We have a tank that holds 200,000 lbs of oil and each truckload of oil we receive as a purchase part is approximately 75,000 lbs.  We would like to lot track the oil and have every truck load received have a lot applied.

If we were to receive 75,000 lbs of LOT A into the 200,000 lb tank and some of that oil is consumed, then 75,000 lbs of LOT B is received into the same 200,000 lb tank, we would like to have one lot in the tank called LOT B (or other name) but if we were to look in IFS where LOT A was used every product that had some LOT B (or other name) in it would show in the list of where LOT A was used.

Our main question is, does IFS Cloud (24R1 or beyond) have the ability to combine lots and maintain lot traceability? If so, how do we set this up?

We would also want to stop the user from receiving a 4th lot into the tank until the tank is emptied.  So, in the above example they would be able to receive LOT C into the tank but when they try to receive LOT D it would fail and let them know the tank needs to be emptied before they can receive another lot.  We can handle the max 3 lots in a tank functionality in another application, but if IFS has a way to automatically handle that then we would like to hear about it.

Breaking the above down into 3 buckets:

  1. Is there a decent solution for batch-based lot tracking and the mixing of multiple lot codes in a single vessel/tank under 24R1 SU12. If so, what are other people doing. We need to make sure this pertains to Purchase Part Types as that is the starting point for us.
  2. Is there better functionality in 24R2 or 25R1 to handle batch-based lot tracking and the mixing of multiple lot codes in a single vessel/tank. I sure don’t want to enact a process under 24R1 SU12 that breaks apart when we upgrade or makes it impossible to upgrade due to how we configured this process. If a future upgrade release has the perfect solution, then we need to wait for that instead of shoehorning a solution with our current release.
  3. If there is a process, how easy is it to unwind if corrections are required due to incorrect PO receipts.

IFS provides standard functionality to define Location Capacity for inventory locations.

Let’s consider your business scenario:

You define an inventory location, Tank A1, with a total capacity of 200,000 lbs. IFS allows you to receive multiple lots into this location until the defined capacity is fully utilized. The system supports various capacity parameters that can be configured to calculate and manage this capacity effectively.

For example:

  • You first receive LOT A with 75,000 lbs, followed by LOT B with another 75,000 lbs.
  • At this point, 150,000 lbs of the total capacity is utilized.
  • If you attempt to receive LOT C with 75,000 lbs, the system will restrict the transaction, as it would exceed the location’s capacity.
  • To proceed, at least 25,000 lbs must be consumed from LOT A and/or LOT B to make room for LOT C.

Additionally, if your business requires stricter control—such as limiting the number of lots per location to a maximum of three—you can configure a custom event in IFS to enforce this rule.

That will help with the “nice to have” part of my original question but doesn’t appear to address our main concern of having the ability to “merge” lots and maintain lot traceability. Do you know how to address that part?

@sjiggins in your scenario of 75K OIL Lot A and 75K OIL Lot B in the same vessel, you now have 150K OIL Lot AB, correct? If part number OIL is multi-level tracked, and it should be to maintain your lot traceability requirement, this ‘mixing’ of lots could be accomplished via a repair shop order where you ‘produce’ 150K of OIL Lot AB into stock by issuing the inventory of individual Lots A and B.

There is no need to merge different lots into one, and the system does not provide such an option.

The primary objective is to maintain traceability and consumption history for each lot upon receipt at a single location. This is effectively supported by the system through the Use Inventory Part In Stock and Inventory Part On Hand screens.

For your business scenario, please track the consumption of Lot A, Lot B, and Lot C individually at Tank A. While the lots may be physically merged, their records should remain separate to preserve traceability.
