Document Management - Basic User access

There is a command (Send Document Link) in the Document Revision page/screen in all recent IFS Apps or IFS Cloud releases. Use it to create an e-mail for you, and copy the link you want to use from there (there are several options).

IFS Cloud - Document Management - Flexibility to edit documents by multiple users at same time

It was on the road map, but maps change, due to changing priorities. This is something we want to look into at some point and the prime candidate is to see if we can integrate with Teams in some way, thus leveraging the collaboration there.For now, you need to check out/edit the document in Docman, add that to Teams and collaborate there. Then, when ready, you need to manually check the revised document back in to IFS. I know, ancient, right?, but not that hard either... 😛

@Mathias Dahl Not trying to be cheeky, but it is just two clicks. We simply export the file as pdf as part of a release process (manual).  No “customization/configuration/modification/integration thing” is involved, you’re right IFS is limited in its ability to manage this in a more sophisticated manner, but it isn’t required.  We’re not talking thousands of documents, we’re talking 100-200 that don’t change rapidly. Haha, no cheekiness taken 🙂 I'm all for the power of a few manual clicks. But I'm used to users complaining about every little bit of "manual" work. If you have a manual process that works for you, all the power to you. Nothing to maintain, just remember to do that thing every now and then.

We keep the word/editable version of the document in document management, but then serve a copy of the document in pdf form to an internal sharepoint page.  We have 1800 employees, but less than 1000 of them are IFS users, nearly all are subject to the quality requirements.  This combines the best of both worlds having a revision controlled document with limited access in IFS and which will allow a published version as well as a future version under edit. There are several ways to do it as mentioned, I’m not sure one is better than the other, just needs adapted to your situation. @TTRACY What Shawn mention there is some own custom thing they have made. A customization/configuration/modification/integration thing... 🙂 IFS don't have a mechanism that does that.@ShawnBerk How do you ensure that new revisions of the original generates a new "view copy" in SharePoint? 🤔

@ORFJAN Okay, thanks for explaining and testing. So a little less than 1 document per second. Not very fast, perhaps IFS Connect can be tweaked to allow parallel executions from several queues/processes (whatever they might have there)?100,000 documents should take ~ 100,000 / 50 minutes = 100,000 / 50 / 60 hours = 333 hours ...I think you should consider using other means to migrate those documents. There is probably not much we can do with that feature itself. We have no other option than to use IFS Connect there, and the per-document operation means there will be some overhead per document, which adds up.In theory, the built-in solution (Transfer Documents) could be enhanced and we could transfer documents in batches, or send information via IFS Connect in batches. That might speed things up, but it's something that needs to be prioritized and planned, and it's not an option that's available to you right now.The FS mig tool is also per-document, but it's more efficient since it does

@ORFJAN Sorry, I'm probably slow :), but what's odd there? Are you thinking about the fact that there are many documents there and that it will take a long time to make a small test? If that's the case, create a dummy class, import a few documents (hundred?) of various (or at least known) sizes and transfer all documents in that class to the new repository.

You can also create links to documents and keep them in some "intranet" page of your liking. The links can have different purposes: direct view of the document or take you to the document details page.

IFS DOCMAN FSS question

Just to confirm my question is based on using Transfer Documents screen in IFS Cloud not FS Mig Tool. Also, the unanswered question is what happens to the documents which already exist in FSS Repository from previous upgrade itreration - will they still reside in the database?  Aha!The Transfer Documents screen has not been designed with "upgrade iterations" in mind. It will try to move (not copy) a file from repository A to repository B and, if the file is already there in repository B, what happens is unknown to me, since that's not something we support.If the file is truly moved, it's very strange, from the perspective of the purpose of that tool, that it suddenly appears in repository A again.I'm afraid you need to find out what happens by trial and error since you are using this tool in a scenario it was not made for.There might be errors or it might behave exactly like you want it to.

Aha."Linked Documents" can also just mean that we can connect any document in IFS to any object/screen.

On page calculations - Risk Score

I don't think it's something you as a user of the system can do, it needs to be programmed into the screen you are in, by IFS R&D, as a standard feature, or from a modification that you make yourself, or have IFS or a partner to do.What exactly is the use case? Perhaps we can think of another way to do it?

