Hi everyone,

I'm looking for some advice on how best to handle under-receipts against Incoming Dispatch Advices in IFS10 when dealing with internal suppliers / inter-site orders.

Our current scenario is as follows:

  1. An internal order is created to transfer 10 units from one site to another.

  2. The supplying site dispatches the goods and an Incoming Dispatch Advice is generated for 10 units.

  3. The receiving site receives the shipment but only 9 of the 10 units have arrived.

  4. The receiving site processes the Incoming Dispatch Advice with an actual receipt quantity of 9.

The issue is that the Incoming Dispatch Advice closes after the receipt of 9 units, while the purchase order remains open for the outstanding quantity of 1.

If the missing unit is subsequently dispatched, we cannot generate a new Incoming Dispatch Advice for the remaining quantity through our current internal supplier process.

My question is: What is the recommended standard process in IFS10 for handling under-receipts in this scenario?

Ideally, we would like to receive the quantity that has physically arrived, retain visibility of the outstanding quantity, and allow the remaining unit to be dispatched and received later without creating inconsistencies between the internal purchase order and the supplying site's customer order.

Is there a standard configuration or process for handling this, or would it require a workaround or customisation?

Any advice or experience with similar inter-site supply scenarios would be appreciated.

Thanks in advance!

Hi @DanTrayton

Can’t we use Return for Credit functionality for your Supplying Site Shortage?

Register Return for Credit for 1 unit with a reason code like SHORT-DELIV. That clears transit, closes the PO, and triggers an internal credit note.

If 9 units have already been received and the IDA is closed, receive the remaining 1 unit via Register Arrival into Inspection, then scrap it or return for credit as described above.
