Make a user an employee

Hi,An Employee is created in the HCM module. There is an assistant available, which takes you through all the steps: “New Employment”. The object Employee, also always requires the object Person. Thus, you need to consider if a Person already exist or not for the individual you are creating an Employee for.Since you are asking this question, I assume this has never been covered during your implementation of IFS? I would therefore strongly advise to reach out to IFS for consulting assistance on this fundamental process. There are many aspects to consider, depending on what you want to achieve by starting to create Employees in your ERP. An experienced consultant will be able to guide you through decisions and help you establish a good structure and strategy right from the start. Timesheet Guide

Hi,Thank you for this question. Implementing Project Time Reporting is not something that is done only after reading some documentation. Especially not if the Project Time Reporting is to be combined with Time Reporting for Payroll. It is quite complex, with lots of options and decisions. Even if the request is only for Project Time Reporting alone, there are many aspects which are assured by an experienced consultant, to set well functioning workflow. This is often carried out by an HCM and Project consultant together, in cross-functional collaboration.If there is a requirement to implement Project Time Reporting in an organization, I would advice to reaching out to an experienced HCM or Project consultant for assistance.Best Regards,Magnus

Formatting the Payroll Transfer File

Hi,On each Wage Code (wage code basic data) you set which “Transfer Option” the wage code should have: should it be sent to payroll, or not. (If wage code “800 - Overtime” is set to: “Transfer day by day”, every Time Transaction with wage code 800 will, for a certain period, have an equivalent Payroll Transactions created. It is the Payroll Transactions which are sent to Payroll.)Thus, if you add a new Wage Code, set it to be transferred, time report on it, and then run the “Transfer to Payroll” process, it should be included in your payroll file. That is how it should work. I can however not guarantee it, since payroll transfers prior to IFS Cloud almost always was customized integrations. Therefore, any logic might have been build into your transfer.However, just test. Add a new wage code, set it to be transferred, time report on it, and then run the “Transfer to Payroll” process. My Absence Calendar

Hi Zuhaib,Sorry, but I do not fully understand what you mean. Could you please attach screenshots? Are you familiar with how the Absence is setup in your environment or are you foremost asking based on what you see in the End User interface?Do you have Absence Groups called “Worker”, “Officer” etc. and under those there are different kinds of Leave (Absence Types)?If you want to filter on different types of registered Leave, you can do that on the sub-page “Absence Registration”.I do not understand when you write: ”Absence Plan/Requests/Registration used only after registration of leave.”. Do you request for Leave, after you have registered it? That seems like a reversed workflow, and the opposite of the intention.//Magnus

My Absence Calendar

Hi Zuhaib,There is currently no filtering functionality on Absence Type in the actual Calendar view. What you can do is hide/show Absences based on their status. If you move into the Absence Calendar sub-pages (Absence Plan/Requests/Registration) it is however possible to filter on Absence Type.This is nevertheless a good suggestion for future development. Medical Examination Results

Hi Anya,Based on your question I assume you have looked through the existing functionality under Health & Safety. As you point out, we have the possibility to add different “Medical Tests” and their results to an examination. At this point there is no overall “Medical Approval” status.I however see the value for some organizations to have such an overall status. It is also not too complex to solve. You could use existing core functionality and just create a Medical Test which is called “Medical Examination” and have that as pass/fail. Even better would probably be to add (configuration) a “switch” on the header of the examination page called “Medically Suitable for Employment”. If there is a need for multiple options a List of Values would be more suitable. This result would probably also be desired to show as a custom field in the Medical Examinations page, for overview purposes.Best Regards,Magnus

Change of system generated ID

Hi,As a general rule you cannot change IDs, and that is the intention. Therefore you should never try and create any logic in the ID-structures and you should not build dependencies to IDs.If you really feel that you must change an ID, then disconnect everything connected to it, delete it and create a new one with the ID you want.Regards,Magnus

Transer allowance

Hi Daniel,The employee is entitled to extra compensation when assigned to work irregular working hours. This could be handled by time reporting on specific wage codes. It can either be done by employee, an administrator or a manager. As long as the wage code is setup to be included in the Transfer to Payroll, the employee will get the extra compensation on top of its salary.If I understand this correctly, the extra compensation should be both in overtime and in “OB” (Swedish) [which is a type of “Increment”]. Thus, you need 2 wage codes, one overtime and one “OB”. I am not sure if these already exist, or if you need to create specific wage codes specifically for these occasions. Getting error as "A valid company absence schema could not be fetched. Please verify the basic data setup." error when trying to enter/amend absences SICK from Quick Absence page

