Fixing a Closed PO

Purchase Order Status: ClosedThe user has mistakenly raised a PO for an extra 505 quantity of a certain part, received it and now wants to correct it. I checked the connected invoices. The Invoices are either in 'PaidPosted' or in 'PostedAuth' statuses. I was pretty sure we are unable to fix this now. But thought of checking with the experts on the Community if there's any way at all that we can fix this at all? App9 UPD14

Incoming Dispatch Advise stopped

Hi AllWe have a Scheduled Database task to automatically receive Incoming Dispatch Advises. It raised an error for a particular PO line because ‘Inventory Part in Stock Object does not exist’ Simply here’s what we did in IFS:Project Supply created from a WO Purchase Requisition raised from the Project Activity’s Supply side PR converted to PO, released and order sent Incoming CO released from the demand site and the Shipment processed Shipment delivered and Dispatch Advise created, sent Error in automatic receipt background job. Tried to manually receive the PO line, still the error comes up with ‘Inventory Part in Stock Object does not exist’ Is this possible? Why would we need parts to receive parts. Checked the location, no restrictions there. Other parts remain on the location.

Reprint PO sends email automatically only for one user

As solved on the following post, I understand how automatic sending of reports are triggered via event actions. Reprint Invoices Automatically Emailing | IFS Community My question is, only one of the users, when trying to make changes and print / reprint the PO, sends it automatically to the Supplier. When I try it with my user, it doesn't happen. I’ve checked the conditions for the event ‘PDF_REPORT_CREATED’ and this is how it looks like:This PO dosen’t belong to the site above as well, fyi Happens with only one user, not for everyone.

Automatic Receipt Dispatch Advise

We use the Scheduled Database Task 'Automatic Receipt Dispatch Advise' to automatically receive incoming Dispatch Advises.Since Friday, we have been getting the error in the background job “The Inventory Part In Stock object does not exist. ORA-20111: InventoryPartInStock.NOTEXIST2”200+ lines are stuck with this error. How can we identify the part causing this error?

Attachments not downloadable for closed IFS cases

Not sure if this is the correct sub forum to post this question. If not, kindly advise me what’s the correct sub forum. We try to open case attachments from the old [closed] IFS cases that we reported in the past. Seems it’s not possible. Not just me, all my colleagues I tested the issue seem to have it. It would be interesting to know if other customers also face the same issue.Is this an intentional restriction from the IFS side? IFS Customer ID 307435

Confirm with Differences via Change Order

IFS Tracks tested: App9 and App10 [Haven’t really tested in the latest versions] For me, it dosen’t make sense to use the RMB option on the PO header / lines ‘Confirm with Differences Via Change Order’ since it really doesn't enforce a POCO, rather it does the job without a POCO. What do ya’ll think? I think it needs to be corrected. Escalation Matrix in IFS Support

Can anybody shed some light on this? Say, our system goes down and a dedicated team from IFS works on this. The ticket owners change with time right? That’s totally alright. How can we find an escalation point of contact for the specific issue? We do understand that there can be delays. But it would be nice to have this contact. Notify Me on Agreement Expiration

Can ‘Notify Me’ be configured on Supplier Agreement Notifications, say, when an agreement is nearing expiry? Is there anybody using some sort of a notification feature on agreements?Business Requirement is that the Buyer on Agreement needs to be notified when its nearing the ‘Valid To’ date.App10 Upd9

Closed PO under Unfinished Activity Work?

When the user is trying to close the project, they can see the following. There are 2 POCOs, both in ‘POUpdated’ status with regards to the original PO. What must be done? Please advise.

Intersite Flow: Automatic Part Creation

We are in IFS App10 Upd9.Need to design a solution where in the absence of a Sales part in the Supply site, the incoming customer order triggers a notification and possibly creates the inventory part / sales part. (Master Part is available) automatically upon approval. Is there somebody already using a similar setup? Need not be the same. What would be the best way to implement this? Please share your ideas. Document Migration from Sharepoint to IFS

Hi AllHave any users in this forum got experience on Migrating a set of documents from Sharepoint to IFS? How did you carry out the migration? What were the challenges you faced in terms of document size, disc space, IFS performance etc? Any reflections on the lessons learnt would be great. Consolidated Purchase Authorization Rules

In App10 we can enter multiple sites within the same company under the same authorization rule for both POs as well as PRs. My question is, is there a capability in IFS to consolidate this feature across all sites (belonging to several companies) across an organization? The goal is reduced administration by limiting the number of authorization rules to create and maintain. If it dosen’t exist, what are the challenges to develop this feature in the future? Differences in Base Currency for several sites maybe?

