Time Group Reporting - issue with deviation days that are days off

Hello Wondering if anyone ran into similar situation. Our managers use “Time Group Reporting” to create deviation days for the bulk of employees (whole shift for example) or for longer periods of times. Using “Employee Deviation Days” for situations like this is very time consuming and inefficient. The problem we get is when we register a deviation day which is a day off (non-working day). When we try to authorize such day (which has no attendance or other clockings) we get and error that: “The Time Card already exists”. After short investigation I find out that “Time Group Reporting” creates a empty time card in database for any day that has been updated as deviation day, hence this prevent day from being authorized. “Employee Deviation Days” while does exact same function does not have this issue (empty time card is not created in DB). Daylight saving time

Hello As many of you know this upcoming weekend the (Daylight saving time) DST observation ends and clocks will be turned one hour backwards. This present a unique challenge for us in one of the sites where we have nightshift running from 10:00PM Sat to 06:00AM Sun. From little information I found I understand that the time change will happen automatically in DB at 02:00AM on Sunday. My questions:Do currently active IFS applications instantly will get their clocks updated, and how does it affect employee attendance clockings, should they leave work at 05:00AM (based on the changed time)? In that case do we simply update the attendance results to complete their scheduled hours? How would ongoing operation be affected, for example if operation is started at 01:45AM and would finish in 30 minutes , at 02:00AM clock is updated and operation is then finished at 01:15AM because of the changed time? Any other behaviors you have observed during the DST observation end?

Absence code to cover gap in scheduled hours

Hello We have a need for system to automatically fill gap between the schedule and attendance hours. For example if employee is scheduled to work 08:00-16:00 and starts working at 09:00 we would like system to automatically generate line of absence for time period between 08:00 and 09:00.

"absence generated from balances can not be changed"

Hello We have a big issue after IFS 10 version updates 14/15/16. When employee work less then scheduled hours and tries to clock out they get following error: “absence generated from balances can not be changed”.What happens is: we have fleksible working hours, in case of employee staying longer we have a code which is used as “Extra Time” and adds to a Balance Code. When employee work less hours we have a “Absence” wage code which then should deduct the hours from Balance Code. Problem is that system allows us to work extra and that way have positive balance in the results, but when working less then scheduled it does not allow to have a line with balance which is negative. Have anyone encountered anything similar? Error message

Additional work in different position.

HelloWe have a following scenario.Some manufacturing employees would like to have an option to work additional hours after their regular scheduled hours. This work would be in different Position.For example:8 hours of work in Position A then another 4 hours in Position BWe are facing few challenges:According to local law regular hours and additional hours have to be imported to payroll under separate employee accounts, this means we need to clearly identify hours that employee worked in Position A and Position B. We tried to create a employee schedule which would contain day type made of two “Normal” “Wage Type” codes, but it is only allowed to have one “Normal Wage Type” code. Is there an option to have two? Not a huge issue, but ideally we would like to have setup where employee’s 8 (regular) hours would need authorization from his primary manager and additional hours to be authorized by the manager where employee is working extra hours. Employee Schedule - Work Hours - Parameter List

Hello We have a case of employees who are working as follows:Mon - Fri - these days employees can work any number of hours they choose, it could be between 0 and 8 hours or so. Some days employees may not be working at all. Sat -Sun - these days employees works in a shift 8 hours as per agreement with the Supervisor. Now to make this work we have created a “work hour rules - parameter list”, parameters allows for flexible attendance times during these days +/- 12 hours. But we need to also have strict parameters for Saturday and Sunday where attendance could only be +/- 0.5 hours. As I understand Work Hour Rules and Parameter List applies to the schedule as a whole. Is there a way to apply Work Hour Rules for individual week days (Mon-Fri and Sat-Sun)?

