Hello Community,We’re exploring ways to increase automation within our access management processes, specifically whether assyst workflows can be used to trigger outbound actions such as adding users to Microsoft Entra ID (Azure AD) groups based on ticket or workflow outcomes. We already make use of inbound integrations (for example, Intune feeding data into assyst). However, our focus here is on using assyst as a driver for outbound actions, rather than purely as a consumer of external data. Our current understanding is that this type of integration would most likely be achieved using AssystETM (e.g. via workflow steps and external calls), but we’re keen to understand how others have approached this. We’d be interested in hearing from the community:Have you implemented outbound integrations from assyst to Entra ID (such as managing group membership)? Was this done using AssystETM, and if so, how was it structured (e.g. workflow design, triggers, error handling)? Did you use ETM alone, or
Hello everyone,RE: Automatic Assignment When Logging Events via assystWEB (IFSCloud, assyst Version 11.8.4)When an Assyst user logs an event via assystWEB, the resulting ticket has both the Assigned Service Department and Assigned User fields left blank. The default available action is “Reassign Event.”We would like to understand whether this behaviour can be configured so that, when an event is logged via assystWEB, the Assigned Service Department and Assigned User are automatically populated with the service department and user account that is currently logged into assystWEB. Reassignment would then be performed only where required as a secondary action. The expected exception to this behaviour is where an End User logs a ticket via assystNET (self‑service portal). In that scenario, we would expect the existing service catalogue–driven default assignment logic to remain unchanged, allowing Service Desk staff to triage and reassign tickets as part of normal self‑service handling. Addit
Is it possible to show the name and/or shortCode (name) of Items in the Product Tree Data Explorer in assystWeb? Currently, it seems that only the shortCode is displayed at the Item level in the hierarchy, while the parent levels show only the name.To illustrate There does not seem to be much detail about this in the wiki, and I haven’t been able to find any system parameter or user preference that can be toggled to change this behaviour. Does anyone have additional information on this? For reference: https://wiki.axiossystems.com/assyst24R2Wiki/index.php/Data_ExplorersIs this something that is currently possible, or would it need to be raised as an idea? We are using assyst 24R2.
Hi all,We are currently using the standard searchable entities in assystNET when searching for the Affected User (e.g., Name, Department, Section, Building, etc.).We would like to check if it is possible to extend or customize these searchable entities specifically for the Affected User lookup. In particular:Can we add additional searchable fields/entities to this search dialog? Is it possible to include custom fields in the Affected User search? Are there any configuration options or best practices to enhance this search capability? Our goal is to improve the search experience and make it more flexible based on business needs.Any guidance or documentation would be highly appreciated. Thanks in advance.
Can I use a network drive as the source configuration directory for an ETM import rather than a local folder? I keep getting an error so I was hoping there was a workaround or config setting to allow this. I need a 3rd party to drop a file in a network folder so ETM can kick off it’s usually processing of an import file. Is there any other simple solution for this? Thanks!T
We are pleased to announce that assyst Web 25R2 SU2 has now been released and is available to download from our CDN. The release continues to address identified problems. The release notes are available from the CDN.
Good afternoon,Does anyone, please, have a more up-to-date roadmap for IFS assyst and ITOM than the one available at the following link:https://community.ifs.com/product-strategy-and-roadmap-124/master-article-what-is-the-update-release-schedule-and-release-details-9818?tid=9818&fid=124#IFS+assyst%C2%A0I searched the community but could not find any.
Hello everyone,I would appreciate some guidance on an assyst workflow / ETM use case.In our Change Request (CR) workflow, the assigned user can take an action called “Add Info”. When they select this action, they: add a comment, and attach a file (if needed) This triggers a notification to the requester (email) to provide the missing information. The requester then goes to assystNET and replies by: adding the requested details as a comment uploading an attachment (e.g. the completed form) However, because the requester cannot see the CR workflow tasks in assystNET, their reply is captured on the parent CR event, not on the active workflow task that is actually waiting for their response. What I am trying to achieve is: When the requester adds a comment/attachment on the parent CR in response to the “Add Info” request, use ETM to identify the currently active child task for that CR (the “awaiting additional info” task), and then copy/replicate the requester’s comment and attachmen
Hello,I'm reaching out to see if anyone could share some examples of how to use the Assyst Message Bus Request when creating channels in ETM.I'm trying to expand my toolset when working with ETM and want to understand the possibilities and limitations of writing to, and then reading from, the same message bus queue.I've been referring to the Assyst wiki for guidance, but it lacks examples on how to fill out all the field types available during Assyst Message Bus Request datamapping. Specifically, I'm looking for guidance on:How to fill out the various options present in the Assyst Message Bus Request. When and how to use the different optional mapping fields. Any particular cautions or best practices to consider when adding to the message bus, especially if ETM is then set to separately consume that data.Any examples, tips, or resources you could share would be greatly appreciated!Thank you in advance for your help.
What tools and tech are people using the detect and popular their CMDB system with? We have the Assyst 25R1 versionThanks
Hi Team,we are working on mapping ITOM assets (servers, VMs, databases, storage) to business/application services in assyst CMDB, for example, linking all mail related components under an E-mail Service.Could you share guidance on the best approach, required fields in the Service Catalog, and recommended practices for building these relationships effectively?Currently, we have support for ITOM, and we would like someone to assist us with the CMDB part. Thanks in advance.
