Hello All,

In the purchase order (PO) process, we perform an approval workflow and then release the PO. However, when a change order is created later, if the price or quantity is reduced—or if both remain the same as in the original PO—then the change order should not require re-approval. In such cases, we should be able to release the change order directly and update the purchase order accordingly.

Could you please guide me on what system setup is required to enable this process, and from which screen these configurations can be made? Your help is much appreciated.

I believe you can achieve the desired result by disabling the “Valid for Change Order Authorization” toggle from the Purchase Order Authorization Rule. After this toggle is disabled, the system will not ask for the authorization when releasing any of the Purchase Order Change Orders.

However, as you have described the scenario, the system will not consider whether the price/quantity is reduced, whether they remain the same or whether they have been increased, the authorization will not get fetched when releasing the change order.

I believe if you use ‘Use Delta Amounts for Authorisation’ if the value of the change is resulting in a reduction in total PO value, it will not trigger authorisation. Likewise for other changes such as descriptions, dates etc. 

 

If you do not use the Delta setting, any changes will require full re-authorisation, regardless of the fact the PO value may have reduced or remained the same
