Problem with saving a file in a repository of type "File Storage"

My bad. You wrote you could always download the documents. I cannot explain this. You need to, or someone needs to, dig further to see what differs between the groups of documents. Check the access as well, the repository used (I can see the names are different).Good luck!

Getting an error when trying to open a document.

I wonder if those documents are actually stored in the database. I recommend you investigate that (there should be records in the EdmFileStorage entity and the file content is stored in the FileData attribute).

Document Access after Migration

@matt.watters > the confusing part is with no access defined on the document revision, how is the user able to view the document through the attachment at the sales part?Agreed. That is confusing and I cannot explain it. Looks like a bug that it can be viewed by a user that has no access.Then again, this is not what you want to focus on, you want to focus on getting those access lines migrated.

@Mathias Dahl use document revision window. Thanks! That's how we can add access lines, yes. It will not help Matt though since he probably have thousands of documents that are missing access lines.

@zuhaib Thanks for chiming in. The access template is just used when you create a document though. You cannot change it and have it be applied to all documents (something some users have been asking about though).

Getting an error when trying to open a document.

If there is none already, create a new document and upload a PDF file to it. Attach it to some object (that has a non-working document) and make sure the "eye command" (view) works for that record.Then compare the data for the two documents in these entities:DocReferenceObject DocTitle DocIssue EdmFile EdmFileStorageThe more similar you make the new document (same class, same title, etc.), the easier it will be to spot the difference.

Document Access after Migration

@matt.watters This seems to me like the obvious problem:There are no records in the Access tab of the document revision page.Right?Without any access definition, there is no access to the document (apart from a Docman admin, which includes the application owner - IFSAPP in this case).You need to contact whoever did the migration and ask about why the access records have not been migrated. It should not be hard to migrate them separately, with the right tools.

Batch_Transfer_Handler_API procedures not supported in IFS Cloud

How about instead keeping those files inside IFS to begin with, as some kind of templates, if that is what those files are. Then it's a piece of cake to make copies of those using PL/SQL code from a custom event or from your custom PL/SQL package.

Just go to Document Class Management and define the * format: ...and the problem will be solved: It looks like we have a default format of * set behind the scenes. I actually think it's not needed, so if you want to you can file a support case to get that fixed. Or just use the workaround above which takes much less time 🙂

Batch_Transfer_Handler_API procedures not supported in IFS Cloud

@LanceP Hi,You are right, those procedures, or at least some of them, don't work anymore. The main reason is that the underlying platform (Kubernetes) is quite different from MWS / Oracle Weblogic that we used before, and simply does not allow us to do the same things, technically.What, exactly, are you trying to achieve, and why? Perhaps we can suggest alternatives.Thanks!

Missing drag and drop in Create Document form

Thanks Mathias for such a quick response. No I’m not aware of the work around. Do you have any details you could share on this? Currently we’re advising users to disable the Chrome Browser Extension, which unfortunately disables all the other features of Aurena Agent. The use case for our impacted users has been that they have a workflow in which they receive documentation in email attachments from customers and suppliers. These attachments need to be added to IFS. Using drag and drop, they’re able to drag and drop from within the Outlook desktop client straight into IFS. Saving them having to “Save as” the file and then reselect within IFS. Ah, yes, that's a nice feature, that we didn't even added on purpose 🙂 Either Outlook or Chrome, or both, "did something" that makes it all work.That saves a few seconds, for sure, not having to first drag and drop the attachment to some folder (or using Save As), then into IFS.If it's a show stopper or not I guess depends on how much of that wor

Missing drag and drop in Create Document form

Interested in hearing whether feature to drag and drop files was enabled for deployments using Aurena Agent. We are implementing IFS and have experienced users raising concern over the lack of drag and drop feature. The default dialog that comes up still don't have the drag and drop area enabled if you have the Aurena Agent installed. We aim to look into that and see what can be done, without confusing users, but did not start that work yet.Do you know about the work around where you can configure the system to take the user to another page, where they can use drag and drop to select the files?For our learning, do you have any use cases to share with us where we can see how, for your users, drag and drop is better (more efficient, more fun, nicer to look at, faster, more functional, etc.)? Depending on the use case, clicking a button to select a file can be "better" than using drag and drop.

There is a command (Send Document Link) in the Document Revision page/screen in all recent IFS Apps or IFS Cloud releases. Use it to create an e-mail for you, and copy the link you want to use from there (there are several options).

