Hi everyone,

 

I'm facing a challenge with managing person IDs in IFS Cloud when an employee's name changes. Currently, the person IDs are based on the employee's first name initial, and last name.

However, when an employee's name changes (due to marriage, legal name change, etc.), the person ID needs to be updated accordingly.

Is there a way to make this change within the application itself?

Hi Navoda,

In the application, you cannot change the person ID of an employee. Therefore, best practice is to use a dumb numbering for the person ID or, in case you really want to assign initials, to use the birthname only, i.e. even when someone is married and carries the partner’s surname (when you use the birthname, you would only have a problem in the exceptional case of someone changing his/her original surname).

There is no option “Change person ID” in the system. There used to be in a very old version but that was removed since it affected so many different modules and was impossible to maintain….

For our customers we have a manual data repair routine for this involving scripts and “hard” update in the database. You need to create the new person ID and then change the business unit relation between employee and person. There are many factors affecting this… person ID / employee used in several modules, employed in several companies…. 

Nowadays we recommend our customers to just use the running number from the system generated number series for person ID to avoid this problem. 

It also varies a lot depending on if we have a payroll system that masters employee number, if employee number is global / forever in the paryoll system or not.. Does the customer have an AD sync..? Nothing will work together with HR in IFS Cloud… 

Different needs for different companies depending on the overall user identity strategy/policy.
