PO Authorization rule settings ignored in Change Order

We have created a PO Authorization rule which is valid for change order and Allow Changes after Authorization = Within Authorizer Limit

 

here’s the description given for Allow Changes after Authorization

  • No Changes Allowed: No changes are allowed that affect the total line amount of the partially or fully authorized purchase orders. If the Include Charge Amounts option is selected for the rule, the system will not allow to add new charge lines.
  • Within Order Amount: Changes are allowed within the approved purchase order amount. Once the order is authorized, additional purchase order lines can be added as well, as long as the total order amount does not exceed the authorized purchase order amount.
  • Within Limit of Authorizer: Changes are allowed within the limit of the applied authorization rule or within the authorization limit of the last step in the applied authorization routing. Once the order is authorized, no additional purchase order lines can be added. If the Include Charge Amounts option i enabled for the rule, the system will not allow to add new charge lines.

 

When a Purchase Order goes through Change Order process, it goes into Authorization required for any changes do to existing lines.

We expect that the change order follows the same flow as in Purchase order (Changes are allowed within the limit of the applied authorization rule or within the authorization limit of the last step in the applied authorization routing)

Is there any setting that we have missed, or could this be a bug?

Allow changes after authorization condition is considered when doing a change on PO itself after authorizing the PO. 

When you create a POCO it should be separately authorized if there is an applicable authorization rule existing. The change from PO to POCO is not what is considered. 

However, you can skip authorizing POCOs when the change is not amount related, by using 'Use Delta amounts for authorization' option. (If the delta amount is 0, given that the change on POCO is date,etc., POCO won’t ask for an authorization)

Allow changes after authorization condition is considered when doing a change on PO itself after authorizing the PO. 

When you create a POCO it should be separately authorized if there is an applicable authorization rule existing. The change from PO to POCO is not what is considered.

Thanks for your quick reply. We’ll try that.

At the same time, I was wondering why POCO authorization behaves differently than PO. If we set the rule as Within Limit of Authorizer, then I’d think change in the POCO line amounts should be possible without authorizing if it fits the limit, as same as in PO?

we have setup the rule with Use Delta amounts for authorization and that eliminated the problem with need of authorizing every change, so I’m marking that as the best answer. thanks @Kithmini Gamage  for the help :)

Hi ​@Kithmini Gamage ​@dsj when the delta amount is negative and if use delta amounts for authorization is unchecked, it shouldn't technically ask for authorization right? I am getting a weird result in the authorizers again having to authorize it. This is IFS 24.1.1
