IFS Aurena (Search All Records)

We asked IFS this same question almost 1 year ago, and have finally received an answer. It seems when the “Search All Records” setting is disabled on the Shop Order page, Aurena will only search for shop orders which are…• Open orders, or• Orders that were closed or canceled within the last 365 days.Kind Regards,Robin

The linked document was published just over 5 years ago, and as stated in earlier posts, is missing details of the “INTER-COMPANY INVOICE FLOW” stating “Details to be added”.Is there a newer/updated version of this document available which includes that missing detail?

Project time transactions not creating Cost lines in project navigator

Good morning Zuha,We use Apps 10 Aurena and had the same issue (i.e. Project Monitoring page shows data on the Hours tab, but nothing on the Cost tab). We solved it via the “Resource Group” page...Open the Resource Group page an search for the “Used in Project” = Yes. Select the applicable Resource group, and click “Resource Detail” command button. Open the “Project Related Cost” tab, and ensure they cost data is populated as required (Note: The “Internal Price” field should be populated with the cost/hour for the resource in question). Open the Persons tab, and ensure the correct employees are listed. In the record selector, click the “Expand” button. In that expanded view, Click on the “Employee Name” in the Main view, open the "employee” tab, and make sure there is a Primary Scheduling record in place. If not, press + to create that record then press save. After adding that record, open the “Project Connections” page, and click “Refresh Project Connections” Work thought the assist

Populating "Tax Code" when migrating Instant Invoice Lines

Hi Buddhika,Thanks for your very quick reply! However, I think I wasn't very clear in my 1st statement…On our Sales Objects, the “Taxable” field is set to “Yes” but the “Tax Code” field is left blank. This is because we want to pull the Tax Code from the Customer Address rather than the Sales Object itself.Kind Regards,Robin

Instant invoice upload process

Hi RajK,I appreciate your post is quite old now, but did you find a solution to this?I have tried to build an Apps 10 migration job to create Instant Invoices from Excel, but have so far been unsuccessful.I created a job which successfully creates the Invoice Header, but I’m having problems when trying to migrate Invoice lines linked to those headers.If you found a solution, any advice you could give would be greatly appreciated.Thanks in advance,Robin

Enable history logging on quick reports

Afternoon Remy, IFS Apps 10 EE provides an out-of-the-box solution for tracking who ran which report and when… To see data on this page, you must first enable logging within the System Parameters as shown below... Unfortunately, there doesn't seem to be an equivalent page in Apps 10 Aurena or IFS Cloud.Robin

Docman fulltext search

Thanks for the great reply Mathias, That’s exactly what we needed! It run really fast too. We have ~25k doc revisions in our database at the moment, and the search results are displayed almost instantly. I guess that’s the power of the Oracle Text indexes.I hope IFS can find a way to add this functionality into IFS Cloud, as I feel the ability to search inside docs is a very powerful/desirable feature of any Document Management system. Is there a way to print a Returns Note when the status is Reserved/Picked in a Supplier Shipment?

Hi Ravinatha,Thank you for your reply. While we understand that it is possible to print the Returns Note from the “Register Inspection Results” screen, this is not ideal for our working process. We would prefer to print the Returns Note from the “Supplier Shipment” screen, but it seems IFS does not allow that until after the goods have left stock.This is somewhat inconsistent when compared to the functions on the “Shipment” screen. Both of these IFS screens are used to manage the despatch of parts, but for some reason the “Shipment” screen allows despatch documentation to be generated prior to the parts actually being despatched (which is very useful as it allows us to be prepared in advance of the transport vehicle arriving on site), but the “Supplier Shipment” screen does not allow the documentation to be printed until after the shipment has been finalised (i.e. after parts have left our site).

Default Document for a Document Class

Good morning,You could also consider using the “Document Requirement” function (Document Management > Basic Data > Document Basic > Document Requirement). The help system states… Use this tab to define and maintain profiles for document requirements. Different business objects, such as engineering part revisions or project items, can take advantage of these document requirements. A profile consists of a survey of different document classes. Documents of these classes must be connected to the object (added to the object's document survey) before the document requirement is fulfilled. A profile can be modified or deleted only if it is not being used by an object. For example, you could enable the connection of a “Doc Requirement” to the Invoice (via the “Solution Manager > User Interface > Object Connection” screen), and maybe add a Custom Event to auto attach that “Doc Requirement” to every newly created invoice.Kind Regards,Robin

I also discovered that within the Document Text Administration screen, there’s a tab called Document Phrases. That tab allows a phrase to be linked to a specific output document forcing that phrase to appear on the document either enterprise wide or by disabling the “Valid for all Companies” field, and RMB, Details it can be limited to specific companies or sites. As such, it doesn't really matter that you can’t add Document Text on the Company or Site screens, as you can achieve the same results using this tab and it’s RMB, Details option.

