Hi Dan,This is as feasible for Excel [xls(x)] as it is for Word [doc(x)]. I have no ready code for it but it is definitely doable. As an alternative to executing the macro connected to the View process, you could consider generate the view copy (the pdf file) at Check In instead. Then the file is ready to show at View, and you’ll also get the possibility to View the original Word file if necessary. In this case it make sense to set the option to always view the View copy. This “User setting” can be set centrally by IT if necessary, and maybe have different settings for normal users and admins./Erik
Hi Mathias,Regarding possible deprecation of the db option I am for the moment maybe too stuck in “old” pros we’ve been communication for a while now, to be able to see this is a good way to go. There are of course cons with db storage as well (like db size and recovery issues) but the pros I’m thinking of are;- Easy copying of a prod environment to test retaining documents and connections,- SOX (Sarbanes Oxley) support for tracking read and write activities on files,- Strong security (Oracle as a container also for the documents). Are there any means to mitigate or meet those arguments in a solution with only “external” storage?Regards,Erik
The available columns are not controlled by IFS Document Management. But would it be possible to place the LOV on the “Object” field (as it is in IEE) instead of “Object LU” and also fill “Object LU” automatically instead of vice versa? It would not make it easier to search for the desired object - which this topic was all about - but it would be easier to find to correct type of “business object” to search for. As for now you need for example to know that Design Objects (in Asset Design) are placed in the logical unit (LU) ‘PlantObject’.Since connecting document to objects is one of the real strong arguments for IFS Docman this flow would benefit from having nice support in searching for objects :)Thanks,Erik
@xeam-eran We can look into it if you file an idea here on IFS Community 🙂 Done - Idea “Simplified workflow for connect document(s) to object(s)” created 🙂
Hi,Sorry for late response on Mathias’ nudge, but here are some thoughts. As for Mathias I don’t have access to the complete standard (IEC 82045-1), but in general terms the standard implies that the EDM system (Electronic Document Management) should support:viewing and reproduction of documents (presentation aspect) identifying and classifying documents (organisational aspect) managing document versions and changes (life cycle aspect) - In IFS this is achieved through revisions handling. managing the relationship between documents and the associated product (product aspect) - In IFS this is achieved through its Document-Object connections functionality (any business object!). So, I would say IFS DMS (“Docman”) in general supports the requirements of the standard. Now I know your question was specifically about the third bullet above so let’s dive into that a bit. The thing you possibly can argue about is the difference between “versions” and “revisions” handling. The term “version”
Thanks for sharing your use case and feedback Bitten, and I agree, having both version and revision functionality in IFS Docman would be a dream for such business cases you describe.I also agree with you Mathias, there has been few occasions over the years where this has been such a strong requirement that it result in stopping from using IFS Docman. At the same time, you will not achieve the same result using the Revision field for both versions and revisions since the fundamentally strong functionality that comes with object connections – and its three “connection types” [fixed, latest revision, latest released revision] – would in certain scenarios give unwanted behavior. Like showing a (preliminary) version connected to a product or a functional object.Anyhow regarding your question Bitten, the simpler solution I hinted about can maybe work in some cases, and the tracking/connection between the versions and their superior revision would then be through the file name, at least as lo
Hi Kushan,Not sure what exact step in the work flow, or which part of the setup, you are having issues with, but as a general answer you should be able to handle your requirement by:Setting the Excel “File Type” to “Document Type” = ‘ORIGINAL’ and to ‘VIEW’ for the Acrobat file type (see Document Management\Basic Data\EDM Basic) Making sure to set User Settings as below forcing the View action to open the View copy (the default setting is “Display the … dialog”) (If necessary you can further control the behavior by means of Document Macros, and fine tune the processes [Edit and View] and what should happen to the files through Document Management\Basic Data\Document Class Process Action)./Erik
