Hi All,I couldn’t find any documentation explaining this great new addition with 23R2. There are a couple of slides in “IFS Cloud 23R2 - Whats New in Asset Management,” which I have added below.But that doesn’t explain the process flow or the integration.I found two community posts that also only provide very little info.IFS integration for Document Signing | IFS CommunityIFS Cloud 23R2 - new component IFSAPP Docman ESign | IFS CommunityCan someone provide some tips or direct me to the relevant documentation link to make this E-Sign functionality work?Thank you.

Batch transfer of Files background job ends up with error

Hi All,We are trying to transfer files from a shared location to the db default repository.When the action is performed online, the transfer excutes correctly without any errors, but when it is executed in the background following error occurs.Appreciate if anyone can share any ideas as to why only the background job fails and any ways to correct it. word model of document ; word macros do not run in 21r2

hi , i have set up word macros in TARMAC environnement (21R2) to create word template document for business opportunity.Despite the settings done in document management and the aurena print agent installed in chrome, the macros do not run. is there other settings to do, please ?Thanks for your help .BR Emmanuel

Hi,I'm referring to the thread Printing Attached Documents in reports or emails | IFS CommunityI have this same requirement to do in IFS Cloud 22R1. Using CreateAndImportDocument.svc/CreateDocument to create new revision

Background: Create new documents works fine using CreateAndImportDocument.svc/CreateDocument, but we often want to create a new revision (in order to keep history intact).Challenge: When we are invoking CreateAndImportDocument.svc/CreateDocument and supplying a new revision parameter, it doesn’t seem to accept the new revision number, e.g. payload looks as following:{ "DocClass": "ADDO_TEST", "DocNo": "1365783", "DocSheet": "1", "DocRev": "A2", "Title": "some test of ny revision", "CreateFileRef": "YES"}Even though the new revision does not exist, IFS Cloud throws: "error": { "code": "DB_OBJECT_EXIST", "message": "Resource already in use.", "details": [ { "code": 20112, "message": "ORA-20112: DocTitle.DOCTITLEDOCNOEXIST: The document number 1365783 already exists." } ] } How can we go about creating new revisions in terms of integration? Any pointers is most welcome.

IFS File Storage and Azure smb file share issue

Someone tested using azure smb fileshare on the IFS remote solution for files file storage of media item or documents in document management? We get a strange fault when configuring it and testing with media items. Is it a bug ?The file is created on the file share but it fails on setting some extended attribute on the file? Is that really necessary or is it an bug? Release document

Hi, I’ve got a question regarding change of status on a document.When changing a document revision status to Released we get a Release Document - General Information window where it is possible to set old released document revisions to obsolete.Does anyone know if it is possible to change the default settings, we have default No and would like it to be default Yes.

Document approval in multiple companies

Hi All,We are using document management '>' approvals to approve new objects. Currently some of the users included in the approval have access to more than one company. If the users default company doesn't match the company attached to the object, it takes him to the object screen(When RMB’s and selects Object Info) but it’s blank because his default company is different. Users have to change global company multiple times to approve these objects. Do we have a method to overcome the issue and access to multiple companies? Thanks & Best Regards,Nipun

Default Document Text by Supplier

What is the missing link to have Document Text default on every purchase order created to a select supplier?According to Online Documentation, adding a Document Text on the Supplier Misc Supplier Info tab will populate on any purchase order created.Excerpt from: Enter Miscellaneous Supplier InfoA document text with a suitable output type that has been linked to the supplier will be transferred as the default value to any of the supplier's subsequent purchase orders. Output types, phrases, and document phrases are all managed in the Document Text Administration window.Our output type PONOTE0000 is applicable for Purchase Order per Document Text Administration setup.The Document Text was added to the Supplier.But it does not populate on subsequent purchase orders.