After doing some testing myself, I compiled the below list of IFS Screens/Objects which allow Document Text to be added. However, it seems likely there are others too which I just didn't find yet. @ShawnBerkand @Anushka B Thanks for your replies, but it’s not the list of documents i’m looking for but rather the list of LUs / IFS Screens (i.e. types of object) to which document text phrases can be added. I was hoping to add doc text to the Site record, with an output type configered to appear on the PO output doc (to capture site specific delivery info such as good-in opening times, etc) but there doesnt seem to be any way to do that out-of-the-box. IFS also doesnt seem to allow doc text to be added to a Part Revision record (and many other records too). This is why i was looking for a list of the IFS screens where the RMB, Document Text option exists.

@Mathias Dahl Thank you for your detailed replies!Doc Macros: I have been using Edge to access Aurena, and have not yet had a chance to try Chrome with Aurena Agent and associated chrome extensions installed, but I’ll experiment with that in due course. Document Structures: Over the years, I’ve seen several potential use cases for Structured documents (although not all of them were actually deployed as part of the IFS solution)…We explored the use of Document Structures to group multi language versions of an “installation instruction” documents. The company sold their products all over the world and therefore created these documents in multiple languages. By linking all the docs into a structure (e.g. English, French, German, Italian, etc) it would allow them to be managed as a set. When a product was revised there was a need to update all the installation instruction doc’s to reflect that change, so the ability to check them all out and in at once was explored. (Ultimately, I don’t th

Start pages [Anmise]: Honestly didn’t know they existed on Apps10. What are you missing when comparing with lobbies?While lobbies are a great visualisation tool, they typically need a tech consultant to build them (i.e. someone with SQL knowledge). Start pages had the quite significant advantage of being easy for users to create and edit themselves. Users can create saved searches on any IFS screen, then add that saved search to their own start page. That search is then shown with a “count hits'' alongside it. I think empowering users to configure and update their home page in this way is great for increasing efficiency. Doc macros [Anmise]: Macros are available in Aurena. @ghljphillips Project InventoryYou might also consider using a Project, and Proejct Inventory. From the Customer Order screen, you can RMB to create a project. Then any parts applicable to that Customer Order can be managed by PMRP. This applies the project reference to all Purhcase Reqs, Purchase Orders, Shop Order Reqs, and Shop Orders, and Inv parts in stock, which in turn prevents those from being allocated to any other project/custoemr order.Projects do require a bit more admin work however, so might be a bit too complex for your given situation.

Apps9 Trouble getting Document Text toPrint on Invoice

I assume the invoice layout your using has been custom built as part of your initial IFS implementation (probably as a Crystal Report)? For document text to work correctly, it has to be expressly coded into that report. It’s possible your output document will need to be edited in line with the specific doc text use cases you explained above. I would recommend the following test: Print the invoice using the default IFS layout, instead of your companies layout. If the doc text is shown as expected on the IFS layout, it would confirm that you’ve set up the doc text admin correctly, and that the issue is with the bespoke invoice layout. If you cant select the IFS layout within the print dialogue box, you (or your administrator) might need to enable it as follows…Enabling standard format Output Doc’s in IFSOpen the Solution Manager > Operational Reporting > Report Definitions screen Scroll down the list to find the required report, and click the report title in the 1st column In the t

Tabbing Order on IFS page from Keyboard

Are you working in Enterprise Explorer or Aurena?As far as I know, Enterprise Explorer follows the column chooser settings when tab is pressed (i.e. it moves to the next editable column in view) so you could configure the Sales Qty field to appear immediately after the Sales Part field. EE also has a “new after” setting, which causes tab to create a new record after you reach a specific column.My Aurena knowledge is a little limited, so I’ll leave it for someone else to advise on that (maybe the projection can be edited to gain control over this?)

Customer Order Reservations

As far as I know, when you auto reserve parts to a CO line, IFS uses a FIFO approach (i.e. it just picks the oldest lot batch) but doesn’t discriminate between lot/batch number, or product structure alternate. As far as the reservation process is concerned, if the part number is the same, then the product is identical. I don’t know of any way to link a lot/batch to a customer, or customer group but here’s a few ideas that might help... Pegged Shop OrderIf the parts in question are manufactured via a Shop Order, you might consider pegging the Shop Order to the applicable customer order line. I assume someone is manually editing the Product Structure Alternate on a case by case basis to align it with the specific customer requirements, so that user could also peg the Shop Order at the same time. When parts are received into stock from a pegged shop order, they are instantly reserved to that Customer Order line (removing the need for a user to reserve them).Alternatively, you could set th
