How can we set up a system to restrict visibility and accessibility of documents created on expense sheets, ensuring that only the user and their manager can access attachments?

We have a flat position structure, and the manager setup is configured through the manager access role in the graphical organization structure. Is there a way to implement this restriction while maintaining our current setup?

Additionally, could you clarify the functionality of “Restricted Access” toggle on the document revision screen?

Is there anything in particular that's unclear in our documentation about document access and restricted access that you want help with?

@Mathias Dahl It's not more about restricted access but more regarding access via Organization structure in HCM which doesn't seem to function as expected.

Okay.

What happens then, and what did you expect? Did you try the Generate Results command under the Document Revision / Access tab?

@Mathias Dahl Yes, generate results show you who all can access that particular document as in who has view access who has admin access likewise… Is that correct understanding?

Although, my requirement is to have particular document access restricted to the person who has created, and his/her manager only, how can I achieve this? As we’ve flat position structure as mentioned earlier, we’ve setup manager under graphical org. structure through access role attributes. Please guide.

Yes!

I don't know the access rules in HR, so I cannot give you a complete answer, but I can tell you part of it: make sure there are no other access lines on the document apart from the person who created it (the "responsible person"), who is automatically an admin on that document, and the HR business object the document is connected to (it must, for HR to be able to control the access). This is therefore mostly a question about HR and not so much about IFS Document Management.

Is the document connected to some object in HR/HCM?

I'll try to get some HR expert to comment here as well.
