Has anyone found a way around editing PO lines in the Purchase Order Lines window?

I specifically want to update the Planned Receipt Date of the line.

I enabled the edit using the page designer but the save option is not enabled after the edit.

Also keen to know why this is stopped in the design in the first place, if somebody knows. Thanks.

It’s possible via a modification.  I worked with another customer who implemented 24R2 and they required the Purchase Order Lines overview page to be editable as well as updating various date fields.

Hi @Vimukthi Mahakumbura,

As per a previous case that I handled, a development has been done on the "Purchase Order Lines" window, which is an overview window from IFS Cloud 23R2.

If a line needs to be changed or modified, it is not simply a matter of updating the value it is linked to several dependencies. These operations are supported only on the master page. Therefore, if the user needs to update the line, they must navigate to the master page and perform the update there.

From a conceptual standpoint, allowing users to send values for such attributes directly via a server call could pose security risks. Hence, restrictions have been implemented to prevent this behavior on overview pages. That's why this development has been done intentionally for the IFS Cloud 23R2 onward versions.

Best Regards,

Uvina Jayamaha.

Hello @Uvina Jayamaha, Thanks for your reply.

While I am convinced this is not possible in the current design, I cannot fully agree on some points due to below reasons.

1 - I think the Purchase Order Lines window existed before 23R2. Not sure about the ability to edit in APP10 for example. Maybe was not possible. I can be wrong here.

2 - In a real business flow, buyers monitor the procurement lobby and updates the lines in bulk where possible. For example Planned Receipt Date. This should be one reason why overview pages are created, not to handle at the master data level. Users often work with bulk data, and selection in overview pages is saving time.

3 - There are plenty other overview screens in IFS which supports bulk edits. In the same component, we can update the status of POs in Purchase Orders screen. So why such security exposure is only considered here? The same attribute date in the header level can be updated in Purchase Orders screen. So the explanation on security does not make sense, Im sorry.

Thanks again

Hi @Vimukthi Mahakumbura,

Just expressing my thoughts on the points, you have mentioned above:

1) In Apps10, date fields such as Planned Receipt Date and Wanted Delivery Date are not editable via the PO Lines window.

2) I agree with this point as the purpose of overview pages is to make it easy for users to edit data in bulk. However, regarding the practical side of implementing this for the Purchase Order Lines window, different PO handling scenarios as listed below seem to restrict this.

e.g. i) If the PO line status is closed, the system should not allow edits to the 'Planned Receipt Date.' If the 'Edit All' option were functional, it would be difficult to restrict users from mistakenly editing closed lines, as the current edit logic is very straightforward without these validations.

e.g. ii) Furthermore, if 'Enforce Use of Purchase Order Change Orders' is enabled at the site level, the system should validate this setting before allowing any bulk edits in the PO line window. As mentioned before, the current edit options used (in other windows) are straightforward and not designed to handle these types of scenarios.

e.g. iii) Another scenario would be purchase orders with pegged quantities. If we need to change the pegged quantity on the PO page itself, it must update the source as well, which is not a straightforward edit option like those used in other overview pages.

My understanding is that it is complex to enable all the functionalities of the Purchase Order page for the Purchase Order Lines page, specifically, changing values in bulk makes it more complex and riskier.

Therefore, I believe areas with complex scenarios, such as POs, should be handled via their master page as mentioned by @Uvina Jayamaha for now since the current design is not intended to behave that way.

In a nutshell, I believe this is an improvement point for the future to capture all scenarios from the PO page and make the edit options in the PO lines overview page responsive to them.

Thanks,

Vihan Weerapura

@Vimukthi Mahakumbura  I found a response from R&D regarding the same concern, as shown below:

  1. The edit (pencil) icon in the Purchase Order Lines page is specifically intended for editing the 'Note' field only it does not support editing of any other fields.
  1. Enabling broader functionality in the Purchase Order Lines page is not straightforward, as it is tightly integrated with Taxes and Single Occurrence functionalities. Implementing changes here may introduce unintended consequences.
  1. The Purchase Orders and Purchase Order Lines pages are inherently different in behavior and design. Therefore, comparing their functionalities directly is not appropriate.

Given the above, we do not consider this a defect.