Hi,I’m using Assyst 11.7.2 and ETM version 1.7.2.I’m trying to populate a Custom Sigle-Line String field that has been added to an Incident form. As you can see in the screenshot, the data that I want to populate the field with is available in the ETM Channel. It shows if I map it to the Remarks field. However, it does not populate the Custom field. The Custom field short-code in the Data Mapper matches that of the field in the Customizer. What am I missing? Any help would be appreciated. Thanks
Hello,We are currently running IFS assyst 25R1 SU2 (On-Premise) and the web access is working perfectly.Environment details: On-Prem deployment Authentication method: SAML Mobile device is domain-joined Access via mobile browser (Safari/Chrome on iPhone/iPad) → Working fine Access via desktop browser → Working fine However, when using any of the available IFS apps from the Apple App Store, none of them are working. I tested all available IFS applications and none were able to connect successfully.Important note:From the same mobile device, I can access the assyst URL via browser without any issue (including SAML authentication). So connectivity, certificate, and authentication appear to be working correctly at browser level.Questions: Are the IFS mobile apps supported for 25R1 SU2 On-Prem environments? Is there any limitation when using SAML authentication? Does the mobile app require a specific REST endpoint, public URL, or additional configuration? Are there known issue
Does anyone know how to update a custom field to empty/blank using the update_event_ejb action? Sending nil just makes it ignore any updates, and sending “”, null or [empty] just gives an error. For now I’ve ended up updating the field value to NBSP, which makes it “look” blank, but doesn’t actually make it blank.
Hello,I have some questions about DMWs and whether it’s possible to specify that one or more fields should not be overridden unless a value is supplied during the DMW import when using the default Worksheet Channel in ETM. For example, when updating Item Users, there may be some users who already have an existing Item Users record. During import, instead of creating a new record, the existing record is then instead updated. The issue is that if say the original record had data in the Access Note or Remarks fields, and the DMW import file has a blank column for those fields, then the previous data is overwritten with an empty string. If the column is not included in the import file then any existing value is not overwritten, however as long as the column header is present then the original data is blanked if left empty in the import file. We’ve tested applying a default value of Empty_Record to the DMW import file sub‑header for the appropriate columns, but this has had no effect. The wor

I am creating a workflow where based on the user request (which generates a parent event) I initiate an authorization task to the manager using contact users. Upon their answer (authorized/not authorized) as this is stamped on an action I have those details (whether it is authorized or not) on the task and not parent event. Is there a way to populate authorization details (information on authorization, who authorized and when) from task to parent event?
Hello,I am setting up a workflow process in which I am sending authorization and decision tasks for end users on the assyst NET side. End users can create a request and if this request requires authorization/decision it is automatically generate and send to them. Authorization is usually done by a different person then the original end user requestor. Question: Can original end user requestor see/view who is the authorizer/decision maker? How to populate this information to the request?
We are experiencing the error ORA-00001: unique constraint (SA.IRS_2_UX) violated in the Action Processor.Currently, we are using the following script as a workaround, executing it directly in the assyst database:DELETE FROM ext_linkage WHERE external_id = 'ACT_REG_ID' AND external_owner = 'Action_Processor';DELETE FROM integrations_record_status WHERE owner = 'Action_Processor';However, this error has been occurring more and more frequently. When it is not identified and addressed in time, executing this procedure ends up removing the Action Processor backlog, which may result in rules not being executed. We would like to know whether there is a definitive solution for this issue or if it has already been fixed in more recent versions of the Action Processor.Any assistance would be greatly appreciated.
We are pleased to announce that assyst IPaaS ETM 1.11.1 has now been released and is available to download from our CDN. This release contains a fix for the identified problem P16921. The release notes detailing this fix can be viewed here.
Apologies if I’m just missing it, but I don’t see anything in the Wiki about it either. In previous versions, we could select multiple events in an event monitor using Shift or Ctrl, then right click and take an action on all of the selected events. How do you do that in 24R2? I select multiple check boxes for the tickets I want to action, but as soon as I right click on one of the selected tickets to take an action, the rest of the selected tickets are unchecked. Is it not possible to action multiple tickets in the new version in the new event monitor view?
I’m wondering if anyone has a way to create Dynamic Decision Tasks? I'd like to set up a Tiered-Approval process where a Decision task gets assigned to the affected users manager. Then if that Decision task is approved, another Decision Task would be launched and assigned to the manager of the affected users manager and so on until it reaches an assigned user with no manager. I found this in the wiki (https://wiki.axiossystems.com/assyst25R1Wiki/index.php/Answers_Form#:~:text=will%20be%20ignored.-,Reassign%20Expression,-This%20field%20allows). I’ve created a Decision Task with the following Reassign expression.if(1=1,propertyset(assignedUserId=$new.assignedUser.manager.id, assignedServDeptId=$new.assignedUser.manager.servDept.id),$NO_VALUE) However, when I log a Service Request using this process a second Decision Task does not get logged and I get the following error in the log file.Re-assignment expressions are only valid for Order Level Approval processes. Re-assignment will be ig
I’m wondering if there’s a way to have a Single-Line string field show as currency? Similar to the following.
