DOCMAN - Attach one existing document to several objects/sales parts in one operation

In App9 we could search for a set of SalesParts and then attach one Existing Document to all selected/found objects in one operation. We use it to attach the same document to several SalesParts

This functionality was changed in Cloud and is deeply missing. We have e.g. 20 sales parts that shall be connected to the same document – and this not done by one/or to click.

Today (cloud 23R1 SU6) we do following steps to attach one ExistingDocument to several SalesParts:

  1. Find all SalesParts that shall be connected to an existing document (1) (in Sales Parts window)
  2. Click on «Stample/Attachmens»
  3. «Attach existing»
  4. In the side panel you can select an existing document – by default you can search by TITLE (and not a Doc_no!)

Step 2-4 must be done for each SalesPart, one by one(!)

 

Do anybody know how to do it more efficient?

It could help if we could write doc_no in «Attcha Existing Document» drop down list, instead of seraching by titles or use «search panel» for each time we attach the same document.

 But how can we configure it?

Hi @barner ,

As per my understanding there is no current functionality to connect a single document to multiple objects of the same object type(multiple sales parts as you have mentioned). Perhaps you could add this as an idea. There was a similar idea posted  to have this capability from document revision in the below idea



There is a small trick you can do for the attach documents drop down list to find your document with the doc no.  You can use “ % “ in front of your doc no in the LOV as a wild card. Check the below screenshot

Hi,

Depending on how hard you think it is to find the right document (with Asitha's suggestion it might suddenly have become easier...), you might want to consider doing the connection from the other side, by finding the document and connecting the objects instead, here:

In the Object Key field, type to find your object or, if that's hard (because the LOV does not search well on what you type), use Find to open the more detailed Find dialog. In there, you can filter on any attribute from the object and even save filters:

Perhaps the Duplicate command will save some typing as well, once you made one connection:

If it's very important for you to make this as efficient as in IEE, you can consider a proper modification or, possibly, a configuration (custom event).

From IFS Document Management we cannot affect how the attachments work, but we have some control over the Objects tab above. It might be possible to provide a way to select more than one object there, in the Find dialog. Might... Perhaps you should create an idea in the Ideas section here on IFS Community to get that to be considered?

It might also be possible to learn some keyboard shortcuts that will speed up the process or even use software like AutoHotkey to "type and click" for you.

The use of % in search was helpfull - thanks @Asitha Rajapaksha 

@Mathias Dahl - yes we can do it from DocumentRevision, but then we have to have a list of object we want to connect… That way is used in some cases. I have also configured the “search” in “key” field (PageDesigner) - so we do not use “Find” side panel ( it is too much clicking) -we find the object just by typing part_no
