We recently discovered that a user received a PO line and then changed the PO line amount afterward. I was surprised to see that IFS allowed this, as I expected the system to lock the line once a receipt was processed.

As a result, we now have a mismatch: the vendor tab reflects the updated amount (6,980), but the GL still shows the original amount (9,040), which makes sense since the financial postings were created at the time of receipt.

My questions are:

  1. Is IFS supposed to allow changes to PO line amounts after a receipt has been made?

  2. If so, how can we prevent or restrict this in our system to avoid financial discrepancies?

We’re using IFS Apps 10.

Thanks in advance for any guidance.

Hi,

System allows to change PO line amounts even after receiving the goods. However, at the point of matching invoice with PO receipt it will generate M19 posting to handle any differences.

To avoid any direct price updates, we can set up PO authorization so once the PO lines are authorized it may not allow to do any subsequent changes to the original PO. If any changes are required then a change order should be created.
