Journal against a work task/order

Hi,

Please could someone help me journal a cost against a work task/work order?

Our employees who work out in the field often use their credit cards make purchases which relate to a particular work task/order. I post the credit card expenses monthly using a journal and include the work task reference in the ‘reference series/reference number’ boxes.

I am wondering if there is a way for me to link these expenses to the relevant work order/work task.

Hi,

You can simply create a work task external transaction and mention the purchase cost there.
Otherwise there is another option available for Ad-hoc Purchasing which you can use to create a simple PO connecting to the work task.

@becsridding  we do this as well.   On a monthly basis take any “work order” related visa expenses and add them to work tasks.   In order to use “manual expense” on a work tasks you need to 

  1. turn on the ability to add manual expenses

     

  2. add voucher type ‘TE” for your company (with related series/user group)
  3. set up the posting control - TE1, TE2
  4. As far as I can tell IFS forces us to post these now (didn’t in apps9) so we use the same account for the posting controls so the dr/cr net against each other and doesn’t create a GL impact since we are already recording visa costs via a different GL method.  ***We just want to connect the cost to the equipment for tracking purposes which you can only do via a work task
  5. Run Transfer Work Task Expense Transactions job to post as it will not allow you to close month end otherwise.  Verify your account you’ve selected nets to 0.00.
  6. Work task > cost tab will show the “visa” expenses
  7.
