A comprehensive Document Management [BMS] System within IFS?

Hi IFS Experts in Document Management / Quality Management

We are looking to see if we can maintain a process based management system within IFS. For instance, we need to have visual diagrams of visual business processes within the organization, something that look like this:

Within that, we need to store specific documents with access control. I know this is possible through DocMan solution in IFS, but I am talking about a more comprehensive business requirement where we can define swim lane diagrams and store documents, notifications of the revisions made to specific documents etc.

In a nutshell, the ideal solution we are looking at is a system called Agility system [Agility System - The Process-Based Management System Solution] that would provide an interface like this

  • The ideal system should provide us the ability to

    - Develop individual Business Models and Landing Pages to display information relevant to each department, Site etc
    - Create process maps
    - Aligning Risk / Compliance to each stage of the business process via a visual presentation
    - Swin lane process maps
    - Document Categorization [I know this could be possible via document classes in IFS]
    - Comprehensive search within the documents [This could also be possible via Document Titles / Document Revisions screen]
    - Statistics via a dashboard to show user involvement on processes, document ownership, tasks [I know this could possible through a lobby page]
    - Evidence on who viewed what document [possibly through who checked out a specific document?]
    - Electronic Signatures [I remember this was possible in IFS]

Do you think IFS Cloud has the ability to cover everything above? Please let me know.

    Thanks,
    Asela

The DocMan specialists that I know in IFS are @Mathias Dahl and @Thilini Kumarasinghe , hence tagging them. But this is open to anyone to respond. Sorry I don't know other experts to tag. Nor do I know any specialists in Quality Management to dig deep into this.

Ok, well this seems to me that the process will be on top of IFS. With DocMan as your focal point there is still admin in IFS to do. The only thought I have now is take a deep dive in ScopeTool (buy the extensive version to have as much functionality available as possible, while still have direct connections to IFS Cloud screens).

Update on this post:

We got several great insights regarding the IFS DocMan capabilities from the IFS DocMan expert @Rasmika Navaratne. Thank You Rasmika!

In the end it was decided that [Even with those great capabilities] IFS DocMan standard module itself is not a Business Management System like we wanted, but a document Management system. Hence we are in discussions with the IFS partner 2c8 on our specific requirement. Anyone else here in the community having a similar requirement, please check them out.

I believe this thread can be @Grzegorz Byrski
