Hi, have any customers using IFS Cloud implemented work instructions or guidelines for users of different proficiency (super-users, primary & secondary users, end-users)?
What are the recommended ways of recording and sharing these across the user groups?

Hi @A_Soph by work instructions are you meaning those that are linked to shop orders or are you meaning an overall ‘How To’ instuctions for users to look at when raising a purchase order for example? If it is the later, we have used document management and put them into a document folder with users having a link on the home page to the document folder navigator. This way the documents are all in the same place and can only be ammended by up revisioning the document. You can put users into different person groups and manage access by the person group to the documents.

Hope that helps, Sarah

Hi Sarah (@sholmes)
Thank you for the insight - the question is around the latter (“How to” documents).

I meant to expand that to ask - what is the usual process of creating these “How to” documents? Is it user-driven, a task assigned to a dedicated user/section of the project team or collaborative?

Appreciate any inputs.

Thanks, Anushka.

Hi Anushka @A_Soph - here we ask the super users to write these as they are the people who do the process day in day out, but often comes back into the IT team as we can support them (we are a relativley small business). My only advise is if someone very skilled writes the instructions then get someone else to test them that does not normally have anything to do with that area as this shows what can and can’t be followed. We also tend to write instructions aimed at a person just entering the business with no knowledge and do not bother with instructions aimed at experienced users, but there is no right or wrong way its what works for your business.