Docman has a data model, and partial client support for storing large CAD models. But! It's far from convenient to get the files in and out. We had in IEE a more featureful client that allowed for multi-file file operations. It's not there in Aurena / IFS Cloud Web Client yet.So, we can keep these structures, keep track of the documents/files (using Consists Of/Where Used) but it's not convenient to get the data in and out. You need to manually check in or out each individual file.It would be possible to write some tool or integration however to make the process more convenient.What is the use case here?

@ORFJAN The built-in assistant to move document files between repositories is not very performant, partly because it goes via IFS Connect, which in turn calls the projection that does the heavy lifting.Make sure to try it out with hundreds or so documents to see how fast it is for you (I think IFS Connect can be tweaked in various ways but I don't know much about it)For documents stored in database, the IFS Cloud File Storage migration tool might be an option. It's really meant for Apps 8/9/10 -> IFS Cloud migrations, but it does actually work between IFS Cloud versions as well...You might want to develop something "custom" as well, that takes shortcuts that works in your scenario/setup. Moving the files is the thing that takes time, the rest is "changing the file pointers".

@ORFJAN I see, but still in case of particular files one need to go to a page do a copy/paste and check, however I still don’t understand why this information can not be available on IFS screen directly, is there any technical challenge I can not see?It's not impossible. Firstly, the Base64 encoding was done recently in IFS Cloud File Storage and we who work with Docman was not aware of it, so it was never even discussedThen again, why should "Docman care" how the file is stored or named behind the black box that is File Storage? It's "internal information" to File Storage, or an "implementation detail".Docman asks File Storage to store a file given a certain file name (the one you see in Document Revision / File Refs) and File Storage takes care of the rest. If it change the name in the actual storage is something we don't need to care about.It's good and interesting input regardless and we can think of some way to help customers trouble shoot these cases. I'm thinking that we should

@ORFJAN Yes, indeed. However, without a possibility to open existing documents from PROD in TEST/UAT since only 1 file share is allowed for an instance or? Yes, that's a limitation today, only one SMB share per instance/environment.I understand how it can be convenient to be logged in to TEST and be able to see documents from PROD, but it feels dangerous trying to do that by "reusing" the share. How about just copying a small sub set from PROD to TEST to be used for testing and verification purposes, if they are needed at all? (I would just create new ones, it takes a minute to upload a bunch of files to test with)I strongly recommend against reusing the same share for PROD and TEST/UAT.Let me illustrate this on a case I faced on Friday. I was searching for a document in IFS and I wanted to get a preview of the file from there. When I pushed button “preview” the document was downloaded but with 0 size. Document Class Access based on the Companies or Sites

If you don't have too many document classes and not too many companies, combining the company name/ID and the document class into a specific document class name is the easiest way, and a standard way to control this.If you really don't want company-specific document classes, you have to "be clever" in some way, using custom events that ensures that, depending on some field on the document revision, or depending on what the document revision is connected to, the actual document access on each document revision is modified accordingly. Once you understand how the document access works, it should not be too hard to come up with a custom solution that works for your customer. Try to go with the system as much as you can and tweak it using custom events and/or custom fields when you must.Good luck!

@LauraB We want to do it as soon as it's possible for us to do so. Right now we are waiting for a new platform feature to be enabled in Remote deployment.24R2 might be possible but it's nothing we can promise at this point. 25R1 is more likely. That's what we can say at this point.

IFS DOCMAN FSS question

...to ensure any new document revisions created between upgrade iterations are available as well. The FS mig tool should take that into account though. That is, pick up new documents, or changed ones. That relies on the logs being preserved in the source database though, and also that the FS file meta data (fss_file_tab) is intact. We don't directly use the latter, but the FS is picky about it being correct.

@Mathias Dahl This encryption was not happening when we were running on 23R2SU2, after the installation of SU3 it started to encrypt the files and store them in the file share. We are concerned about how this file storage service will access the encrypted and non-encrypted files from the file share. For the sake of correctness, it's not encryption, it's encoding the file names, probably to avoid problems with certain characters.It sounds strange to introduce this in an SU, but perhaps there were issues with what I just said and we had no choice than to encode the file names.

Hi @Srikanth > For the next upgrade iteration can we create another FSS repository IFS_FSS_IT2 and migrate documents again and will this overwrite/affect files in IFS_FSS_IT1?I think so, if the file names are the same. Even if you have multiple repos using File Storage, all files will end up in the same “container” (as it is called in Azure Blob Storage), named “docman”.
