I think you are talking about “Create Outlook Meeting” command in Business Activity page ?
Basically the purpose of that command is to open a meeting request with attendees and a body which includes with Business Activity record information.
So user can edit the appointment before send.
If you have contacts and representatives in Business Activity then this .ics file will be populated with those contact and rep emails.
Apart from above, we also have an another solution to create the appointment directly in Outlook calendar. For that you have to use CRM Sync solution. There is a command called “Sync to Outlook” in Business Activity page where you can use to create the appointment in outlook. Same way you can create from outlook side and transfer to IFS side as a business activity record. when ever you update the appointment in outlook side , it will update the relevant business activity record as well.

Thanks for the reply. Even with “sync to outlook”, looks like .ics file will create. I wanted to check if sync to outlook would open the meeting request directly and not by opening the .ics file.
Also, in case the business activity - meeting request is deleted, will the outlook sync happen ? Did not see it happen at my end.

The Sync to Outlook option is related to the Outlook Calendar Sync feature. If you configure the sync solution, an appointment will be created in outlook if you select Sync to Outlook when creating a new business activity. If you update the appointment, the changes will be reflected in the linked business activity.
If you don't want to use the Outlook Calendar Sync functionality, you can instead use the Create Outlook Meeting command in the business activity to manually create an appointment. Contacts and representatives from the activity will be added as attendees if they have valid e-mail addresses. Please note that Create Outlook Meeting option will just create an appointment with information from the Business Activity but the two records are not synced. If you want changes to the appointment to be updated in the business activity, you have to use the Outlook Calendar Sync solution.
Create Outlook Meeting action will generate an .ics file. The .ics file is the file that is used by Outlook to handle the appointment information so that is not specific for IFS Cloud. If you select that this file type always should open automatically (in Chrome you can right-click on the downloaded file in the browser), it will open the appointment directly in Outlook.
