A person can be any individual e.g. a customer contact, a supplier contact, an employee etc.  A person doesn’t necessarily have access to the application.

An employee is someone that is employed by a company within the solution. An employee exists in HR. An employee often has access to the application.

A resource is a plannable resource such as a person resource (e.g. maintenance engineer), a tool or machine. A resource is used in Service, Maintenance, Manufacturing and Projects. A resource is normally linked to another entity, such as an employee record or a tool record.

Let’s say Bob Knox is a field service technician, employed by company Ventechi. He uses mWO to execute work.

Since Bob is an employee, he would have an employee record, with information about where he sits in the organization, who his supervisor is, his work schedule, qualifications etc. His employee record would be linked to a person record.

Bob would have a person record, that holds details about his address (where he starts and ends his work day), communication details such as email, phone number.

Bob would also have a User ID,  which is required for authentication. The user would be linked to the person record.

Finally, to be to receive work, Bob would have to be a resource. The resource record defines which companies and sites Bob can work in, what his capacity is in each of those sites, which service or maintenance organization he works in and whether or not he is a mobile user.

Bob is an electrician and thus he belongs to Resource Group Electricians. The resource group is used to group users and help dispatchers (or automatic scheduling) find the correct resource, matching resource demands on a work task.

Bob can now be scheduled work with resource demands matching his resource group, Electricians.