Employee File Free Fields Valid To date after the Termination

Hello We are using Employee File → Employment → Free Fields to define some employment details of the employee.We noticed that after we use the “Terminate Employment” system automatically changes “Valid To” date for all the “Free Fields” to the date that we initially selected as “Notification Date” and “Employment End Date” in the assistant. We tried removing (disabling) the “Free Fields Valid To Date” from the “HR Assistant Configuration”, but still the “Valid To” dates to all “Free Fields” are being updated. Is it possible to turn of the processing of the “Free Fields” when “Terminate Employment” is used?

Granting supervisors access to terminated employees

Hello By default anyone who is not “HR Application Manager” loses access to terminated employees. We have a scenarion where employee is already terminated, but we need their supervisor to authorize working hours one or two weeks after. Is there a way to grant supervisor access to this type of employees, the ones that are already terminated but have remaining authorizations. Also if there is such access can we limit its valid to date to last only for a few weeks after the end date to the employment?

Person PERSON has Use HR Schedule check box selected, but has no employment with a valid schedule.

Hello Every night we run “Background Job” for “Batch_Schedule_Chain_API.Run_Batch_Schedule_Chain__” this produces some Warnings which we would like to clear. Two types mainly:“Person <PERSON> has Use HR Schedule check box selected, but no employee is connected to the person.” - this is when Employee is no longer active, simple solution is to remove “Use HR Schedule” from “Resource Detail → Details”, another option is to set “End Date” to “Resource Detail → Capacity Basis”. “Person <PERSON> has Use HR Schedule check box selected, but has no employment with a valid schedule.” - This is the warning we get when Employee Schedule have end date somewhere in the upcoming year (usually permanent employees have schedule with end date of 9999-12-31). For example we have employees with the fixed term employment ending later this year. What would be the common method to avoid this type of warning? Should we set schedule with 9999-12-31 end date and then just Terminate Employee when nee

Allowing employee self Authorization

Hello Is it possible to setup Employee in a way that he could have access to see and authorize their own work in “Authorization” window? Scenario: Some department heads wants to have a subordinate who would take over the “authorization” of the team including the mentioned employee. We use “Position - Access Setup” and “Graphical Organization Structure” → “Access” to grant mentioned employee a access to other subordinates and ability to “Authorize”, but this method does not allow self “Authorization”.

CTU Licenses when employee is terminated via "terminate employment"

Hello We using a CTU Licenses and every time we terminate employee using “terminate employment” function we have to manually find employee in “shop floor employees” and un-tick “workbench user” box to de-activate/remove the CTU Workbench license from use. Is there another way of doing it so that when employees are terminated using “terminate employment” CTU license also could be removed from user shop floor employee account? This is fairly time consuming manual process at the time.

Time Clock Absence - Access Attribute

Hello Recently we had to update out Timeclock accounts from using “Position ID” to using “Role ID”. Few days after we noticed that in Employee “Time Card Day → Interval” system no longer registers “Out Date”, “Out Time” and “Out Time Type”. Does automatic Absence “Out Date, Time and Time Type” requires Timeclock account to have “Role Id” with specific “Access Attributes”? We can see that “Position ID” used by the Timeclock accounts before had “Absence Plan” & “Absence Request” Attributes.Thanks for all your answers

Is there a way to only consider Employee to be a supervisor

Hello We have a problem with or our clocking devices and group accounts showing as supervisors in Employee File. All the mentioned accounts have Access in Graphical Organizational Structure and their Supervisor Type is “Person” is there a settings in IFS that we could define that only Supervisor Type “Employee” could be considered Supervisor in Employee File?

What determines supervisor in Employee File

Hello IFS Community! I am a new starter within my organisation and I have worked with other ERP’s, however it’s a new experience trying out IFS and understanding it. My question may be very simple for you experts, what determines Employee File → Summary tab → Supervisor field? I suspect that it has to be either: Graphical Organization Structure or Graphical Position Structure, I struggle to clearly understand difference between the two. Please share your knowledge, and if any online resource available it would be great start for me. Kind Regards Arthur
