Customer Contact Cleanup

Hello,

 

We have had our system for awhile and we have created a bit of a mess with Customer Contacts. We have the same person tied to a Customer Record 3 times due to different Addresses. We’d like to cleanup these contact records which we can do from a CRM perspective by reopening BOs and switching the Contact to the appropriate one etc. However, we are running into an issue when the contact is on a customer order that is invoiced/closed or cancelled or a BO that is Cancelled. Is there a way to work around this issue?

 

Additionally - Is there a better way to get these contacts out of the system? It would be idea to have a magic button that would say duplicate contact/merge record type of button to merge duplicate records together. We have a lot of this and as we use CRM more and more we want to keep our system clean as much as possible.

We had a similar requirement with customer contacts that left the customer.

Internally we went for a solution involving custom fields and events and LUs. It was,

  • ‘Leaver’ checkbox in Customer/Contact tab
  • ‘Contacts- Leavers’ custom page (as we wanted to know who did what and when)

When a contact is no longer needed in a customer, we will try to remove it first.

If cannot be removed due to use, we will mark it as a ‘leaver’ which will automatically set the blocked for CRM. Will also remove the customer address connection (along with address primary/secondary, making it not available for COs) and clear customer primary/secondary. Also mark the ‘Blocked for use’  in Person’s customer contact section to prevent future use.

 

It would be interesting to know if there is a better way to do this.
