Hi Community,One of our customer has a requirement for document sign where they need to get the quotes signed by the customer online.I am aware that in document management we have the functionality to get the approver signature on the document but here the customer doesn’t have access to IFS.So, we are thinking of integrating with document sign software like DocuSign, Adobe etc.Could anyone share their experience with this regard and suggest which document sign application will be best suited to integrate with IFS.Looking forward for the suggestions & feedbackRegards,Mithun K V
We are using IFS Cloud 23R2 SU4.When we use Repository ‘File Storage’, we have noticed that the file name uploaded to the Windows share repository appears to have been encrypted and differs from what was uploaded by the user.If we check through the application and look at the database tables, there is no mention of this file name.Previously using FTP repository in Apps 10, it would store the file with a name like 3001-2279139-1-REV00-1See below snip shows 1st record uploaded from Cloud (File Storage) vs others from Apps 10 (FTP): Do we know what is causing this and if this is a security feature that could be turned off?
21r2, using Chrome and with Aurena Agent installed, I find that the “eye” preview icon on a document attachment opens a PDF in the browser, whereas if i go to the document and click “View” i get the standard docman download to local checkout path.What’s the reason for the difference?Is there a way to get the eye/in-browser preview elsewhere?Preview in browser:

We saw a few posts that were old and not really detailed. Do you have anything written up we could look at? Russell is scoping what they think their use case and will add more specific information but I’m sure we must have something written up for using it to pull in asset ids and spare parts. Has it been used with mWO? Has it been used with WaDaCo? Will it work in Apps 10 and Cloud? Any hardware requirements...etc. Thanks in advance,Jerry
We are receiving an unhandled security checkpoint error. This is on attached approval processes when using an approval template. So in the example below, it is on an Inventory part. It also happens on a Supplier for Purchase part as another example. However, it does not happen for any of our document approvals within the document revision screen. I did see another post that recommended going to system parameters and turning the Security checkpoint framework available off and then on again….but this did not correct our issue.
Hi,I use IFS Cloud (Application service update: 23.2.1).I create a new file type in the EDM basic data. This is for the .stp Extension (3D Files from CAD)Then I use this new file type when creating a new document revision. When I try to approve the revision, I have this message :“The number of PDF files and/or the combination of view and original files on this document is invalid for PDF signature and certification. If you are an end-user, talk to your system administrator. If you are calling this API from code, check your data or consider using the more specific method to sign your PDF file.”This file type is not PDF so I don’t want (and I can’t) use e-sign for this file.I use several document class to test and the result is the same.If I use a already created file type, this OK, I can validate it without any problems. Good day community.We have a client that is implementing Cloud and need to migrate 10 000 plus documents from legacy, along with their existing document numbers.In Apps 10 it was possible to upload multiple files at once using the File Import screen. On here it was possible to change the document number to a legacy number when uploading new files In Cloud I believe the same can be done using Create Documents.However, it allows me to create documents and to enter Legacy Numbers but once I save, it returns this error: If I leave the number column blank, it generates the documents without issue, using the automatic numbers, which we don’t want. This is not Document Class related as the Create Document Assistant and creating Documents via Revisions allows me to change the number. The other option, Document Upload screen does not have an option to change the Document number. Is there something We’re missing or alternatively, how would we migrate the documents into Cloud using the legacy n
Hi all 😊,The customer has a problem with previewing attachments in APP10 Aurena. This is a widespread issue in many fields. When you click the preview button, and error message displays as below.The problem affects all users.The strangest thing is that the preview of the same attachments works in Enterprise Explorer, so it is not a problem of permissions or incorrect paths.Relevant technical logs are in attached files.Any idea on how to fix this issue is highly appreciated.Product Version: UPD15Thank You 😊
One of our customers is having some the below issue with aurena agent,The prebuild package for Aurena Agent IFS are providing on the landing-page is for single user, to install on their clients by themselves, and it works if you have the security parameter “native messaging hosts” sat to enabled. Found this in IFS Community an article that describes the same issue, https://community.ifs.com/document-management-docman-248/aurena-agent-will-not-enable-in-edge-browser-but-does-in-chrom-39986 The conclusion according to this article is:"We have found that the issue was due to a security setting that was disabled in our GPO which as a result, did not permit the Aurena extension in Edge to communicate with the Aurena Agent on the computer. Hi,We have setup docman in a new cloud environment and customer migrated all of his documents over to new drive as well. After the new setup, customer can attach new documents and can review old documents without any issue.Questions When we check the File Storage, all documents are going in one folder ‘DocMan’ in the folder newly created and customer wants to save documents in different folders like below. Any documentation on how we can do a setup using File Storage repository type that fulfills customer requirements? 2. When examining the document names within the folder, they appear in an unreadable format. How can we store them in a manner that is readable and easily understood? Despite diligently following all prescribed steps, the issue persists within the customer development environment. 23.2.3When editing the Person on a step in the Approval Process on a Change Request, there are two shortcomings.In the drop-down list, the only attribute to select by is the Person ID (first image below), which for some customers may not be obvious to whom this refers. We use the document default SET_APPROVED_SEC_CHKPT, which in Apps9 requires the user to enter a password to finally approve a document revision. We have the same setting in IFSCloud but it does not seem to activate. It is still documented as a feature in the documentation here IFS Cloud Documentation.Does anyone else use it in IFSCloud and is there any reason it doesn’t activate?
@Mathias Dahl Do you know if there’s any control via Document Default Values to have the File option unchecked by default when we create a new Document revision?The reason for this is that we implemented a CRIM to notify users when a certain document is about to expire. They would need to then create a new document revision and check-in the new PDF. So, we never will need to copy the old file in the new document revision. I see that this FileInfo parameter comes back as True in the API, but I couldn’t find any Document Default Value to control this.

They have applied the IFS Cloud 22R2 LTU permission set (EMP_AND_MGR_SELF_SERVICE_LTU_22R2.xml), and they are using the Approval Process functionality in Document Management.They have enabled Approval Routing for Logical Unit “PersonnelRequisition” in the Object Connections screen so that they can see the Approval Process option in Human Capital Management/HCM Services/ Recruitment/Recruitment Requisition Details – Admin screen/Attachment Panel Image 01They want only HCM personnel to be able to add "New Approval Step" or use "Copy Approval Template". Normal users shouldn’t be able to use these buttons.However, they are not able to remove these buttons using Configuration Context (As the approval steps are coming in Attachment Panel) and since normal users are having access, there is a risk of users modifying the approval steps.Is there any method to enable access only for a limited user group for these two buttons "New Approval Step" & "Co

Hello, Is there an option to “lock” document classes, so people need a password to open and view specific documents? As example, sick-leave documents in My Absense Calendar or medical expeses in Expense Sheets?Besides the “Restriction” which have in place on some documents, but if you are in that group, you can see all the documents, we need to limit that further. So person A can see document 1, 2, 3 and 4. But Person B can only see 3, 4 and 5 Thanks,Michael
