Hi,

Does anyone know how the anonymization setup works? I would like to anonymize data before DR cloud tests. 

 

 

From IFS documentation :

Anonymization Setup 
Use this window to define methods for anonymization of personal data. The window allows for separate anonymization of text, dates, and numbers. One of the methods can be selected as a default one. It will be used when no other method is selected for anonymization.

Procedure

  1. Open the Anonymization Setup window and add a new record.
  2. In the Method ID, enter the identifier of an anonimization method, e.g., E-Mail, Phone.
  3. In the Text Value field enter text that will be used to replace the original text.
  4. In the Text Anonymization Mode select how text values will be anonymized.
    Following modes are available:
    • Fixed Value - text from the Text Value field is used to replace the original text value. E.g. if the Text Value is set to ***, and the original text is Moore, it will be changed to ***
    • Replace All Characters - text from the Text Value field is used as a pattern to replace all characters of the original text value. E.g. if the Text Value is set to *, and the original text is Moore, it will be changed to *****
    • Leave First Character - works similar to the Replace All Characters mode but the first letter of the original text value remains unchanged. E.g. if the Text Value is set to *, and the original text is Moore, it will be changed to M****
  5. In the Date Value field, you can enter the date that will replace original date values.
  6. Select the Default Method chec kbox to pick a method that will be used for personal data that has no other anonymization settings selected.
  7. Save your changes.

Thanks for procedure. I set it up, but its not working. Where can I check it? In person's data? Is it starts automatically after save default method?

Kindly see below steps to proceed anonymization setup for employment data, 

  1. To Anonymize data, the checkbox for Valid Data Processing Purpose must NOT be checked

 

  1. Go to data subject > As this is an employee, select the checkboxes related to Employee

 

  1. In Personal Data Management, check the boxes that you want to clean up. Indicate what you want to remove or anonymize. In your case select anonymize.

 

  1. Go to Personal Data Processing Purposes, select purpose “Employment” because we want to clean up the data of employees:

 

  1. RMB > Configure Purpose > Make sure nothing is checked:
  1. Set up Anonymization Setup if you have something you wanted to Anonymize and make sure to connect this to Step 3, Anonymization method column 

 

  1. Go to New Database Task Schedule to run background job:

If you recall the earlier GDPR case, there are 2 database cleanup tasks. Please take note

Below is the definition of the 2 database cleanup tasks:

  • Data cleanup of unauthorized personal data – this database tasks should be used mainly before GDPR goes live.
  • Monitors validity of personal data processing purposes and performs data cleanup – this database task should be used on a daily basis. It is responsible for a regular data cleanup based on changes in consents for personal data processing and sending notifications for impending expiration of consents and upcoming personal data cleanup.
  1. Check if the background job is ready
  2. Verify that data is anonymized up in areas specified
