Document object connections

An object connection can be made to any business object such as “Standard job”, "work order operation line" etc. And some of these objects can be deleted from the application any time. For an example, if you created an operation line in a work order, then your document is attached to the object “Standard job role”. And you are allowed to remove the operation line from the application. Now the object connections are no longer valid and will not be deleted from the application either. These are called "Dangling object connections" since these are not connected to any object. This happens only for some of the business objects. Document, media (or other connections under Attachments) unfortunately does not "know" if an object that uses it, has been removed. How can we get the resources allocated to a task based on the calendar?

We can get the expected outcome by using the check box “Adjust to Schedule” in Allocate Resource window. (Select this check-box if the Allocation Start Time and Finish Time should be adjusted accordingly to the resource's schedule. If selected the date and times will be adjusted accordingly to the available working time slots in the schedule.) 1. Create work order and work task. 2. In the work task enter the duration XX, enter planned start and finish date to a larger period. 3. Enter a demand line for person resource group. 4. Select the line RMB Allocate Resource. 5. Select the check box “Adjust to Schedule”. 6. When drag and drop the bar to the required resource and the bar will get adjusted based on the calendar and the duration.

Posting line for customer owned parts in Work Order

In App 9, we always get posting lines for all transactions on the Work order in order to see how the cost has been accounted. In this case, what user does is, he use a Purchase order to get parts from the customer to use for the repair, and then it creates an non invoiceable posting line. So, if only user wants he can convert the non-invoiceable posting to invoiceable to charge from the customer. In App10, this has been split into multiple entities (cost line, sales line, accounting) which makes it possible to just create relevant information and in this case not create any sales since the cost should not be invoiced.

Why we are unable to update WO Inspection Notes field?

The inspection note on the Report In Work order window is only enabled if the Work order has a Preventive Maintenance (PM) action associated. According to the intended functionality usage of the field Inspection Note is restricted to the PM actions. Since manually created Work order doesn’t have any relationship with PM there shouldn’t be any facility to create or update the Inspection Note. The usage of the field can be described as below. If a note was entered in the Inspection Note field, and the Generate Note check box in the Report In Work Order and/or Report In Route was selected during the latest completed work order, then this information is transferred to the Maintenance Plan tab in Separate PM Action and/or Route PM Action. The information is then included in the next generation of a work order and displayed in this field. Please explain the usage of system parameter SHOW_HANDOVER_WO.

When using automatic handover (i.e. when a task has been predefined in basic data as a handover to Work Order), this parameter controls the behaviour of the handover dialog. If the value is TRUE – The Handover Work Order dialog box is shown. If the value is FALSE – Service Request will be created automatically without launching this dialog box. This system parameter makes it possible to create a work order from Call Center with a minimum effort..

Prevent document attachment

Open Solution Manager\User Interface\Object Connections. Query for LU Name PurchaseRequisition. Remove DocReferenceObject^ from the service list (do this if multiple items exists in the service list, if not, remove the entire line). Select the same line RMB Refresh cache. Restart the application.

Condition based and PM based work orders

Yes it is possible in App 9 version. In the same PM action: To specify the time interval – Use General tab. Start value, unit, interval, interval unit needs to be entered under Maintenance plan (set Generatable = yes). To specify every so many hours – Use Condition tab. Enter the test point, parameter, and other details based on your parameter type (if accumulated – start value, interval: if limit – min value, max value)

Benefits of Serial Objects vs. Functional Objects

A Functional Object is possible to move to another place in the facility as per the requirement. A Functional Object's Object Level should reflect its location or position in the facility. It can be a building, department, room or a sub system of a facility. Objects that must be mobile within the facility, should be established as Serial Objects. Serial Objects can be moved between different locations within the facility, and can also be moved into Inventory. Because the Serial Object can be moved, you may want to view it’s History. Maintenance Posting Analysis

If there exists errors in the transactions, then you will not get vouchers created for that particular transactions when below jobs are executed. Generate work orders before Service Contract start date

I received the same request earlier from a customer for App 9 version and RnD confirmed that as per the existing functionality, work orders cannot be generated before the PM action is valid. Currently we have two validation when generating Work orders, first is to check the validity of the PM action, i.e. it checks whether the site date is in between the valid from and valid to date of the PM action. Then it checks whether the maintenance plan planned date is in between start date and stop date in the Work order generation period given in the calendar generation. So as far as the first condition is not met it will not create a Work order for the PM action. In other words, in order to generate Work orders, PM action has to be valid. E.g. in this case valid from is a future date so the PM action is not valid. As a workaround RnD suggested to change the valid from to site date or an earlier date than that which will make the PM action active (Same will need to be done for service con