Hi Dharmendra,“Company Absence Schemes” is quite new functionality within IFS. I have not used it myself yet. The error message states that there is no valid “Company Absence Schemes” and that you need to check your basic data. I suppose you are operating in an environment you have not setup yourself, otherwise you would be aware of the settings made.I suggest therefore to deactivate any settings in the page “Company Absence Schemes Configuration” or other pages related to “Absence Schemes”. If you do not feel that you are entitled to do changes to the settings in the environment, you can always try to use another Absence Type.There is also a link between “Absence Schemes” and “Employee” (File). Therefore, you could probably deviate on Employee level for the specific Employee you are using for testing.Regards,Magnus

Therefore I assume this is either a matter of you not having the Access Attribute: “Absence Registration”, in your Access Role; or if the environment you are running might have setups in “Data Access Configuration”, which can control Absence Types. Hi Anna,First of all you should let the Supervisor have the new organization unit as primary. Otherwise the Supervisor’s time reporting will not be registered on the new organization unit (which might be of importance if the org code on time transactions are being used).Second, for the Supervisor to be able to access transactions outside of the period when the Supervisor is assigned to the organization unit, there is a specific setting for this called “Manual Entry Trans. From”, and then a “Manual Entry Trans. To”, together with a date interval. Thus, you give specific access to transactions during a certain time period. This setting can be found in for instance “Graphical Organization Structure”, on the “Access”-tab on a unit, or in “Supervisor Access” (or other relevant access-pages).Best Regards,Magnus

May I ask if you are using the drag-and-drop functionality in Graphical Organization Structure when doing reorganizations in your organization structure?If you do, my thought is that your access issues could be the result of that action, where old data is not cleared successfully. Hi,If you delete the record you will loose the organization history for the employee. Instead you should always set an end date on the organization assignment.Has the employee switched organization unit in the middle of a month? HCM Benefits Administration - Is it being removed?

Hi Paul,There is a plan to include Benefits Administration, together with Payroll Review, in the joint process “Compensation and Benefits Management” in the future. At this moment it is however not decided when that will happen. Thus, there will be a gap between App10 IEE and when the new Benefits functionality is chosen to be developed and launched.Therefore, my suggestion is to not setup anything in App10 IEE. In the mean-time I would instead advise to use a combination of “Compensation Types” (if there are benefits where a specific amount is to be paid out), and for other types of benefits (just for keeping track of selection and validity for each employee), to set them up as “Properties”.Best Regards,Magnus

Hi Caëlla,In IFS Cloud (and Aurena App10) the ERP is not dependant on your setting on the computer. Since the system is web browser based, it is dependant on the settings in your browser.By using the settings below, calendar, time etc. will the in Swedish standard; while the entire browser is run in English. poosibility to restrict access to employee selection templates in IFS Cloud for a defined group

Hi Frank,Employee Selection Templates can be used in many different parts of HCM. I would however say that it is foremost used by HR or Managers. I have actually not had a requirement from customers on selection templates for Employee Self-Service.However, as you point out there is no way of controlling who should have access to each template. Maybe it can be done with a Custom Event, but then you need to maintain the event with all new templates created.I would recommend that you create an Idea in the Community and suggest new functionality for the access of selection templates. Hi Laura,The purpose of entering data into “Standard Cost” in IFS HCM, is for it to be used by the IFS Project Module. As Marcel showed in his answer there is a priority, where the data in HCM is first (if HCM data exists). Thus, this is a question of which module should be in control of the Employee’s pricing in Project. Should HR or Project be responsible for the maintenance of the data? Some customers might not run IFS HCM and therefore there must be the option of adding the data for the same purpose in multiple places.Regards,Magnus

Hi,No, I tested the settings in a 23R1 SU3 environment. I would therefore say that the settings are very much up to date.You must test this on an Employee with only the Self-Access Role and no other Position Access or HR Application Manager access. Make sure to test it in My Self-Service > My Time and Attendance.As mentioned, I however do not really see the purpose of removing this option for the Employees.//Magnus