IFS Cloud - Document Management - Flexibility to edit documents by multiple users at same time

It was on the road map, but maps change, due to changing priorities. This is something we want to look into at some point and the prime candidate is to see if we can integrate with Teams in some way, thus leveraging the collaboration there.For now, you need to check out/edit the document in Docman, add that to Teams and collaborate there. Then, when ready, you need to manually check the revised document back in to IFS. I know, ancient, right?, but not that hard either... 😛

@Mathias Dahl Not trying to be cheeky, but it is just two clicks. We simply export the file as pdf as part of a release process (manual). No “customization/configuration/modification/integration thing” is involved, you’re right IFS is limited in its ability to manage this in a more sophisticated manner, but it isn’t required. We’re not talking thousands of documents, we’re talking 100-200 that don’t change rapidly. Haha, no cheekiness taken 🙂 I'm all for the power of a few manual clicks. But I'm used to users complaining about every little bit of "manual" work. If you have a manual process that works for you, all the power to you. Nothing to maintain, just remember to do that thing every now and then.

We keep the word/editable version of the document in document management, but then serve a copy of the document in pdf form to an internal sharepoint page. We have 1800 employees, but less than 1000 of them are IFS users, nearly all are subject to the quality requirements. This combines the best of both worlds having a revision controlled document with limited access in IFS and which will allow a published version as well as a future version under edit. There are several ways to do it as mentioned, I’m not sure one is better than the other, just needs adapted to your situation. @TTRACY What Shawn mention there is some own custom thing they have made. A customization/configuration/modification/integration thing... 🙂 IFS don't have a mechanism that does that.@ShawnBerk How do you ensure that new revisions of the original generates a new "view copy" in SharePoint? 🤔

@ORFJAN Okay, thanks for explaining and testing. So a little less than 1 document per second. Not very fast, perhaps IFS Connect can be tweaked to allow parallel executions from several queues/processes (whatever they might have there)?100,000 documents should take ~ 100,000 / 50 minutes = 100,000 / 50 / 60 hours = 333 hours ...I think you should consider using other means to migrate those documents. There is probably not much we can do with that feature itself. We have no other option than to use IFS Connect there, and the per-document operation means there will be some overhead per document, which adds up.In theory, the built-in solution (Transfer Documents) could be enhanced and we could transfer documents in batches, or send information via IFS Connect in batches. That might speed things up, but it's something that needs to be prioritized and planned, and it's not an option that's available to you right now.The FS mig tool is also per-document, but it's more efficient since it does

@ORFJAN Sorry, I'm probably slow :), but what's odd there? Are you thinking about the fact that there are many documents there and that it will take a long time to make a small test? If that's the case, create a dummy class, import a few documents (hundred?) of various (or at least known) sizes and transfer all documents in that class to the new repository.

You can also create links to documents and keep them in some "intranet" page of your liking. The links can have different purposes: direct view of the document or take you to the document details page.

IFS DOCMAN FSS question

Just to confirm my question is based on using Transfer Documents screen in IFS Cloud not FS Mig Tool. Also, the unanswered question is what happens to the documents which already exist in FSS Repository from previous upgrade itreration - will they still reside in the database? Aha!The Transfer Documents screen has not been designed with "upgrade iterations" in mind. It will try to move (not copy) a file from repository A to repository B and, if the file is already there in repository B, what happens is unknown to me, since that's not something we support.If the file is truly moved, it's very strange, from the perspective of the purpose of that tool, that it suddenly appears in repository A again.I'm afraid you need to find out what happens by trial and error since you are using this tool in a scenario it was not made for.There might be errors or it might behave exactly like you want it to.

Aha."Linked Documents" can also just mean that we can connect any document in IFS to any object/screen.

I don't think it's something you as a user of the system can do, it needs to be programmed into the screen you are in, by IFS R&D, as a standard feature, or from a modification that you make yourself, or have IFS or a partner to do.What exactly is the use case? Perhaps we can think of another way to do it?

Docman has a data model, and partial client support for storing large CAD models. But! It's far from convenient to get the files in and out. We had in IEE a more featureful client that allowed for multi-file file operations. It's not there in Aurena / IFS Cloud Web Client yet.So, we can keep these structures, keep track of the documents/files (using Consists Of/Where Used) but it's not convenient to get the data in and out. You need to manually check in or out each individual file.It would be possible to write some tool or integration however to make the process more convenient.What is the use case here?

@ORFJAN The built-in assistant to move document files between repositories is not very performant, partly because it goes via IFS Connect, which in turn calls the projection that does the heavy lifting.Make sure to try it out with hundreds or so documents to see how fast it is for you (I think IFS Connect can be tweaked in various ways but I don't know much about it)For documents stored in database, the IFS Cloud File Storage migration tool might be an option. It's really meant for Apps 8/9/10 -> IFS Cloud migrations, but it does actually work between IFS Cloud versions as well...You might want to develop something "custom" as well, that takes shortcuts that works in your scenario/setup. Moving the files is the thing that takes time, the rest is "changing the file pointers".
