Deprecation of the FTP and Shared repository types in Docman in 24R1 - a heads-up This is a heads-up on IFS deprecating support for the FTP and Shared repository types in Docman in IFS Cloud 23R2, for complete removal in 24R1.If you have customers using these two repository types today, you should plan for migrating to Database or File Storage.If you are planning to implement this in Remote Deployment in IFS Cloud right now, you should reconsider, and use File Storage or Database.In Remote deployment, File Storage will still have support for local/external storage (outside the database) by supporting SMB/network shares. BACKGROUND Back in the day, Docman started out with support for "external" file storage via our support for FTP and Shared (folders) as the only repository types. Later, Database storage was added upon request from customers. And, much later (IFS Cloud 21R2), IFS Cloud File Storage was added as yet another repository option where, initially, File Storage was limited to

Would you be willing to express your opinion on IFS Document Managament here in the Community?

 Hi all Docman fans,I work at IFS R&D with the IFS Document Management (aka “Docman”) functionality.Sometimes we need input from customers (“Do they use X? How? Why? When? Sending e-mails using a document macro in Aurena

A basic document macro to build from

Creating document macros can be easy or hard. There is however one thing that is common to most of them: we need to get hold of the path and file name of the file that was downloaded due to the file operation the user executed, be it View Document, Edit Document, Print Document or other.Below I'm sharing a small utility macro block that you can use as a base when writing macros of your own, plus a simple and generic macro block that will open whatever file that was downloaded. Aurena landing page bookmarklet

Sometimes you may want to create a new tab in Aurena, either for opening another page than the one you are on, to test something in B2B (if you are in "main", or the other way around), or to open IEE in the same environment. This little hack will save you from some boring copy+paste work in all these scenarios.We will use something called a "bookmarklet" here. It's a normal web browser bookmark, although it's not very normal at all... We're basically going to execute a small piece of JavaScript code when the bookmark is clicked. If this sounds crazy, it is, but it has been standard functionality on the web for 20 years or so.First, let's create a new bookmark. I suggest to keep it in the bookmark bar in Chrome. Electronic Signature (E-sign/E-signature) of documents - new feature in IFS Cloud 23R2

I would like to make a small push for a very nice and simple e-sign functionality that was released in IFS Cloud 23R2. It's more or less zero install and zero setup, you can just start using it once you have bought at least one pack of e-sign transactions. Have a look at this video to see how it works:https://www.youtube.com/watch?v=Aed1j9VOPDUAt the time of writing (the latest release in 23R2 but this will apply to 24R1 as well) this feature is limited to Cloud deployment/residency (Remote/on-premise is not supported).Here's also a screenshot of the main user interface, which is the dialog where the user fills in the recipient information:If you are on IFS Cloud and in Cloud deployment, don't hesitate trying this out.A special SKU is needed, that will grant a pack of esign transactions. The customer does NOT need any Adobe licenses of their own.Is this something that is interesting to you as a customer?

Shared document repositories in IFS Cloud - folders will not be created for you

I was bitten by this myself just now so I thought to share it (this should be in the documentation but is not yet).When you use Shared repositories in Docman in IFS Cloud (Remote deployment option only), you need to make sure that any folder, if you specify any in the Path field, is there on the server. It will not be created for you.So, as in the example below, the folder k8s122test must exist in the shared folder on the server. Otherwise you will get a cryptic error message...

Instant View on Windows 11 is not supported

What is this about?This post is to inform everyone using or planning to use Instant View that it has NOT been certified against Windows 11.The problem: support for Java applets is dyingThe underlying technology used by Instant View is Oracle AutoVue. This technology is based on Java applets running on the end user's PC, communicating with the AutoVue Server software.In order to use Java applets and interact with the Oracle AutoVue document viewer, IFS has embedded Internet Explorer inside IFS Enterprise Explorer, via .NET's WebBrowser Control.In Windows 11, since Internet Explorer has been removed, it's not possible to do certain configuration that's needed to get Java applets to work.The end result is that we haven't been able to certify Instant View for use with Windows 11.

Importing e-mails from Outlook to IFS Cloud by drag and drop

Enabling Aurena Agent for another environment

When you need to enable the Aurena Agent for another environment, you don't have to install it again (you can, of course, but it's not necessary). Instead, just find it under Apps & features in Windows, and click Modify:This will start the installation program and the rest of the process is the same.

Make the IFS Aurena Chrome extension run only on certain sites

The Aurena Agent consists of two parts: an agent program executing on user's PCs and a Chrome extension. In order to work for all customers, the Chrome extension is allowed to "run" against all domains by default, which is really not necessary.This can easily be changed, and here is how.There are two options: either the extension can be configured to only run on certain sites, or it can require the user to click it in order to be activated.To change this, first "pin" the IFS Aurena Extension:Once pinned, the settings mentioned above can be accessed by clicking the IFS Aurena Extension icon:This reveals the a sub menu named This can read and change site data:When the When you click the extension option is selected, the user needs to activate it by clicking the icon every time a new tab is opened where the extension is needed. It then remains active until that tab or the browser window is closed.The second option (On ...) means you can allow the extension to always run for a certain site
