Astea: changing warehouse types backend

Our logistics manager would like to change the warehouse type on certain warehouses. These are all van warehouses, and we want the stock level on replenishment orders to change. This works well if we change the warehouse type in the database (not possible in the UI) - but are there other functions we need to take into consideration as well? Or is it just unadviceable to change this?

HI Bjørn,

So you will not have van warehouses in general? Or is this just a subset of those van warehouses you are wanting to convert into another warehouse type for some reason?

Honestly, I don’t see the point of making these kind of changes to existing van warehouses.  You had transactions that sent or retrieved logistics from them that may not make sense for another warehouse type. These transactions are in history and referring to the original Warehouse ID.

I would say better option is to create new warehouses of the correct type, set up, etc. and then removing all stock from the original warehouse.  After this, flag the original warehouse as obsolete.

What are the agents who are currently assigned to the original van warehouse going to be doing?  It is generally not a good thing to let multiple field service agents use a supply warehouse or main warehouse as their own managed stock warehouse.  There is too much possibility for interfering with allocated products between the field engineers who are not perhaps familiar with managing warehouses causing some data corruptions as seen in the past.  Field engineers are not usually very adept at managing warehouses though there could be exceptions.

You would probably also need to make sure the changed warehouses (if you go this route) are structured.  Many companies have used automatic receipts in the past for van warehouses but this is not something you want to do with other warehouse types.

Another thing to watch if needed to adapt are the supply chains for the warehouse.  Normally a van warehouse has a supply warehouse which has a source as perhaps the main warehouse. Will the converted warehouse be getting product replenishments from vendors or another warehouse.  Basically, there may be a lot of modifications to make for each warehouse that it is best to just use new warehouses.  You might need to change structured, supply, node, etc. not just change the warehouse type.

Perhaps if you explain more the rationale why you want to take existing van warehouses and converting them to another warehouse type?  Also keep in mind, the application never was designed to change warehouse types in the first place and this should not be a ‘common’ occurrence.  Officially, Alliance does not support this type of change.

Thanks for the reply, Phil.

To clarify a bit: we have different van warehouse profiles

The main reason for this is that we want ot have different stock levels automatically assigned, such as:

Sometimes an SAs role may change over time, and our options are:

  • changing stock levels on the van warehouse (but then this is “out of sync” with the warehouse type)
  • creating a new van warehouse with the right profile, transfer all stock, flagging the old as obsolete
  • changing the warehouse type in the database

I definitely see why changing warehouse types is not supported (in general) - but for this particular scenario I think it shoudl work fine (testing has been good).

We will try this in live (at our risk) and see how it goes.

Hi Bjørn,

Thank you for the additional details and now it makes some sense what you are trying to do and why.

Ok, so these other warehouse types are also VAN warehouses as well so logically it should not matter changing their type from one VAN warehouse type to another VAN warehouse type.  However, as noted, we don’t have application support to change the warehouse type of a warehouse.

I was concerned you were trying to change a van warehouse into a supply or main warehouse.

I don’t really see any problems with what you are going to do from a logical standpoint.  Only the application does not provide the functionality to change warehouse types once it is defined.

Good luck!
