Price Limit function in Service Contract

Hi Experts,

We have a Requirement in Service Contract where we should not invoice the Customer upto Certain price Limit but when exceed we should get their Approval to proceed further.

its like this We setup Price limit say $200. Then if a Work order exceeded this Limit it should not allow us to proceed further instead to get the Customer Approval. How to handle this in IFS Cloud 24R2.

 

Refer example below.

In Contract lines I set a Price Limit.

 

Then I create a work order for this Contract with more than this Amount.

$2500 > $200

 

But this still allows me to create an invoice Preview and Customer order?

 

 

How to use this Function in the IFS cloud?

Hi Kasun,

 

I have used your details in the service contract, as you have shown. However, the system is showing the same error: we can’t exceed the price limit. 

If the service contract has a price limit, the work task cannot exceed this limit. The work task should proceed under this price limit as shown in the service contract. If it is that means the work task is violating the contract conditions in the service contract. The system should not allow to violation of these conditions in the service contract.

Looking at your example, this may be a defect in your system. Therefore please raise this as a ticket to the IFS unified support.

Hi Kasun,

 

Please see the test steps:

  1. Create a service contract, set price limit as 50.
  1. Click on PM actions, and add a PM action, Activate the PM action with maintenance plan.
  1. Go to the PM action. Click on maintenance plan and create a work order.
  1. Go to the work order.
  1. Go to the work task.
  1. Add a resource to the task.

You can see the cost is 102. which is higher than the price limit.

  1. Now add a assignment to the resource.
  1. Now release the work task.

You can see the system is not allowing to release of the work task, due to the cost exceeding the price limit of the work task.

Thank you lot, Could you try the steps below.

 

  1. Our cutomer use Invoice Plan only as the Invoice Type where in your case its Resource used.
  2. Then I create a new Service Request and add a Resource line which has the price more than 100

  3. No warning while the work is Released.

  4. So the Question is does this function used only for Resource Used invoice type?

  5. For our customer they have a Pre agreed Price limit for customers in their contracts. Lets say its $100. Then no one should be able to report more than $100 but it should be blocked then we need to raise a Service Quotation for this additional work. We have a big challange here For example think the Service engineer to use materials in their mobile, if they try to create a new material line there should be a way to check whether the price limit is exceeded or not by consuming this part. If yes then they should create a service quotation from the mobile for this addtional work. Unfortunately there is no way we can achive this in the baseline in addtional to that IFS does not allow creating a service quotation for Task level, another functional limiation.

Please check if you could find a way to block reporting additional consumtion than agreed.

Thank you, I will check.

One addtional question. As I noted this validation happens at the time of Release the work task and compared against planned values.

But in Actual world we dont know how much time the field engineer might report it could be any that exeed the price limit. Also they can report Expences, Materials so everything are reported as a Sales that exceed the Price limit.

Does IFS validate this?

If yes would it prevent Invoicing the customer until we get the approvel?

 

As I noted this allow me to invoice the Amout that exceed the price limit.

Hi Kasun,

 

Releasing the work task means that we can start the work anytime. However the price limit exceeds the work task, the system is not allowed to release the work to start the work. Since we can’t start the work, we cannot create any invoices for the cost.

Yes In the real world, we cannot think exact cost for a work task considering the materials, resources, etc. However, using a service contract with a price limit can use to limit your expenses for a task. You can encourage the resources to do the work using minimum work time, and materials. That way your company can prevent any extra costs for work orders.

Thank you for explaining the function in IFS, however we may need a CRIM as ifs does not validate any sales lines from creating and invoicing that exceed the Price limit. This is where we have the challenge.
