What is defined as “Linked Documents” in IFS?
Hi All,A user is unable to attach documents to a Customer Order Line.I found that this user has attached some documents to Customer Oder Lines previously.Note: Unable to recreate the error using IIFSAPP credentials.Kindly let me know what should I do to fix this.Thank you.
We are on App8 SP1+. We have some documents that require special handling if they are printed out. I can indicate which documents require this using a field on the document revision. These documents can be Word, Excel or pdf. Ideally I would like to have a cover page printed automatically anytime someone prints one of these documents. The cover page would always be the same. As an example it might say “Confidential Do Not Distribute”. Any ideas on how to accomplish this or other suggestions to accomplish something similar.Phil

Hi,We created a command button called “Email Quotation” in the Sales Quotation window. Once the user presses the command button, the system will open up the new outlook mail attached with the relevant sales quotation report pdf. At the moment this is working fine (used “agentcall DownloadAndSend”) but the customer needs to get the e-signature into the new outlook mail. Is it possible to open up new outlook mail with a loaded e-signature in Aurena? Please see the below screenshots of how this works in the Aurena application right now. Also, I checked the formatted text in outlook mail. It's “Aa plain Text”.

Hi All,If we copy a file that was saved to an external shared repository, and we place that copy in a folder that is located on the database server, the DBMS_LOB procedures in our process are able to read the file contents as BLOB values and add their contents to the outgoing JSON. But that was failed or have required manual preparation. We need help to handle files in a Repository that is not located on the database server.Someone with tech background that can help to explain this functionality .Or if this external repository handling is a limitation, Please let us know. Hi,several customers who use Aurena client in Apps 10 or IFS Cloud ask for the old functionality to configure the attachment panel if it should show icons, lists or details. Of course it is possible to press the button ‘Document Revisions’ to see all the details of all attached documents.Is it on the roadmap for DocMan to offer a possibilty for getting the table view of all connected documents in the attachment panel? This should not be a big modification and would help all customers who have lot of documents attached.Best regardsHeinz
If documents are attached to an object in IFS Applications they are always shown as tiles with only few information. In IEE you could configure if they should be shown as symbol, list or details. Is there a similar possibility in Aurena to show all attached documents in a table with the possibility of selecting columns, filter data, etc.?
In Document Management => Create document, I get errors when a document has too long filename. It made several lines. I also do not get any notification that the filename is too long.See attached screenshot of what is happening. The document with the long filename generates many lines (many new documents)I do not find that this has been reported before and will be fixed.Do you know anything about this @Mathias Dahl ? We saw a few posts that were old and not really detailed. Do you have anything written up we could look at? Russell is scoping what they think their use case and will add more specific information but I’m sure we must have something written up for using it to pull in asset ids and spare parts. And it's connected to a parts catalog object. In ss-02, the document class default values. For PDM-001 document class;1- All users can view this document. Let it download the linked file.2- You cannot make any changes other than viewing and downloading.3- Nobody can do the object connect detach process if it is not authorized. (Lock/Unlock) End user;It can only add it to the document class for which it is authorized and change its own document. Another question I have is:A document class can only bind to allowed objects. Hi,I am trying to execute the Archive Media Items background job. According to the technical description and F1-help it is possible to save media items in an Oracle folder (folder within the database server or a folder within the network.). A media archive with the appropriate storage location must be created. This works also so far.However, when the background job is started, no data is stored in the oracle folder. I assume that the media archive must be assigned to the media item. There is also an extra field (field name = “Media Archive”) for this in the windows "Media Item" and "Media Library Manager". Unfortunately, I do not manage to fill this field in any of those two windows.Does anyone have an idea how I can get a value into the field "Media Archive" in the windows "Media Item" and/or "Media Library Manager"?Thank you very much and best regardsTristan

Hello experts, In document management, can we set a certain time in days for step approval. Lets suppose, 5 people need to approve a document one by one. Can we set a limit on each step that each one shouldn’t take more than 5 days to approve,. If five days are crossed, it moves to another person. In case, the approver doesn’t either approve or reject due to any reason, how can we move to the next approver. Like Forward or bypass etc.Main idea is to restrict approve to prevent delay in approval process.Note: Using Group is not a option here, client uses individual as document approvers.Please advise. I have a question that >>>> When an attachment (document object) in current LU (LU-2) is inherited (sourced) from another LU (LU-1) through an Object Connection Transformation, the attachment in the LU-2 does not appear in a new LU (LU-3) when the OCT has been configured for LU-2 and LU-3. The attachments originally attached to the LU-2 is successfully transferred to LU-3. Is this how the functionality works (limitation ?) ? Actually, the requirement is to transfer the attachments in the ShopOrderOperation LU (for outside operations where a purchase order is connected) to PurchaseOrderLinePart LU. For that, there is an in-built (system-defined) OCT. It works for attachments attached to the ShopOrderOperation LU itself. But, there are attachments inherited from other OCTs (from InventoryPart, EngPartRevision, etc), and these are not transferring to the PO line with that OCT setup. We use the document default SET_APPROVED_SEC_CHKPT, which in Apps9 requires the user to enter a password to finally approve a document revision. We have the same setting in IFSCloud but it does not seem to activate. It is still documented as a feature in the documentation here IFS Cloud Documentation.Does anyone else use it in IFSCloud and is there any reason it doesn’t activate?
Hi everyone!I’m using POSTMAN to upload documents to IFS Cloud 21R2 and have successfully uploaded to the document manager with many thanks to the people who provided the detailed information in this topic: My requirement is to upload to the media library rather than the docman so I’ve also looked at this topic (again, many thanks to the contributors):I’ve used MediaLibraryAttachmentHandling.svc/CreateAndConnectMedia to get the ItemId and then I’ve tried to patch with MediaLibraryAttachmentHandling.svc/MediaLibrarySet(LibraryId='1013') and also MediaItemHandling.svc/MediaItemSet(ItemId=1013). Whatever I try to upload fails with unsupported content type.I tried just providing a png or a jpg file and let POSTMAN set the headers: Following the instructions in the above post I then specifically set the content type, if-match and X-IFS-Content-Disposition I can successfully upload both png and jpg as media files as a user.Thanks in advance for any suggestions!
When i view a PDF in Aurena using the eye icon, the digital signatures in the pdf are not visible. I can see then when i download and open the file. Is this an Aurena limitation or a browser problem?
