After uploading Document Revisions, grant authorization to a different user

Hi All,

After uploading a document, I want to authorize different people and groups of people to the document class of the relevant document, but the users cannot be viewed. What can I do?

Could you see the new people and groups within the Access tab of the particular Document Revision?

Yes, i can see. But my goal is to provide mass access for document class.

I wonder whether you have done the necessary changes in the Document Access Template for the selected Class and applied it?

Access Template

The document access template is used to define the default access privileges granted to specific individuals and groups for documents generated from a particular document class.

In Document Management/Basic Data/Document Access Template, there exists a record for each document class. Here, access rights can be specified for individual persons as well as person groups. For instance, if a group of individuals (e.g. Engineers, Technicians, …) needs to be granted with specific access level (View, Edit, etc) to documents created from a particular document class (100 - Engineering Drawings, etc), a Person Group is created in basic data connecting the relevant persons and then in the access template, a new access line is added for that person group.

After setting up the access template for a document class, the new documents created from that class inherits the access lines from the template. However, it’s important to note that previously created documents are not affected by these changes. If the altered document access template needs to be applied for existing documents, an option is available to copy access template in Document Revision/Access tab. -------------------

Of course I know. But the users I added to the document class access cannot view old documents uploaded in this class.

I’m sorry, but I need a reconfirmation. After adding the users to the document access template for a given class, can you see them in the Document Revision Access Tab > Generate Results?

  • If the answer is NO: Please note, previously created documents are not automatically affected by these changes. To apply the altered document access template to existing documents, use the option to copy the access template in the Document Revision/Access Tab.

  • If the answer is YES: Did you encounter any errors when attempting to view the old documents?

Answer is yes. I encountered an error.

Did you consider adding "*" as the Person ID in the relevant access template? That gives everyone, that does not have their own access line, the access level given from that line.

Hi,

This solution doesn't work for us because I don't want a view that all users can access.

Hi ​@Hurremoglu,

I guess you need to set up the access with person groups and not directly to persons.

If you add (or remove) a person to that group, the persons will get access accordinly, also to existing document revisions. Is that what you need?

It looks like we don't understand what your needs are exactly.

Can you perhaps make up a detailed example of what you want the end result to be? That way, we don't need to guess so much.