Automatic Authorize debit and credits on WO

Hi Shaun, Please check whether below information helps you. In Application Base Setup\System Setup\System Definitions, Object properties, you have four different system parameters to define if you want to use automatic authorization or not for posting lines on work orders. The name of these parameters are: • AUTO_AUTH_SIGN (authorization of time) • AUTO_AUTH_SIGN_EXP (authorization of manual expense) • AUTO_AUTH_SIGN_EXT (authorization of manual external) • AUTO_AUTH_SIGN_TOOL (authorization of tool time) All these parameters can either have value TRUE or FALSE. TRUE = automatic authorization should be used. FALSE = automatic authorization should not be used, i.e. all authorization should be done manually. If any of these parameters are defined as TRUE, the value from the system parameter DEF_AUTH_SIGN should be used for the automatic authorization of that type of posting rows. Hi Shaun, Kindly note that AUTO_AUTH_SIGN_EXT is valid for manual external lines. i.e. you directly create an external line in the posting tab and it has no connection to purchase requisition/purchase orders. For material returns and issues, there is no parameter set. when you return or issue a material, the posting will be transferred by the system hence separate authorization is not needed (Issue / return material - Booking status of the posting line will be set to Transferred).

Unable to create User in IFS Applications 9.0

Please try the following actions to make sure all the domain indexes are in valid state. 1. Go to Solution Manager -> User Interface -> Application Search → Search domains. 2. Find the corresponding search domain related to Documents (Eg: DocumentObjectConnection, DocumentContent, DocumentAttributes)and RMB -> Show Details 3. Normally this screen should have a green flag saying that all the documents are synchronized. If any of your search domains has warnings or errors, try dropping the index and recreating it. 4. RMB -> Drop Search Index 5. Next RMB -> Schedule Domain Activation 6. Now you will get a new option to “Enable Schedule”. Select this and go to scheduled task screen. 7. Now mark the schedule “Activated” and RMB -> Run. This will create a background job to rebuild the index. 8. Once this background job is “ready”, the index should have been rebuilt. Next check whether there are any other similar indexes having the same issue. S

Enable attachments in IEE windows

Hi, Can you please try below steps ? Open thescreen to which the documents needs to be attached. For example: Prepare work order form Open system info in the lower menu bar and get the logical unit. For example ActiveSeparate Open Solution Manager\User Interface\Object Connections. Query for the logical unit. If no record exists, create new one. Add the details and “DocReferenceObject^” is added to the Service List. Save the line, select the line, RMB Refresh cache. Logoff and login again. Navigate to the needed form (Eg: Prepare work order form), load data and open attachment panel. The Document link is there.

Hi, Can you please check whether your PM action has below settings ? If yes, in the maintenance plan tab, the plan will be created. then you can enter the site and week (any other filtering data) and generate work orders.

Things to note: In Application Base Setup\System Setup\System Definitions\Object property tab - Property name PM_PLAN_HORIZON should have a property value set to a future year. (Or else enter a valid to date in general tab in the PM Action) Calendar connected to maintenance organization should be non-expired and in generated status. PM Action must be active

How to delete Document Revisions and the associated Files automatically?

If you want to do it from the application, In Document Management\Document Revisions, you can query for obsolete documents. Select all, RMB File operations > Delete document revision (if you want to delete the file only, then select RMB File operations > Delete document files). However, you will be prompted with information messages, questions for each document revision most of the time, so again this will not be a complete automatic process Another option is to use a data repair. The data repair should be written in a way you will have to delete the connection, then delete the file and document object.

Changing a serial number on a serial object

RMB Option Rename is available in Part Master Data\Master Part\Part/Lot Tracking\Part Serial window. But as far as I’m aware, serial can only be renamed if the part serial is in inventory and also if not used in service management (i.e. no serial object created). Hence if it is really needed to rename, a data repair will have to be done, but then again we should be cautious if a large number of transactions has been performed on this serial. The same applies for other kinds of connected objects, like VIM for example. Allowing changing the serial number of parts connected to objects as a core fix would require a major correction, both code wise and testing wise. This is a restriction in the functionality. However, if no transactions on the object has been performed, after the inventory part has been made maintenance aware (and the number of the part serial cannot be changed), query for the Serial Object and delete it. Search domain error

Hi Onjira, Most of the time, the error can be related to search indexes. Hence dropping the Search domain “Customer Invoices” might solve the issue. But if you are currently using application search, then they need to be reactivated again. To solve the issue with “Customer invoices” Search Domain, can you kindly try the following.It is recommended to do it outside business hours. Open Solution Manager\User Interface\Application Search\ Search Domains.Search for search domains “Customer Invoices”. You can try the below steps first for this search domain.Then, select RMB option show details of each Enabled Search Domain and check the status of the index. If the Status does not say "INDEXED", it is likely that there is a problem with this index and that is what is generating your error in the application. To resolve the issue, drop the index in the details screen and schedule a "Domain Activation" which will recreate the Search Domain index and mark the index in a status of "INDEXED".
