Document Archiving

The customer wants to securely store and retain older, less frequently accessed, or inactive documents. They want to free up space in the main document repository for current and regularly used files. The option I can think of is ‘Move repository’ but in IFS, we dont have the option of only moving obsolete files. 

looking for ideas on how to tackle this. ( for APP10 and Cloud both)

Hi Sachintha, Firstly, why do they want to free up space? What does it mean? Regardless of where they want to keep the files, it takes up disk space.

Where is their main repository located? If it's the database then it's understandable, otherwise not.

Regardless, I think I have an idea: 

1. Create a "fake" document repository that is set to Usable. 

2. Create a custom event that changes the LocationName in the EdmFile entity when they document is set to obsolete.

3. At regular intervals, use the Change Document Repository / Transfer Documents assistant to move the documents to another repository.

Profit! 🙃

Step 3 can probably be automated but using the background job option of moving documents.
