Block new documents by document class

Hello, my company has been using a shared repository for docman since they went live on IFS.  I am in the process of transferring the doc repositories to database storage to prepare for the Cloud upgrade. 

The business would like to block users from creating new docs in certain doc classes.  They would still like the ability to view them. 

I tried removing Admin and Edit access from the access group in this doc class TEST but a user who is not a docman administrator was still able to create a new doc, I think because by default the doc creator is an admin. Is there a way to block new doc creation by class? or do we have to use custom events to do that?

Just go to document class management, tab ‘Persons and Groups’. Here you can define which users and user groups can use this document class when creating new documents. If no persons and groups are defined, it means that all users are allowed to use this class.

There's also the option to set a document repository as Usable. It simply means that files from new document revisions will not be stored there.

Thanks for the replies! I think the persons and groups option will work for us.  Mathias, as I have been transferring documents to the database, we first have to change the repository status to Usable.  After I am finished, the status remains Usable and I can’t modify that. However, the doc classes that are now DB storage and Usable are completely available for new, edits, status changes, etc.

What I meant to say is that setting a document repository to Usable is a way to stopping files from new document titles and revisions to appear there. You could have some temporary repository as active (Generating) while doing the big transfer, with whichever repository type you like. Then, once the large transfer is done, you can do a smaller one with the "temporary" repository. Didn't verify that thought much, but sharing it anyway... 🙂
