How is it intended to be used for Work Orders (mandatory step and templates)?

Hi all,

I’m trying to understand the intended usage of Risk Analysis in IFS Cloud (as designed by IFS R&D), specifically in an Asset Management / Maintenance Work Order context.

Business requirement

In our maintenance execution process, a risk assessment is a mandatory step before work can start on a Work Order.
A typical example is working at height, where a risk assessment must be performed every time the job is executed.

Issue 1 – Risk Analysis cannot be created from the related object

From a user/process perspective, we need the flow to be:

  1. Create Work Order

  2. Create Risk Analysis from the Work Order (context-driven)

  3. Complete + approve Risk Analysis

  4. Only then allow Work Order execution to start

However, in IFS Cloud it seems Risk Analysis must be created first and only then linked to the Work Order afterwards.

This creates a usability and process problem, because the Work Order is the natural starting point and the risk analysis is an integrated step in the WO workflow.

Question:
👉 Is Risk Analysis intentionally designed to be created as a standalone object first, and not from Work Orders / connected objects?
If yes, what is the recommended best practice to enforce “Risk Analysis required before WO start” in IFS Cloud?

Issue 2 – No template handling for recurring risk assessments

In real maintenance operations, many risk assessments are repetitive (e.g. working at height, confined spaces, hot work, etc.).
To avoid re-inventing the wheel, we need something like:

  • Risk Analysis templates

  • A library of standard risks + mitigations

  • “Create Risk Analysis from Template” from the Work Order

At the moment, we cannot find a proper template mechanism for Risk Analysis, which makes the process time-consuming and reduces compliance in practice.

Question:
👉 Is there a standard way in IFS Cloud to create Risk Analysis based on templates or predefined risk libraries?
If not, is IFS planning to support templates for operational risk assessments?

What we are trying to achieve

  • Risk Analysis becomes a mandatory gate before WO execution

  • Users can create it directly from the Work Order

  • Recurring work types can use templates for speed and consistency

Any guidance, configuration tips, or IFS R&D input would be highly appreciated.
