Is there any possibilities to Add posting information in Manual Supplier invoice from External file assistance

I’m not sure the excel file would helpful since it is specific to our enabled code parts. I would recommend taking a look at how the STDSIN1 (system defined) file template is set up and use that as a starting point for the fields you need, then define how you want the template to look for inputting the data in excel.I don’t think you have to enable anything to input multiple posting lines using this template’s structure.Also, I should mention that we use posting proposals - if your instance does not, then this is might be slightly different, but the starting with the STDSIN1 template is the way to go for multiple posting lines.

You need to load teach line type required for inputting the invoice, and you need to ‘connect’ them with the invoice number - this is an example of a file template we built based on the ExtSuppInv File type for our specific needs. We only require rows for the Header, the Invoice Line and Posting lines (look at the File Type) Highlights are the different line types. Below each line type is example data to load one invoice with one invoice line and one posting row.

External Voucher Assistant

If this is accurate, this is a big step back. We’ve uploaded multi-company vouchers from Apps 7.5 and its almost all we load in Apps 10. I do not know about Cloud though.While the STDVOU template doesn’t include company, you can create your own template based on the ExtVoucher File Type and include company:When loading, the process separates the file and creates a voucher in each company (in Voucher Entry) not in the ‘multi-company voucher entry’ screen.I can try and answer more questions if it will help.

Automatic Entry of Supplier Invoices?

There are standard External File Templates/Types that you can use to load supplier invoices. We do this when it makes sense. I started using the the STDSIN1 File Template as a guide (we use Posting Proposals) and created a new template on the standard File Type ExtSuppInv. You’ll have to figure out what will work best for how your company enters invoices.Multiple lines/posting lines are no issue - we don’t use any period allocations so I can’t really comment on how that might/might not work.

Did you copy a standard file type to create your file type? I think you are probably missing proper set-up of external file parameter definition. here is one that is not standard: The standard file type for external supplier invoices does not include file direction - I believe it must assume input somehow.

you might look in Voucher Types Analysis in the company to make sure the Function Group on the Voucher Type YE is ‘M’

Voucher gets not posted into Internal ledger

Do you have a user group connected to the Internal ledger for the period? I wouldn’t think transactions would disappear into thin air either. Have you tried looking at what is in the view INTERNAL_VOUCHER_ROW_QRY_UPD using the sql query tool to make sure transactions are there? If they are, it would seem to be some access issue.From the above, thread you seem to indicate they could be viewed in the IL Hold table, but not in INTERNAL_VOUCHER_ROW_QRY_UPD within the application? Is that correct?

you can run them again with the external file assistant - on the final screen change the ‘Positive Pay Created’ to ‘True’

Positive Pay - External File Type View?

Yeah, its a ‘temporary’ view created during the positive pay process. I was hoping to create a copy external file with a custom field, but we were not able to make it work and had to go another route to get the file to fit bank requirements.

Add tax transactions manually

After making sure the supplier is set-up properly for 1099s, we enter another invoice for the same amount as the original and make sure the income type is correctly on the invoice, do a credit invoice and make sure the income type is removed, then do a supplier offset of those two invoices. We post both to a ‘suspense’ account in the GL to isolate the postings and make sure everything nets appropriately to zero.

We always enter the invoice with an amount of $1, add the posting information that adds up to $0, then change the invoice line to $0.For a non-posting proposal company:Enter invoice on proper supplier at $1 Enter posting info netting to $0 Save and get a message that ‘amounts in invoice header don’t match line totals - click yes to ‘copy line totals to the invoice header amounts’ Message that ‘zero value invoice will be created and go to PaidPosted . . . click yes to continuePosting proposal companies are similar, but we enter the invoice at $1, RMB to the Posting Proposal, add posting lines that net to $0, change invoice line to $0, add authorizer. Once authorized the invoice is final posted normally and immediately goes to PaidPosted.We followed this process in Apps 7.5, and follow now in Apps 10.

Supplier 1099 reporting

Clearing the income type should work? We use posting proposals, but when I clear the income type that populates, then authorize and final post, I get this message: When I click ‘Yes’, the invoice posts and when paid the created voucher does not have the 1099 line on it:As opposed to the invoice on the same supplier where I did not remove the income type that populates from the supplier:Here is the invoice with the Supplier income type cleared:and not cleared:

Mixed Payment - Manual Transactions

What version are you on? We haven’t ran across a strict max, but, as more and more lines were entered (Apps 10 UPD 12) the screen bogged down and sometimes basically crashed and you had to start over. I do find examples of upwards of 50 Direct Cash Transactions though, so it was possible.We finally got around by setting up External Payments and a custom defined External File Type and Template so we can load transactions. I can’t remember now why the ExtMixedPayment type/template didn’t work well for us, but it might for you (depending on version)

Posting Analysis Transferred but no Voucher Generated

I agree with @piswpl. Can you see any difference between that transaction and the other 119 in the migration file or in the inventory transaction detail in IFS (other than lack of voucher)? Did you notice if the rest were in a status of ‘2’ after migration, before posting? (I’m assuming they were or they wouldn’t have transferred to the GL properly)

IFS Cloud 23.1.5 - Delete accounting periods.

You are going to need to open a ticket with IFS. With transactions posted you are not allowed to modify an accounting period. We did a version of this (extended an accounting period) and worked with IFS to get a script to make the modifications. You’ll probably need a data repair for the already posted transactions to get them into the proper period. Either way, you’ll need IFS support.

I’m not sure. Our reports are built for a master company in Group Consolidation. I think though, that as long as your years/period are consistent across all companies, if you set it up using one of them, BR will apply it to all in the report.

Its hard to tell from your screenshot, but I’ll assume your info source is GL Balance and your measure is GACT_GL_BALANCE.BALANCE. One way to get the data by adding parameters for AccountingYear and AccountingYearPeriod: When you run the report, you enter appropriate parameters, from your example 2023 and 202307, you would get YTD data. If you simply want to have all of the PTD columns, as in your screenshot, then total them in excel, you can do that too

Mid Year Accounting Close

We just went through something similar. As Mithila is suggesting, we changed the end date of a period to the last date under old ownership. We then had one period with 45 days or so and one with 15 days or so. We did not close the year because it was a change in ownership, not operations. This allows us to report through the end of the old ownership period, the new ownership period, and the year as a whole.

How to External file through a batch process

Thomas -That makes sense - in our situation the files are generated by a different system and placed in the folder at the same time (multiple companies) - we do move the files to a backup location with additional notations, but multiple templates was the easiest solution for us.