One Time Supplier for Credit Card Purchases

Our Procurement team has a direction to limit supplier records in IFS, hence they keep expiring the ones we do small purchases through. But we need to make purchases through those small suppliers. We discussed a possible solution i.e. record those suppliers as one time suppliers in IFS (then the need to expire them goes away) make the purchase through credit card, raise a PO in IFS since the goods receipt is needed, close the PO and match with a zero valued invoice. Finance assured that they can take care of this if we come up with some sort of modification, maybe in the PO line to distinguish it’s a credit card purchase at the year end. I read the below useful thread where there are good inputs from Finance experts @Shehan Almeida @Eranda, still wanted to create a new thread with some questions. So the questions I have are these. PO Document access for all organizational users

Hi All I created a Document class under which I plan to connect a certain set of documents to either PO header or line (or both) in the future. Now I need to give all IFS users in my organization ‘View Only’ access to this Doc Class. I read the following post and the answer by @Thilini Kumarasinghe and noticed that PO is not among the standard object types available for access control. Can anybody guide me through the steps on how should I do this with regards to the access setup? Thank You

Document Text in Shipment lines

I set ‘Replicate’ at Customer > Order > Misc Customer Info > Replicate Doc Text. Added Doc text at CO line with the output type CO. At Order release, Shipment is created. Shouldn’t the Doc text be inherited from CO line to the Shipment line? Or is it only for the intersite orders?Nor can I manually add Doc Text to the Shipment Line. Did I miss anything? The goal is to have Doc Text in the line of the report Shipment Delivery Note.

Procurement Planning in IFS

We are not a manufacturing organization, but a Project based service organization. We are looking forward to follow a ‘Procurement Plan’ in IFS to align with Project Demands. I heard that there are things like DDMRP in App10, but not sure how to implement it since we don’t have a manufacturing component. Can someone give me insight into that functionalities in IFS that would fit for us well? Would like to keep it simple too to start with. A test plan with IFS window names would be ideal.Would love to hear from both IFS Consultants and Industry experts like IFS customers.

Customizing Supplier Agreement No sequance

Doc Revision expiry notification

Business requirement is that we receive Supplier quality certificates that we check into IFS / Supplier. Those certificates need a validity period set. The users need to get notified when the quality certificate is about to expire. I found the below thread useful where I read the responses from @Mathias Dahl and @william.klotz. My question is slightly similar to @DominikaM’s question on the previous thread. I need set an expiry date for a certain document class only. Within that Doc class, I need to control the expiry date at individual doc revisions and get a notification before that date. Seems IFS dosen’t provide a straightforward way of doing it. Do you think I will be able to achieve it through a custom event only? i.e. I set up a user email that gets a notification generated when the document is nearing the expiry date that I entered when checking it in IFS. Unlike the previous thread, we enter a new revision only after Rev 1 is set to expiry / obsolete.

Split Cost

Can someone explain to me how the cost of a part gets divided if we chose ‘Split Cost’? I am trying to receive into inventory a part that was found during counting. Help says ‘The total cost will be split up into cost detail lines in accordance with the settings in IFS/Costing.’ - if you can explain with breakdown of the cost, that’ll help

Supplier Reliability Statistics

Hello I raised this question on the below thread, but didn’t get a response. So posting as a fresh post, hoping the community heroes and industry leaders can add their ideas. Can someone clarify what should I do to get data here? Tried with different Promised delivery vs actual delivery days. But no use :( I am trying to build up a Supplier performance evaluation matrix and would love to hear how everyone’s doing it in IFS. By the way we don’t use MRP, but if you’d like to include it in your suggestion, that’s fine. We might want to start using it.