Document Approval Time limit to counter delays in approvals

Hello experts, In document management, can we set a certain time in days for step approval. Lets suppose, 5 people need to approve a document one by one. Can we set a limit on each step that each one shouldn’t take more than 5 days to approve,. If five days are crossed, it moves to another person. In case, the approver doesn’t either approve or reject due to any reason, how can we move to the next approver. Like Forward or bypass etc.Main idea is to restrict approve to prevent delay in approval process.Note: Using Group is not a option here, client uses individual as document approvers.Please advise. Aurena - Attach document in My Call Center> New Case

Hello, we are moving to Aurena and are currently using Apps10, update 10 IEE.In the Relationship Management> My Call Center> New Case screen, it shows a document can be attached. It appears to upload correctly, but when the case is saved, an error pops up and reads: Going to the case details from here and adding the attachment works. This post was found for adding Object Connections in IEE and I can see where the projection matches an option: However, “MY” Case doesn’t exist in IEE. Therefore, can’t be added there. In Aurena, the New Case wizard doesn’t show a projection that I can add, nor does Aurena have an Object Connections screen.Does anyone know of a solution for adding these in Aurena?Thanks,Jeff Nattermnn

Apps10 Upd8 IEEWith the current setup of the Object Connection for Employee Qualifications > Certificates (attachment LU = PersLicenseProfile), when a document is connected to one certificate record for Employee A, the document is ‘visible’ as an attachment at other certificate records for the same employee.Is there a Method available to restrict the visibility only to the Certificate record to which the document was explicitly attached?Object Connection setup:Certificate record where the attachment was made for document 1001832 (certificate TA 0718-17)The other Certificate record for the same Employee/Group ID (certificate TA 1291-15)The Object Key for the document-object connection:

Can we restrict the characteristic tab as shown below based on view/edit permission to user ?for ex - we want only certain people to Edit this characteristic tab section and some to just view access(readonly grant).If yes please help how we can achieve this ? Online Document Signature

Hi Community,One of our customer has a requirement for document sign where they need to get the quotes signed by the customer online.I am aware that in document management we have the functionality to get the approver signature on the document but here the customer doesn’t have access to IFS.So, we are thinking of integrating with document sign software like DocuSign, Adobe etc.Could anyone share their experience with this regard and suggest which document sign application will be best suited to integrate with IFS.Looking forward for the suggestions & feedbackRegards,Mithun K V

Project Object Access Level

Hello,A customer of mine, is wanting to use object access as opposed to person groups for the project LU. I have set the object access level as View for Projects, Subprojects and Activity.I have been testing this access, and it seems that even though my user is not connected to the project and company- the user is still able to view the documents in the document revision screen.I would have assumed that if the user did not have access to the company, and project, that they would then not be able to view any of the documents associated to the project object LU. Do we have to use project access, with the object level access for this to work properly? Unsure as to whether the object level access is there purely to define the maximum level of access that can be granted, instead of actually controlling which users have access to the object defined.

Disabling the 'Detach' option in Document management Conditionally

We would like to control the ‘Detach’ option in Document Management. The requirement would be specifically to have few users with the ‘Detach’ capability for specific Document Classes and have the rest of the users in ‘View’ access. Further, we would like to control this by window level. We only need the capability of controlling the ‘Detach’ option in the Shop Order window and it should work as expected in other windows. When I tried the Access levels in Document Basics it overrides from somewhere. I created a Group with all the users and given access level as ‘View’ for the specific Document Class. Then I included the special person IDs into the Document Class with ‘Admin’ access. This did not work. Then I tried to remove the following permission from the allocated permission sets. DOC_REFERENCE_OBJECT_API.RemoveStill I could see the Detach RMB option for the user and the user is able to remove the document from the shop order window. What would be the approach to have this config

Office Add In in IFS 10

Hello Everyone Please see below test case Successful installation of Document Management Office Add-In 64 bit version 2.. Suppose you already logged into IFS EE client from your desired user 3. Then you go to, for example outlook, select an email with attachment and select the option to save the mail with attachment Even though you already logged into IFS EE, it launch the Application again and prompt the login dialog box , a) Is this the default behavior of the feature? or can we change it to use the already open IFS EE and prompt the docman dialog to attached the document b) even though google chrome is my default browser , it launch the application ( when you use office add in) via Microsoft edge , is this also as expected. What happened to the tab Originals between Apps10 and IFS Cloud (Aurena)?The activities “Register Document Original” and “Register Sheets for the Original” have also been removed from the process model, so I assume this functionality has either been completely deprecated, or replaced by something else?

Attachments/Document object connections do not show in Aurena - but it works fine in IEE client In IEE client you can see the document attachments, but in Aurena, you get an error: ( for end users)“No Access. Your system administrator has not granted permission to complete that action. Failed to load attachments. “ This happens because you need to grant the DocumentHome projection access to the permission set connected to the user(s). Also remember to refresh security cache and the Aurena browser after this is done.
