Question

PO Change Order only for price or quantity changes

Forum|alt.badge.img+5

When using PO changes orders, in Apps 10, we are noticing that date changes require the use of a change order.

We would like to use PO change orders to trigger authorizations - as such we only want to use PO changes orders when the quantity or price changes.

Is there a way to setup the system to mandate this type of use case?

  1. mandatory use of PO change orders - means date changes have to be made via change orders
  2. optional use of PO changes orders - means quantity and price can be changed on the PO without a change order.

Hi @RajenGandhi ,

You can enforce use of purchase order change order at site level and supplier level to mandate use of POCO. However, there is no way to enforce only based on which fields are getting updated.

To enable in site, navigate to site → sales and procurement → Purchasing section → Tick ‘Enforece use of purchase order change order

Or supplier → Purchase → Misc supplier Infor → PO change management - set as per requirement.

Hope this helps.

Thanks,

Sayuri.

Thank you for the response.
I am really looking for a way to enforce PO changes orders only when there is a dollar amount change.

The trigger for this ask is that the process of updating planned arrival dates via a change order is cumbersome.

Hi @RajenGandhi,

The Purchase Order Authorization Rule has an option Allow Changes after Authorization for changing Purchase Order attributes after Authorization.

Within Order Amount option, the system would allow business users to change Purchase Order attributes without POCO unless the Purchase Order value is not increasing.

Abdul Rehman

Is there something else that needs to be done?

This does not work for me - the system is asking for a PO change order for date change:

Please check whether the Enforce Use of Purchase Order Change Orders option is enabled at the site level. If so, please disable it and then check.

Please be informed that Allow Changes after Authorization would not work if POCO(s) are already created for the Purchase Order.

I tried this out - and I can now make changes to the date without a POCO. But I can also make changes to the PO line price without a POCO as well.
Any other suggestions?

As  I mentioned, with the Within Order Amount option, the system would allow business users to change Purchase Order attributes without POCO unless the Purchase Order header value is not increasing. This applies to the PO line price as well.

Please try to increase the PO line Price and then check whether the system allows change without POCO.

I am able to change PO line date (as expect and wanted).
I am able to increase PO line price (by $10,000) without POCO - the Rule I have in place is for a delta of over $1000.

Hi Rajen,

I am not sure why it is not working at your end, though with the same setup, it is working fine in my test environment. Please refer to the screenshots below.

are you using the PO authorizations for the original authorization?

I tested this process with the “Use for Original Authorization” , and then the process works.

Is there a way to do this without activating the original PO authorization?

We are using PRs for all of our authorizations.
