New legal requirement in Norway: AML5 regulations - verify the id and role of the person that signs payment/payment files on behalf of the company

We have received information from our bank in Norway about a new demand from the Anti Money Laundering act: The bank is obliged to verify that any individual that sign payments/payment files on behalf of a company has been assigned the role as power of attorney (PoA) by the company for this. Hence to this all the Norwegian banks are adjusting their systems in order to be compliant to this demand.This requirement is mandatory for all payments in Norway from 12th of March 2022.IFS has not yet considered this demand, so I am reaching out here to find additional customers having the same requirements. Purchase Order and Supplier Discounts

We are using supplier agreements in IFS to handle the price lists received from suppliers. This is a good way to keep track of updated prices. However, some suppliers also give a more general discount, not based per part or purchase order line, which we want to handle in IFS. The principle would be to handle the supplier’s price list in supplier agreement in IFS and then add discounts on the PO based on discount models: Examples of discount models from the suppliers: Discount per order based per total order value (per order) Fixed discount on all ordersWe have tried to use the assortment in IFS to calculate discount per order, regardless of purchase part. We could only get the discount collected if there is a price in “Supplier for purchase part” in IFS. If we add assortment to the same supplier agreement as where the prices are defined, the prices seem to override the general discount in the assortment. IFS Idea Wall in the Community?

Quite often when we send support requests to IFS Support Center we receive the response that the application works as designed and the request will be added to the Idea Wall. It would be very interesting to see the Idea Wall and receive some feedback as of which ideas will be included in future versions of IFS. Please let me know, is there a plan to include Idea Wall or enhancement requests in any form in this forum? It would be great to let the community comment on the ideas and receive feedback about how R&D think about the way going forward with the customer requests.

Notify me - delay in background jobs

We have noticed that the Notify me functionality creates A LOT of background jobs. Since some of the background jobs takes minutes to execute it causes delays of other background jobs - to the extent that nightly jobs are running one day too late. Workaround for now: Remove all background jobs regarding Notify me and disable the events with a description starting with Notify Me. However, if we want to start using the Notify Me app we can’t use it in the current state. Observations: Notify Me - Register Supplier Invoice notifications. - sometimes takes 5 minutesNotify Me - Refresh Markdowns for Supplier Invoice. - sometimes takes 10 minutes We don’t have a lot of invoices but still these background jobs cause hours of delays in the Default background queue. Request 1: Will IFS tune the performance of the mentioned background jobs? With the current performance I can’t understand how any customer can use it. Request 2: Please advise, is it possible to have the notify me events running

IFS Portal unaccesible

My colleague and I have tried to log on to the IFS customer portal today. https://www.ifs.com/login/Usually this works fine, but today we receive the error “Try again or contact your helpdesk”. We don’t have any other way of contacting our helpdesk than logging on to the portal… Please make sure the IFS customer portal is up and running again so that we can access the Customer Engagement Center.

Scheduled tasks for time reporting

Currently we don’t use IFS for time reporting but will do so when we implement time report on work tasks and on project activities. However, we have found there are three scheduled tasks regarding time reporting running daily and once an hour respectively. We have not found any documentation about what these tasks do. Can someone help out and give us an explanation of the respective task? ROUNDDIFF transactions only occured once

Here I found a very good explanation of the logic for ROUNDDIFF transactions: However, we have only experienced ROUNDDIFF transactions created once (2021-06-30). Since then new parts are available with qty 0 and inventory value <> 0. No new ROUNDDIFF transactions have been created. Is there a setting whether to have these transactions created or not? Something we are missing?Our problem when the transactions are created: We run the scheduled task “Aggregate inventory transactions per period” on the 3rd day of each month (offset:3). The reason is that we want to be able to update date applied on the 1st and 2nd day before the statistics are updated.So the inventory transactions for June were aggregated on July 3rd. Fine.Then on August 3rd the inventory transactions for July were aggregated. Now also the ROUNDDIFF transactions were created for June since the statistical period of July was created in August. This causes postings dated 2021-06-30 but since the period of June is clo

Order Proposal - Planning method B - demands not fulfilled

We are defining material demands on Work Tasks / Material. All inventory parts are purchased, have planning method B, order point 0 and lot size 1. Expected result when running the Order Proposal: If an inventory part that is demanded on Work Task / Material is not available in stock, the order proposal creates a Purchase Requisition with the demand date from the Work Task as the Wanted Receipt Date on the PR Line. This works fine if we have a primary supplier for the part. We have defined lead times per supplier so that the demand is triggering the PR 45 days in advance. However, we don’t have (primary) suppliers for all parts. Whenever there is no primary supplier the leadtime of the part is set to 0 and the automatic PR is created the same day as the demand occurs. Please advice: Is it possible to set up leadtimes for purchase parts not connected to suppliers? We need to define an internal leadtime in order to have the demands generating PRs 45 days in advance of the actual demand.

