Unable to Reopen Closed Shop Order

When I try to re-open a closed shop order, I am receiving this error message: The orders existing reserved parent tracked structures are complete or none of the tracked components needed are reserved.

Does anyone know what this means or how to fix it?

What the Error Means

This error occurs when your shop order involves multi-level tracked parts (serial and/or lot/batch tracked with Multi-Level Tracking enabled). When you try to re-open the closed order, IFS checks the state of the existing tracked structure and finds one of two situations:

  • "Complete" — all the parent serial/lot numbers already have their tracked structure fully built and validated. IFS won't allow re-opening because the structure is already finalized (as-built).
  • "None of the tracked components needed are reserved" — the tracked components that were originally part of the structure are no longer reserved (they were issued/consumed/unreserved when the order closed), so there's nothing to build a valid tracked structure from.

Before a parent serial or lot/batch number is received from a shop order, the tracked structure of that serial or lot/batch number must be complete. Ifs The same validation logic is triggered in reverse when reopening — IFS checks that the structure state is compatible with re-opening.

Why This Happens

The tracked structure of a specific serial or lot/batch number on a shop order is validated as complete if enough quantity of all the components has been assigned to it. The component quantity assigned to the parent must be equal to the quantity per assembly of the component multiplied by the quantity of the specific parent. Ifs

When the shop order was originally closed, the as-built structure was committed. Re-opening after that point puts the system in an inconsistent state — the structure says "done" but the order would be back in progress.

How to Fix It — Step by Step

Step 1: Check the Shop Order Tracked Structure

Navigate to: Shop Order → Tracking tab → Shop Order Tracked Structure (or search for "Shop Order Tracked Structure" page directly).

In the left pane, you can see the relationship between lot and serial-tracked components and the tracked parts being produced. The right pane shows serial or lot/batch number reservations that have not been assigned to any parent part. Westsidecorporation

Look for which parent serial/lot numbers show as Complete vs which are unassigned.

Step 2: Try Unreceiving First

If the shop order was received and closed in error, you may need to Unreceive before reopening:

  • Shop Order → RMB → Unreceive Shop Order

This reverses the receipt transaction and should reset the tracked structure state, allowing the re-open to proceed.

Step 3: If Components Are Already Issued — Unissue Them

Go to: Shop Order → Material tab → RMB → Unissue All Material

Once the components are unissued, the tracked structure will no longer show as complete and the re-open validation should pass.

Step 4: If the Tracked Structure Is Blocking — Manually Clear It

If the order has reserved components that are not yet included in the tracked structure, you can have the system add the components into the tracked structure by right-clicking and then clicking Add Tracked Components. Alternative: If Multi-Level Tracking Is Not Required

If you are not interested in creating as-built structures, you can also choose to disable the Multi-Level Tracking flag on the Part page. IFS Community This is a broader change and should only be considered if traceability requirements allow it.

@Kay2013 what is the purpose for reopening the order? Maybe there is another approach to accomplish what you need.
