Document Management (DocMan)

Good day community.We have a client that is implementing Cloud and need to migrate 10 000 plus documents from legacy, along with their existing document numbers.In Apps 10 it was possible to upload multiple files at once using the File Import screen. On here it was possible to change the document number to a legacy number when uploading new files In Cloud I believe the same can be done using Create Documents.However, it allows me to create documents and to enter Legacy Numbers  but once I save, it returns this error:  If I leave the number column blank, it generates the documents without issue, using the automatic numbers, which we don’t want. This is not Document Class related as the Create Document Assistant and creating Documents via Revisions allows me to change the number. The other option, Document Upload screen does not have an option to change the Document number. Is there something We’re missing or alternatively, how would we migrate the documents into Cloud using the legacy n

When I download a PDF invoice, the file name is a concatenation of our Document Title + Repository File Name.How can we change this so that the downloaded PDF does NOT include the repository file name? This is a file that can be manually sent to our customers, and the file name is confusing - it makes it look like the invoice number is the document number.

Hi all, I am performing “Print Invoice” for an Instant Invoice.This won’t generate any Invoice document for Attachment. When user has Media Code “E-invoice” and I perform “Send Invoice”, I can see the attachment attached to invoice. Any help, how invoice’s PDF is attached to attachment too, when performing Print Invoice?

Hi all 😊,The customer has a problem with previewing attachments in APP10 Aurena. This is a widespread issue in many fields. When you click the preview button, and error message displays as below.The problem affects all users.The strangest thing is that the preview of the same attachments works in Enterprise Explorer, so it is not a problem of permissions or incorrect paths.Relevant technical logs are in attached files.Any idea on how to fix this issue is highly appreciated.Product Version: UPD15Thank You 😊

Hi All, Expecting your valuable advice on this: I get the following error when I open the document attachments.All the necessary access to the persons groups which is relevant to the document class is already granted.(Document basic data -access provided)Permission sets have been provided to the users.Document status is unlocked and check inRefresh security cache and restarting already doneOther documents for the same class can be viewed. IFSAPP can be viewed this document but the users who have access to this unable to view.Have I missed anything else? RegardsNaadira  

Different tabs in the Attachment section of a Page such as, Document, Approval Steps, Media, etc. can be enabled from the Object Connections page by adding these options to the Service List of the particular Logical Unit. However, I cannot seem to find this page in IFS APP 10 Aurena or IFS Cloud versions. How can I do the same thing in these versions?  

 We are planning to change a Doc Class via a script for a set of documents checked in after 1-1-2015. Is this possible? 

Hi Community! I have a user who is not able to open a document  in view mode from Document Revision.He is listed as an admin on the document, but when he clicks “View Document”, nothing happens. No error message, nothing.First, I suspected that it is the browser preventing it - he is using Edge - but he can open the the (PDF) file from another window - called “Document Details”. (Approval Process)And, he can open it from the Document Revision form when he is in private or incognito mode.Any idea why this is happening? Kind regardsMelanie

Hi all,I am reaching out regarding the matter of attachment clamps not being visible in certain order lines within the B2B supplier Portal. Despite diligently following all prescribed steps, the issue persists within the customer development environment. Any assistance or support you could provide in resolving this matter would be immensely appreciated.The customer had recently updated to UPD 20, in which it worked correctly in previous update (UPD12)Document clamp sign is visible only in “Open Orders”, it is not visible in most lobby elements like "Open Order Lines", "Order Lines to Confirm" etc. in B2B portal. Work Notes/ findings in customer DEV Environment:1. Hello Team,I am looking into this Document Transmittals solution and its interesting.I have a doubt on how these documents are send or receive. In here documents can be sent as a hardcopy, by e-mail or shared on an FTP server.Does that mean if we use Email, then we can send the documents through application messages? Any advice on following question from one of my customers?One of our IFS Cloud customer (Current Version 22R2) learnt that they can store documents in the database or outside of the database. Currently they store documents in the database. They are looking for a detailed information to understand consequences of these two options. Hello, I look forward to delete in batch some old document revisions.I expect to do this by planning a Migration Job that would execute some APIs at a given frequence (1/week). To do this, I need to use the proper API to delete the file from IFS and remove it from the DB.As I have no possibility to view if the file is deleted from the DB or if it’s only the information on Document Revision “File ref” tab that is suppressed, I’d like to know what is the API to use.The information I have is : Delete document file :  EDM_FILE_API.Delete_File_ Delete document revision : DOC_ISSUE_API.Remove__==> Are these the right APIs to use ?NB : There is of course some other tables to deal with (e.g. object connexions), but it’s not the main purpose of this post.