I remember I have seen information about the new functionality in the Audit Interface regarding SAF-T reporting in Norway, but now when we need it I can’t find it. Task Schedule parameter "Check Executing"

Upon scheduling a database task I found the parameter “Check Executing” just above the Start Date, marked with yellow in the picture below. Usually when activating a scheduled task I check the check box “Active” and then consider when to start the schedule (start date). But I found that the parameter “Check Executing” is checked for some scheduled tasks and unchecked for some. In the documentation I can’t find any information about the mentioned check box. Can someone please explain what the parameter does and recommend whether to have it checked or unchecked?

Work Tasks and Resource Planning

We are looking for best practices in IFS10 when it comes to work task planning for several resources.In the example below we have one work task template with one work list connected to several resources. The duration of the work list is 3 hours. In the scenario above, each resource will not use 3 hours, but we want to keep it to one work task since they work together on the task. Is there a way to plan the duration per resource, other than splitting the work list into one work list (and work task) per resource? Our aim is to use the Resource Analysis to analyze the planned hours per resource group.

IFS HR and integration to other system for salaries - offshore employees

IFS10 - UPD8 - O&G ExtensionWe are an O&G company working with mobile offshore units. For salaries we currently use a system called OCS - designed to fit the Collective agreement for employees on mobile offshore units and drilling and catering on permanently placed facilities on the Norwegian continental shelf. We would like to know if there are other IFS customers who currently use IFS for reporting by offshore personnel, and transfer the data to another system for salaries. Please get in touch with me if you use OCS for salaries (integrated with IFS), or another system and have designed IFS for a similar offshore agreement. We have been told there is an O&G functionality where the offshore users can view inventory parts onhand on other rigs. We can’t find it in the documentation or in the application. Is someone using it and where is it found? We are running IFS10 UPD8 O&G Extension

Create order proposal - background job runs forever

IFS10, UPD8 O&G Extension We are planning to start use the automatic ordering of spare parts based on demands on Work Tasks. To achieve this we have set the planning method to B on all inventory parts, parameters as per below. Now, we have scheduled the job Create Order Proposal for one site to run each night. The problem is that it runs forever: The job started yesterday morning at 01:00 is still running… Parameters in the scheduled task are set as per below. We want to create an order proposal for all demands on all parts on work tasks, which is the reason for entering % in the parameters. Questions: Why is the background job never finished?Is there a limit of how many parts the order proposal creation can handle? Any other limitation when it comes to demands, like planning horizon or similar?

Project Forecast - calculation of ETC and EAC

We are investigating how we can use Project forecasting in a way to follow up the forecasted total cost of a project (activity). Now, we have entered estimates for all activities. Planned cost driver: Estimated Cost Progress method: Manual Our idea is to have the estimated cost as the initial EAC. BUT if the actual costs exceed the EAC we would like the actual cost in relation to the manually entered cost progress to be calculated as the EAC. Example 1: Estimated cost = 1000 USD Actual cost = 1500 USD Cost progress = 100% This would lead to EAC = 1500 USD Example 2: Estimated cost = 1000 USD Actual cost = 1500 USD Cost progress = 50% This would lead to EAC = 3000 USD This is definately not how IFS is designed. But whatever alternative we try out, we end up with the estimated cost of 1000 USD either as the ETC or the EAC of the budget. With the forecast option “EAC Recalculated” we end up with 1000 USD as ETC and 2500 USD as EAC. With the forecast option “ETC Recalculated” we end

Load voucher files in SIE format?

Our external payroll administration company sends voucher information in SIE format, which is a standard file format in Sweden for accounting transactions. Is there a possibility in IFS to receive external vouchers in SIE format? The SIE format is a HTML file and this far we have only found it is possible to import external vouchers from text files.

Instant invoice - document footer

IFS9, in the process of upgrading to IFS10. We have used Report Designer to adjust the layout of instant invoices sent to our customers. The document footer for the instant invoice has been defined in the window Document Footer and connected to the report INSTANT_INVOICE_REP, which works just fine. Now, we need to have different invoice footers for different customers (sent from the same company). We have defined additional fields and additional Footers in the window Document Footer, which meet our requirements. However, we can’t find a way of selecting a different footer when creating the instant invoice.We have tried the following:In Document Footer, connect the report id INSTANT_INVOICE_REP to two different footers (two lines in the tab Connect Report). Not permitted. In Customer Invoice Types, define a new invoice type INSTINV_2 that the user can select upon creating a new invoice. Release schedule and content of Updates for IFS10?

We are currently in an upgrade project to IFS10 and considering which updates to install and when. Please let me know, where can I find the release schedule from IFS R&D? Regarding UPD7, is the planned content published somewhere? For previous updates I have found “What’s new” presentations by Bob Corrigan by Open IFS, but as a decision basis we would need information about the planned content of a coming update as well.
