can I find out in which table belongs certain view in IFS? Thank you

My task was to add new column SUM which will count values in two columns and in this column are decimal values with a dot, but I want decimal values with a comma, how can I change it? This is my query:“SELECT :QUANTITY + :QTY_WAIV_DEV_REJ FROM INVENTORY_VALUE_PART_LEVEL_EXT” I tried this command: “SELECT REPLACE(TO_CHAR(:QUANTITY, '99999999.9'), '.', ',') +        REPLACE(TO_CHAR(:QTY_WAIV_DEV_REJ, '999999999'), '.', ',')FROM INVENTORY_VALUE_PART_LEVEL_EXT  “ in SQL works, but in IFS it didnt retrieves any data.

There is a SharedDocs”appname” folder on the app server that fills up the disk with small files over time. These all appear to be uploaded document images. I found the references to this directory in the “appname”_configuration.xml file. <ifs.fndmws.internal.custom.java.options.main>-Difs.fnd.docman.shared.path=c:/IFS/SharedDocs”appname”/</ifs.fndmws.internal.custom.java.options.main><ifs.fndmws.internal.custom.java.options.int>-Difs.fnd.docman.shared.path=c:/IFS/SharedDocs”appname”/</ifs.fndmws.internal.custom.java.options.int><Docman.cluster.shared.path>c:/IFS/SharedDocs”appname”/</Docman.cluster.shared.path> Can anyone tell me if these are just temporary files created for upload to the database, and if so, is there a setting to clean these up after a given period of time or can they be cleaned up manually after processing is complete?

Hi,When using the distribution assistant by following the right click-->document distribution path from the document revision screen, the list is always empty for persons and groups. why is it caused? Does anyone have any information?  checked the following headings.“inactive for document distribution” option is not checked for all persons. All persons are defined in Document Management\Basic Data\Persons screen.

Hi Community, I have a question on the different behaviour in Apps9 v IFS Cloud when creating a new document. In apps9, if you create a new record from Document Revision, when you hit the Edit button, the application launches a dialog that prompts for the file type, once selected the associated program is launched. I dont seem to see the same behavour in IFS Cloud (23R2), can anyone confirm that this previous functionality is now depreciated and if so what is the work around, and if not, how do you create the same functionality in Cloud. To add some context, in the above scenario, if WORD file type was selected, a macro would run and populate the newly created document with the IFS properties, allowing them to be inserted (and therefore updated dynamically) going forward. Thanks in advance.David.  

I have a client needing to attach new documents to various objects.  Some documents are drawings and need to have the same document number as the Drawing Number and Revision they are attaching.  I have changed the default for the New Document in the Attachment Panel to utilize the Create Document Assistant so Document Numbers and Revisions can be added. If the Object the Document is being attached to, using the New Document, is not set up in the Quick Object Connect table, the document does not get connected to the Object. Is this a Bug? If I add the Object to the Quick Object Connect table, it will automatically be connected.Is there a setting to automatically have the Object connected when using the Create Document Assistant in the New Document Attachment Panel?  We have almost two hundred Objects that have the DocReferenceObject set up with the ability attach a document directly.If I add all of these Object to the Quick Object Connect, they will all show up on the Create Document As

Does IFS Document Management support attachment parsing for text documents WORD or PDF? basically the system to be able in examining the data present in a document like keywords and other text to make it available for SEARCH ? If this capability is not available ? are we going to include it as a model in Copilot for future releases?  is this on the Roadmap?

Hi all, I would need to change every document that is uploaded into the IFS environment so they would have restricted access. I have managed to find an option that will change one selected document (also an option that effects newly imported documents), but I would need to change every single one which is already uploaded. When I try to edit documents in document revisions I do not see such an option in editing window, is something like this possible? Or is the only way to do it a migration job? Thanks for your help. 

Recently in the Application Monitoring console we have noticed a large number of unsynchronised application search documents.  I am able to bring up the details of these but have not yet found a way to synchronise them and clear the system alert. We are on Apps10 update 20.  All of the scheduled database tasks around document management appear to be running without error, but none of these clear the growing issue.Any ideas on how to resolve this are appreciated.

Hello,  I would ask you a question. It is possible in Oracle Db updating or deleting data in views? I tried update column in some view, but I got error: “Cannot perform a DML operation on a read only view”. Is there an option to update view not in oracle db, but in IFS cloud app? Exist other options? Thanks

We're currently in the process of transitioning from APPS10 to IFS Cloud and are facing a significant challenge with migrating document attachments.In our APPS10 environment, we used a shared repository for storing documents. However, with the shift to IFS Cloud, we've encountered an issue as shared repositories are not supported in the cloud environment. While we have set up a database repository in IFS Cloud for new document attachments, which is working fine, we’re blocked when it comes to migrating the existing documents from APPS10.We need to ensure that all our existing document attachments in APPS10 can be brought over to IFS Cloud and remain accessible within the application.I would greatly appreciate any insights or best practices on how to migrate these documents from a shared repository in APPS10 to a database repository in IFS Cloud. Has anyone else faced a similar issue, and if so, how did you resolve it?

Hi!Why is it that if you want to send document links of Document Type = View, you can only select the Latest Revision option? Seems like I’m missing something here, but isn’t the view file also conntected to the document revision on the same terms as the original?/ Kenneth

Hi,I would like to implement the following functionality using standard IFS Cloud functions. When I attach a document (attachment - pdf file) to an invoice, I would like this attachment to be automatically attached to the tax transaction for this invoice and the PK header.Is this possible?
