More than one person seeing Laser Checks in Report Archive.

We are looking to have more than one person see a report in Report Archive. Examples: Purchas Order, Laser Checks. With the current at home work situation for many people, we have people creating reports at home and another printing the checks in the office.

 

Any ideas for a way to do this?

Hi,

 

When ordering the report from Order Report Dialog, you can use the “Distribution” tab to distribute that particular report instance (that particular report set/result key)  to another user or a group. You can add the user ID or group ID.

If you are not ordering through the Order Report Dialog but through an application flow, then after ordering the report, go to the Report Archive and select the particular report archive item and select “Forward” from the RMB menu. This will again let you distribute the particular report instance (that particular report set/result key) to a user or a group.

After doing this the same archive item with the same result key will be available to the user(s) you distribute to in the Report Archive. They can select this and choose the “Print” RMB option in the Report Archive to print the report.

Here you are sharing the data which you could only see with other people. It can be a security issue. So I guess you should have a mutual understanding when sharing.

 

Another way could be that you order the report and print to a Logical Printer. The Logical Printer can be mapped to a actual Physical Printer in the office where the actual printing is down. By configuring a Print Agent you can print the report that is printed to a Logical Printer through the Physical Printer. Here you will need some configuration and setup to use Logical Printers and Print Agent. Yet, you don’t have to share the archive item.

@ChanakaAmarasekara is there a way to automate this report distribution functionality?

We are in need of the same functionality as @holae when it comes to remittances. I’ve tried out the distribution list functionality but the users aren’t happy with the extra step of having to distribute every time they print the report. Imagine a user having to do this for each PO for example. Also, with remittances the email and report creation happens through the PDF_CREATE email event so the distribution only can take place with the forward method from the Report Archive afterwards.

It would be very useful if there is a basic data setup we can define, which reports need to be distributed to whom and then the printing functionality in IFS could consider this information and make them available to the relevant people. We would really appreciate it, if this can be considered as an idea for future development.

If you want to automate it maybe you can use the ‘Set Archive Property” Report Rule Action and set the distribution users or group. You can add a condition to the rule to control it from being distributed all the time etc.

You could also make the report be saved as a document revision in IFS Document Management, and from there grant the necessary access. Saving the document in Docman relies on the report rule engine. The technical documentation should explain how it is done.

Thank you @ChanakaAmarasekara. I had looked into Report Rules but didn’t know about the rule action types having such a property. So what I proposed had already been in the system :)

Thank you @Mathias Dahl for your suggestion as well. It’s a good approach when the reports need to be automatically saved.
