APPS9: Transferring a WO to a Group[Pool]

We have instances where the WO co-ordinator is not aware of the specific engineer to assign an MWO to. He/She just knows the local engineering team to assign to.  There is a lot of discussions about Pools, but I see no reference to this in Apps9

Transfer Work Order to the Mobile Device

Explanation

This activity is used to transfer a separate or route work order to IFS Mobile Work Order. You can choose to transfer the work order to a particular mobile user or to all users belonging to the work order site. When a work order is transferred to a common pool of work orders, the user who first accepts the work order will be considered the owner of the work order. The work order will be transferred (or once accepted, removed from the pool) during synchronization between the mobile device and the server.

There can be a need to assign the work order to one user and certain operations on the work order to one or more different users. For such instances, the ID of the user should be entered in the Executed By field on the operation line before performing the transfer. These work orders will be transferred to the mobile device of the relevant user during synchronization and will have the Allocated status. The mobile users will have limited access to performing changes on allocated work order.

Note: If the work order is scheduled by the 360 Scheduling Engine, it will not be possible to transfer the work order to the pool. In this instance, the Pool Work Order check box will be disabled.

Prerequisites

  • Work orders should be created with the relevant information under IFS/Work Order Management.
  • The employee should be defined. This employee should be set up as a mobile user.

System Effects

  • The transferred work order will be displayed in the Transferred Work Orders window.
  • The status of the transferred work order is set to Assigned.
  • The Transferred to Mobile check box is selected on the Active Work OrdersActive Routes, Prepare Work OrderReport In Work Order and Report In Route windows.
  • Depending on your selection, the work order will be transferred during synchronization to the mobile device of the assignee or to mobile devices of all users belonging to the work order site.
  • Once transferred, only a limited number of actions can be performed on the same work order in IFS/Work Order Management. For instance, it is possible to add new operations, material and tools-and-facilities, but it is not possible to edit existing records or perform status changes on the work order.
  • The Executed By field on the work order is set to the person ID of the mobile user to whom the work order was transferred.

Procedure

  1. Open the Active work Orders window and query (F3) for the required work order number. You can also work in any one of the windows listed under the Window section.
  2. Right-click and click Transfer to Mobile. The Transfer to Employee dialog box opens if the work order is not already assigned to an employee.
  3. In the Signature field, enter the ID of the employee to whom the work order is to be assigned. Use the List of Values to select a valid value.
  4. If an assignee cannot be set for the work order at this stage, select the Pool Work Order check box to transfer the work order to a common pool of work orders.
  5. Click OK.
  6. Optionally, it is possible to unassign already assigned work order or reassign a work order in a pool by using the right mouse button action in Transferred Work Orders window.

We use pooled mobile work orders in APPS9 mWorkOrder 3.9. 

The use of pools, depending on your configuration can entail a lot of data. 

Here  is our example of mWorkOrder Pools 

To the left are the various pools based on WO priority

The Go To “Pool Work Orders” are all pooled WO regardless of priority.

We also use Surveys as part of our Wo mgt for inspections/workflows which has provided us a streamlined business process.
